Choose a tote for a light kit of papers and other flat materials that attendees need to reach often. Choose a backpack when the kit is heavier or more varied, people will carry it for longer, or they need their hands free. The best choice depends on the packed bag and the event—not on the bag category alone.
When is a tote the better choice?
A tote is a practical starting point when the giveaway is mainly brochures, an agenda, a notebook, a badge, or light samples. Its open layout can make materials easy to reach during sessions, and a broad, flat panel can provide room for event or sponsor artwork. When is a backpack the better choice?
A backpack is a practical starting point when the kit combines bulkier or varied items—such as apparel, a bottle, documents, or personal belongings—or when attendees will carry it over longer distances. It can keep both hands free while people move between venues, transit, and sessions. The actual model’s capacity, straps, construction, and filled weight still determine whether it suits the load.

Will attendees use the bag after the conference?
Useful, well-made promotional products may have value beyond the event, but available figures do not show whether totes or backpacks are more likely to be kept. PPAI’s 2025 consumer research article reports that 54% of surveyed consumers still had the last promotional product they received, 57% said their most recently kept promotional product was useful in daily life, and 42% said it looked good and felt high-quality: PPAI, 2025. Those findings concern promotional products generally—not conference attendees or either bag format—so use them as a reminder to prioritize usefulness and quality, not as evidence for one type of bag.

Check whether registration already gives attendees a bag; another giveaway may be redundant. MPI’s September 2026 event-planning article recommends asking evaluation-survey respondents which items from the previous event’s bag they actually used, then applying that feedback to future orders: MPI, September 2026. This is a planning recommendation, not a tote-versus-backpack preference finding.

Use this checklist before placing an order
- Define the kit. List every item, identify the largest one, estimate the filled weight, and account for materials attendees may collect from sponsors.
- Map the carry. Consider how far and how long attendees will carry the bag, whether they will travel between venues, and whether they need their hands free.
- Check the attendee journey. Confirm whether the event already provides a bag and when this giveaway would be handed out.
- Inspect the actual model. Compare dimensions, capacity, straps and handles, closure, construction, artwork area, packed carton size, and customization proof.
- Ask about last time. Find out which items attendees used from the previous event’s bag and use the answers to avoid duplicates or unwanted giveaways.
