What Documents to Keep to Prove Eligibility for a U.S. Federal Income Tax Deduction

To support a federal income tax deduction, keep records that show what you paid for, that you paid it, and why the expense qualifies under the deduction rules. A bank or credit-card statement may confirm a payment without identifying what you bought or establishing that it was deductible. The documents you need depend on the type of deduction.

What records prove that a deduction is allowable?

Think of substantiation as answering three separate questions: What was the expense? Was it paid? What makes it eligible for the deduction claimed? The answer may require more than one record. For example, a card statement can show the date and amount of a purchase, while an itemized receipt identifies the goods or services. A log, invoice, charity acknowledgment, or other record may be needed to explain the expense’s purpose or connect it to a deduction rule.

The IRS says that proof of payment alone does not establish that an item is allowable. Its Burden of proof guidance explains that taxpayers should keep adequate records or other sufficient evidence to support their statements. The evidence required depends on the deduction and the facts; no single receipt or standard form works for every claim.

Which documents should you keep?

Keep documents that complement one another. A useful file typically includes payment evidence and records explaining the transaction. The IRS’s Publication 17 (2025) describes common records such as receipts, sales slips, paid bills, invoices, canceled checks, and bank or credit-card statements. For some expenses, a contemporaneous log or diary is also important.

Record What it can establish What may still be missing
Receipt, sales slip, or itemized bill What was bought or what service was performed, and often the date and amount How it qualifies for the deduction, or proof that it was paid
Paid invoice or canceled check A bill was paid and the amount paid The business or charitable purpose, or the details of what was provided
Bank or credit-card statement Payment amount, date, and recipient shown on the account What the charge covered or why it qualifies
Log, diary, or trip record When, where, and why a trip or vehicle use occurred, when those details are required Independent evidence of the amount paid, such as receipts where required
Charity acknowledgment or bank record Information needed to substantiate a contribution, depending on the amount and type of gift Additional documentation for some noncash contributions

For a cash payment, ask for a dated receipt that states the amount and reason for payment. Keep supporting records with the relevant return and schedules, along with copies of filed returns and information returns. A return copy is useful when preparing a later return or responding to a question, but it does not replace the underlying records for a deduction.

What documents do charitable deductions require?

Charitable contributions have specific substantiation rules. For a monetary gift, keep an external record from a bank or a written communication from the charity showing the organization’s name, the date, and the amount. Examples include a bank statement, canceled check, credit-card statement, or charity letter or receipt. A payment record that does not identify the recipient or contribution may leave an important gap.

For each contribution of $250 or more, the donor generally needs a contemporaneous written acknowledgment from the organization. Obtain it by the earlier of the date the taxpayer files the return for the year of the contribution or the return’s due date, including extensions. The acknowledgment must state the amount of a monetary gift or describe the contributed property, and say whether the charity provided goods or services in exchange. If it did, the acknowledgment must describe them and provide a good-faith estimate of their value. See the IRS guidance on substantiating charitable contributions.

Noncash gifts require records identifying the property and supporting the deduction’s amount. Depending on the gift and its value, additional requirements may include valuation support and Form 8283. The IRS’s Tax Topic 506 describes a Form 8283 trigger for noncash contributions over $500, subject to the applicable rules and current form instructions. Gifts of vehicles and other higher-value or special-property contributions can have additional requirements. Consult Publication 526 (2025) and the current form instructions for the specific contribution; do not assume a basic donation receipt is sufficient for every gift.

What records should you keep for travel, gifts, and car expenses?

For travel, gifts, and car expenses, records may need to establish details beyond the amount paid. Depending on the expense, documentation should support elements such as amount, time, place, and business purpose. A receipt can show a charge but not explain why a trip occurred or how a vehicle was used. Keep a timely written log, diary, account book, trip sheet, or similar record together with relevant receipts and other documentary evidence.

