For an Indian business, the practical answer is a traceable set of GST books, returns, invoices and supporting records, stock details, and any activity-specific documents that apply. Keep the records organized for each registered place of business, and be able to produce them in readable form. The exact demand depends on the notice, the business’s activities and the applicable law; this is a preparation checklist, not a prediction of what an officer will request.
What documents should a business keep ready for a GST inspection? Start with the records below, then check the applicable requirements for the business’s locations, transactions and operations. This article covers the general central GST framework in India, based on CBIC-hosted CGST Act and Rules material reviewed on 13 October 2026.

Start with a traceable core GST record set
Keep the underlying accounts that show what the business did and how those transactions were reported and taxed. Under the CGST framework, a registered person’s accounts should present a true and correct account of production or manufacture, inward and outward supplies of goods or services, stock, input tax credit (ITC) availed, and output tax payable and paid. The records should allow a reviewer to follow a transaction from its source document through the accounts to the relevant return or statement.

- Tax records and registers: Records of tax payable, tax collected and paid, input tax, ITC claimed, and registers of tax invoices, credit notes, debit notes and delivery challans issued or received.
- Returns and reconciliations: A readable bridge between the underlying books and the returns or statements that report the business’s transactions and tax positions.
A useful way to prepare that bridge is to organize records so turnover, exemptions and deductions, tax rates, ITC availed and used, refunds claimed, and related entries can be checked against source documents and accounts. Those are among the areas described in the GST audit rules as verification subjects. That is an organization principle for preparation, not a statement that every inspection has the scope of a formal audit.

Keep documents that support individual transactions
For each relevant transaction, retain the document that explains what happened and link it to the corresponding ledger entry and return figure. The supporting record set may include:
- Tax invoices and bills of supply.
- Delivery challans.
- Credit notes and debit notes.
- Receipt, payment and refund vouchers.
- E-way bills, where relevant.
The CGST Rules specifically include these documents among records for imported or exported goods or services and reverse-charge supplies. Those activities also call for the related accounts and documents to be preserved within the applicable section 36 retention period. A reviewer should be able to move from a particular invoice or challan to its accounting entry and the related return treatment without relying on an unexplained spreadsheet or an employee’s memory.
Prepare stock records that match the business
Stock records should explain quantities and movements, not just the value shown in an accounting balance. The prescribed detail varies by activity and scheme. For registered persons other than those paying tax under section 10, the rules describe commodity-wise stock accounts covering opening balance, receipts, supplies, losses, theft, destruction, write-offs, gifts or free samples, and closing balance. The relevant stock categories include raw materials, finished goods, scrap and wastage.

Additional records by activity
Some record categories apply only where the business undertakes the activity described in the rules. Check the applicable categories rather than assuming every business needs every specialized register.
| Business activity or situation | Records to prepare | Applicability note |
|---|---|---|
| Manufacturing | Monthly quantitative accounts of materials or services used and goods produced, including waste and by-products. | For manufacturers; apply the prescribed production-account requirements to the actual operation. |
| Supply of services | Prescribed quantitative records for goods used, input services and services supplied. | For service suppliers, as applicable to their activities. |
| Works contracts | Records by contract covering the parties, goods and services received or used, payments and suppliers. | For businesses undertaking works contracts. |
| Composition payment under section 10 | The ordinary commodity-wise stock-account description above does not apply on the same stated basis. | Check the requirements that apply to the business’s tax treatment; do not use the general stock description as a complete composition checklist. |
| Imports, exports or reverse-charge supplies | Related accounts and supporting documents, including applicable invoices, bills of supply, challans, credit and debit notes, vouchers and e-way bills. | Keep the documents relevant to the transactions actually undertaken. |
Make electronic records readable and explainable
Electronic records are permitted, but a business should be ready to authenticate and produce relevant records in hard copy or a readable electronic format when demanded. Keep proper electronic backups so records can be restored within a reasonable period after accidental or natural loss.
The rules also require an account of the audit trail and inter-linkages for electronic records. In particular, they call for an explanation of the source document, whether paper or electronic, the financial accounts, record layout, data dictionary and codes used, the total number of records in each field, and sample copies of documents when demanded. The point is not merely to export a report: the business should be able to explain how the report relates to source entries and the accounting record.
Recommended Free Tools
Corrections to electronic registers and records should be controlled rather than silently overwriting history. The rules call for an edit/delete log to be maintained. As practical preparation, arrange for someone who understands the accounting system to retrieve relevant records and explain how the system’s reports map to source documents and entries. That is a useful way to meet record-production and audit-trail obligations; it is not a separate quoted statutory requirement.

