Crashes, No Sound, or Screen Glitches?

Use a specialised type when it fits; it can make routine entry clearer than using a general Journal voucher. Then consider whether the transaction also needs inventory details, whether it is provisional, and whether a later receipt or payment must be tracked.
Choose a voucher type by the transaction
A voucher is TallyPrime’s record of a transaction. The right choice depends on what happened, not just on which screen looks familiar. Some vouchers record accounting details; others support inventory or order steps, and some workflows combine both.

| Business event | Voucher type to consider | What it records |
|---|---|---|
| Money paid out | Payment | A payment from cash or a bank account, such as an expense payment. |
| Money received | Receipt | Money received, including receipts that can be tracked against a credit sale. |
| Transfer between business cash or bank accounts | Contra | A transfer between accounts, rather than income or an expense. |
| Sale to a customer | Sales | A sales transaction; depending on the workflow, the entry can include inventory or accounting-ledger totals. |
| Purchase from a supplier | Purchase | A purchase transaction; depending on the workflow, the entry can include inventory or accounting-ledger totals. |
| Sales return or related adjustment | Credit Note | A return-related sales entry; a return may be recorded against the original invoice where needed. |
| Purchase return or related adjustment | Debit Note | A purchase-return workflow or related adjustment. |
| Other accounting transaction | Journal | A general-purpose accounting entry. A specialised voucher may be simpler for a common transaction. |
| Inventory movement or order step | Delivery Note, Receipt Note, Rejection In/Out, Sales Order, Purchase Order, Stock Journal, or Physical Stock | Inventory or order activity. Some of these are inventory-focused or non-accounting vouchers rather than ordinary ledger postings. |
These are workflow choices, not a determination of tax or statutory treatment. Apply your business’s accounting policy and local rules, particularly for returns and adjustments.
How common transactions flow
Paying an expense
For the documented cash-expense example, select Payment and, if appropriate, use double-entry mode. Debit each expense ledger for its amount and credit the cash, bank, or petty-cash account that funded the payment. In single-entry mode, TallyPrime guides the entry after you select the appropriate ledgers. The example explains an entry pattern; it does not establish the correct treatment for every expense.

Recording sales and purchases
A cash sale can be a single-step process. A credit sale can involve recording the invoice first and recording the receipt later, with receivable tracking in between. A sales return can be entered as a credit note, linked to the original invoice where needed. Purchase workflows likewise may include a cash purchase, a credit purchase and supplier invoice, a later payment, or a purchase return. The sequence depends on the business process.
Distinguishing a transfer from income or expense
Use Contra when money moves between the business’s cash or bank accounts. The event is a transfer between accounts; it is not, by itself, a sale, expense, or receipt from a customer.
Configure voucher types for repeatable work
If the standard types do not suit a recurring workflow, TallyHelp documents creating a voucher type from an existing base type. The new type inherits properties from its base, which you can then configure. The documented paths and shortcuts below may differ in another TallyPrime release.
- Open Alt+G (Go To) > Create Master > Voucher Type.
- Enter a name and choose the base voucher type.
- Review and configure the properties inherited from the base type.
- Save the voucher type.
To change an existing type, use the documented path Alt+G > Alter Master > Voucher Type. Check your installed release if the screen or shortcut differs.
Options and voucher classes
Depending on the voucher type, configuration can include numbering, abbreviations, narration, default accounting allocations, printing, sharing, and voucher classes. Not every option applies to every type. Voucher classes can define recurring accounting allocations and related rules, reducing repeated manual entry when transactions follow the same pattern. Review the settings against your accounting process before relying on automation.
Provisional, planned, and inventory-focused records
- Memorandum vouchers: TallyHelp describes these for expenses whose purpose is not yet known.
- Reversing Journals: These can be used to check an accounting impact before it is effected.
- Optional or future-dated vouchers: These support provisional or planned records rather than treating every entry as an ordinary completed transaction.
- Inventory and order vouchers: Delivery Note, Receipt Note, Rejection In/Out, Sales Order, Purchase Order, Stock Journal, and Physical Stock support inventory or order processes. Confirm the types available and their configuration in your release.
Review transactions in Ledger Vouchers
To inspect transactions for a ledger and period, open the Ledger Vouchers report and select the relevant ledger and period. The report can show all vouchers or filter credit and debit entries. TallyHelp gives sales and receipts as examples of credit entries, and purchases and payments as examples of debit entries in the report’s value-filter context. Use the report to check what was recorded in a ledger; it does not by itself establish whether the original voucher type or accounting treatment was correct.

TallyHelp’s page “How to Create, Configure & Manage Voucher Types in TallyPrime,” updated September 22, 2026, says TallyPrime provides 24 predefined voucher types. Its separate “How to Record Accounting Entry in TallyPrime” page, updated February 16, 2026, says there are 28 predefined voucher types for accounting entry. The pages do not explain the difference, so neither number should be treated as a reconciled universal count. The types available to you can also depend on your release and configuration.