Make entries close to when the expense occurs, while the details are fresh. The IRS’s Publication 463 (2025), Travel, Gift, and Car Expenses says estimates or approximations are not deductible. Rounded figures reconstructed from memory are not a substitute for required records. If a receipt cannot be obtained in qualifying circumstances, alternative evidence may sometimes help support the claim. Publication 463 also discusses reconstructing records destroyed beyond the taxpayer’s control, such as by a casualty. Those limited situations are not general permission to estimate expenses.

How long should you keep tax receipts and supporting records?

For many ordinary federal return items, the general assessment period is three years. Publication 463 says to keep records supporting a deduction for three years from the date the return is filed. A return filed before its due date is generally treated as filed on its due date for this calculation. The IRS’s Tax Topic 305, Recordkeeping describes exceptions, so three years is not a universal cutoff for every tax document.

Situation Federal period or retention principle Source and qualification
Records supporting an ordinary deduction Generally three years from the date the return is filed IRS Publication 463 (2025); a return filed early is generally treated as filed on its due date
Certain substantial omissions of gross income, or a specified foreign-asset situation Six years to assess tax in the described cases IRS Tax Topic 305; the period is not a general rule for all returns
Certain refund claims involving bad debts or worthless securities Seven years IRS Tax Topic 305; applies to the specified refund claims
Fraudulent return or failure to file a valid return No limitation period for assessment IRS Tax Topic 305
Records establishing basis in property or an amount carried to a later return Keep them while they can affect a later calculation, then through the limitation period for the return on which the matter is resolved IRS Publication 17 (2025); the ordinary three-year period may not be enough

Property and investment records often matter long after the year of purchase. Keep purchase and sale documents, closing or settlement papers, improvement costs, commissions, reinvested dividends, and other basis adjustments for as long as they may affect gain, loss, or depreciation. A basis figure can flow into a later return when property is sold or depreciated; retain the source documents through the period in which they affect those returns and the subsequent limitation period. Records for carryovers likewise remain relevant while the amount can affect a future return.

These are federal rules. A state tax authority may have different retention requirements, and an amended return, business activity, foreign-asset issue, disaster loss, or other unusual circumstance may change what records matter or how long to keep them. For those cases, check the relevant current IRS guidance and state rules or consult a qualified tax professional.

Can you keep tax records electronically?

Yes. The IRS permits electronic records under the same general recordkeeping requirements as paper records. Scans and digital documents should remain complete, legible, and retrievable for as long as they are material to tax administration. Keep the full document, not merely a cropped image that omits the vendor, date, item description, or other relevant details.

The IRS does not require a special form or paper filing system; Publication 17 states, “The law doesn’t require any special form of records.” You can organize records by tax year and deduction category, whether on paper or electronically. A folder or filing system can make documents easier to find, but the organization method itself does not establish that an expense is deductible.

  • Save receipts and related records together so the payment can be connected to what was purchased and why.
  • Use descriptive filenames or folders that preserve the tax year and expense category.
  • Keep a backup and confirm that files can still be opened and read.
  • Retain original digital statements and acknowledgments where available, in addition to any scan or export.

A practical way to build a deduction file

  1. Identify the deduction category. Find the current IRS guidance for the specific expense, because a general payment record may not meet category-specific substantiation rules.
  2. Collect payment evidence. Save the receipt, paid invoice, canceled check, or bank or card record. For cash, request a dated receipt stating the amount and reason.
  3. Add records explaining eligibility. Include an itemized description, purpose, required log, charity acknowledgment, property document, or other evidence that explains why the expense fits the deduction.
  4. Check for special thresholds or details. Charitable gifts, vehicle use, travel, and property basis can require records beyond a basic receipt. Confirm the current rules and preserve the required information.
  5. Store the file for the right period. Apply the ordinary federal retention period only where it fits; keep basis and carryover records while they can affect later returns, and account for any exception that applies.

Before filing, compare the amount claimed with the supporting records and check that the evidence addresses the relevant eligibility requirements, not just the payment. If the documents do not identify the expense or its purpose, seek the missing records from the merchant, employer, charity, or other relevant party when possible. The IRS’s general rule is that the taxpayer must be able to support the claim; whether a particular expense qualifies depends on the facts and the applicable federal deduction rule.