Check records for goods in transit, transport and storage
When goods are carried in a conveyance, the person in charge generally carries the applicable invoice, bill of supply or delivery challan and a copy of the e-way bill or its number. The required information may be carried physically or through an accepted notified arrangement. The rules provide for notified exceptions, so this is not an unconditional requirement for every movement. Check the rule and any applicable notification for the particular movement.
Transporters and warehouse operators have their own record obligations. Transporters must maintain records of goods transported, delivered and stored in transit, including records for branches. Warehouse and godown operators must keep records for the period goods remain in storage, covering dispatch, movement, receipt and disposal. Goods must be stored so they can be identified by item and owner and made available for physical verification on demand. These duties can apply to relevant persons who are not registered, subject to the terms of the rule.
Keep records at the right place and within reach
Books and records are to be kept at the principal place of business and at each related place of business stated in the registration certificate. Organize the records by registered location so the relevant books, stock information and supporting documents can be identified for the premises concerned.

Before an inspection, check that records for the registered location can be produced there or promptly retrieved in an accepted format. Do not assume that keeping the only copy at an unregistered storage location or on a staff member’s personal device is an adequate records-management arrangement. That is practical preparation based on the location and production rules, rather than a separate statutory formula for where every backup must sit.

Apply the retention period to the relevant financial year
As a baseline, covered books and records must be retained until 72 months after the due date for furnishing the annual return for the relevant year. The period runs from that due date, not simply from the date an individual invoice was issued. Build the due date and any applicable extensions or changes into the retention schedule rather than calculating from a convenient calendar-year end.
A longer period applies when records relate to an appeal, revision, other proceeding or an investigation under Chapter XIX: retain them until one year after final disposal or until the baseline period expires, whichever is later. Identify records connected to an ongoing matter and prevent their routine destruction while the longer period may still apply.

Inspection, formal audit, and search or seizure are distinct matters under the CGST framework. Section 67 provides for inspection by an officer authorized in writing by a proper officer not below the rank of Joint Commissioner, when the statutory reasons-to-believe conditions apply. Search and seizure have additional statutory conditions, including reasons to believe that relevant goods, documents, books or things are secreted; written authorization is required when another officer conducts the search.
Section 71 separately addresses access to a registered person’s business premises for audit, scrutiny, verification and checks. The Rules identify FORM GST INS-01 as the authorization form for inspection, search or seizure under section 67. A general document checklist cannot determine whether a particular visit, authorization or demand is valid. Review the document or notice presented; if its authority or scope is unclear, seek qualified, case-specific advice.

Tailor the checklist to the business’s actual facts
Before compiling a file or electronic folder, use the following questions to identify which rule 56 record subsets are relevant:
- Does the business manufacture goods, trade in goods, supply services, or undertake works contracts?
- Does it pay tax under the regular scheme or under section 10?
- Does it undertake imports, exports or reverse-charge transactions?
- Does it have more than one registered place of business, or stock at offsite premises?
- Does it move goods, operate as a transporter, or store goods in a warehouse or godown?
- Do any records relate to an appeal, revision, other proceeding or Chapter XIX investigation?
Use the answers to separate the universal transaction-and-tax trail from records triggered by a particular activity or circumstance. A manufacturer’s monthly quantitative production records, for example, are not a substitute for its invoices and tax registers; a trader should not assume the manufacturer-specific production category applies to it. Likewise, multiple premises and offsite stock call for attention to location and storage particulars as well as the underlying purchase and sales trail.
Use the checklist as preparation, not as a substitute for the notice
The main source for these general requirements is the CBIC-hosted CGST Act, Accounts and Records Rules, Assessment and Audit Rules, and E-way Bill Rules, reviewed on 13 October 2026. The precise documents requested in a live matter may depend on the notice, tax treatment, sector-specific requirements, applicable notifications and state-level procedure. Read the notice closely, apply the law and notifications relevant to the business and period involved, and obtain qualified help where the request or authority is disputed or unclear.
