Check the refund record first, because it shows whether a refund was initiated, is still moving, was canceled, or was completed. Once a case is closed, PayPal’s US help says it cannot be reopened or escalated to a claim, so your next step depends on what that refund record shows and how you paid.
The steps below follow PayPal’s US help pages as accessed on 8 October 2026. If you are outside the United States, or your payment method or case outcome differs from what is described here, check your local PayPal help and your bank or card issuer’s rules before relying on any timeframe.

Confirm whether a refund was actually issued
Start with the money, not the case. A case can close because the dispute ended, the buyer and seller reached an outcome, or the time limit passed, and none of those events by itself creates a refund transaction.
- Open Activity in your PayPal account and find the original transaction linked to the case.
- Open the refund entry attached to that transaction and select its Refund Tracker view.
- Note the status shown: initiated, processing, sent, pending with the issuer or bank, completed, or canceled.
- Write down the bank reference ID if one is displayed, along with the refund date and amount.
If there is no refund entry at all, the case closure did not produce a refund, and you should go to the case record and then to PayPal customer service.

Read the closed case record
Go to Resolution Center, choose Closed Cases, and open the case by its Case ID. Read the decision and any action the case asked for. Look for the word “dispute” or “claim” in the record, because the two follow different routes.
Dispute versus claim
A dispute is the buyer and seller discussing the problem directly. A claim is what happens when you escalate, asking PayPal to investigate and decide. PayPal says a dispute generally closes after 20 days if it is not escalated to a claim. Once a dispute or claim is closed, it cannot be reopened or escalated.

PayPal says it usually reaches a claim decision within 14 days, though some claims take 30 days or longer. Treat that as an estimate, not a deadline.
When the case record is missing or unclear
If the case status does not appear, or the record conflicts with what the refund tracker shows, contact PayPal customer service. This is especially important if you also contacted your card issuer or bank, because two parallel records can make the status look inconsistent.

Match the refund status to your next contact
The refund status tells you where to direct the next question. The table summarizes what PayPal’s US refund help says for each status.

How long refunds take by funding method
The timeframe depends on how you paid. The figures below are PayPal’s stated US help ranges, not guarantees, and they depend on the issuer or bank involved.

If you are past these windows and the tracker still shows a refund as completed, the bank reference ID is the piece that lets your issuer trace it.

- The Case ID from Resolution Center
- The original transaction ID and the refund date and amount
- The bank reference ID shown in the refund details, if any
- Your original funding method: PayPal balance, bank account, debit card, or credit card
- Screenshots of the case decision and the refund status, dated when you took them
If you paid by card, deal with the issuer’s dispute route
A card chargeback is separate from a PayPal claim. Your card issuer handles it and makes the final decision. PayPal’s US help says a chargeback can generally be initiated within 180 days of the transaction, and the buyer’s card company may take up to 75 days to resolve one.

Those figures are general statements from PayPal, not your personal deadline. Eligibility depends on the transaction, your location, and your issuer’s rules, so contact the issuer promptly if the payment is still unresolved rather than waiting to see whether PayPal’s record changes.
