PowerShell does not replace Intuit’s QuickBooks Online-to-Desktop migration wizard. The supported route is to export a QBXML file from QuickBooks Online and import it with Intuit’s migration tool while QuickBooks Desktop is open. PowerShell can help stage and verify that file, keep a record of the handoff, or support a separate Web Connector integration—but it is not a documented command-line importer for the official migration.
Use Intuit’s migration tool for the QBO export
For a standard migration, QuickBooks Online (QBO) produces the export file and QuickBooks Desktop (Desktop) imports it through Intuit’s migration tool. Keep Desktop updated to its latest release before starting. The export flow offers all financial data or all financial data without transactions; inventory is not exported for products and services through that selection flow.

- Install and update QuickBooks Desktop, then leave it open.
- In QuickBooks Online, open Export Overview, select Get Started, and download and install the migration tool.
- Choose whether to export all financial data or all financial data without transactions, then submit the export request.
- Wait for QBO’s notification. Return to Export Overview, select Continue to Download, and save the QBXML file locally.
- In Desktop, go to the No Company Open screen. Open the migration tool, browse to the QBXML file, import it, and save the new company file. Approve the certificate permissions when prompted.
- Run accrual-basis Profit and Loss reports in QBO and Desktop and compare them. If they do not match, repeat the import and report process, then make any required manual adjustments.
Intuit’s help guidance specifically calls for comparing the two Profit and Loss reports after export. The imported company should be treated as a migration that needs reconciliation, not as proof that every balance and record transferred unchanged.

What PowerShell can do around the import
PowerShell is useful for file handling and operational controls: checking that an export exists, copying it to an approved staging folder, recording a SHA-256 hash, and keeping a log of which artifact was handed to the operator. Those steps do not parse, convert, or import the QBXML into Desktop.

For example, this Windows PowerShell snippet copies a downloaded export to a staging folder and verifies that the copy has the same hash. It prompts for actual paths rather than assuming where your downloads or company files are stored:
$source = Read-Host "Full path to the downloaded QBXML file"
$destination = Read-Host "Full path to an existing staging folder"
if (-not (Test-Path -LiteralPath $source -PathType Leaf)) {
throw "The source QBXML file was not found."
}
if (-not (Test-Path -LiteralPath $destination -PathType Container)) {
throw "The staging folder was not found."
}
$sourceHash = (Get-FileHash -LiteralPath $source -Algorithm SHA256).Hash
$stagedFile = Join-Path $destination (Split-Path -Leaf $source)
Copy-Item -LiteralPath $source -Destination $stagedFile
$stagedHash = (Get-FileHash -LiteralPath $stagedFile -Algorithm SHA256).Hash
if ($sourceHash -ne $stagedHash) {
throw "Hash mismatch: do not use the staged copy."
}
$record = "$(Get-Date -Format o) $stagedFile SHA256=$stagedHash"
Add-Content -LiteralPath (Join-Path $destination "migration-log.txt") -Value $record
This check confirms the staged copy matches the downloaded file; it does not establish that the export is complete or that Desktop will accept it. Keep the original QBXML file and export reports, and use the migration tool for the actual import.

When Web Connector automation is relevant
Intuit describes QuickBooks Web Connector (QBWC) as a Windows application that enables web services to exchange data with QuickBooks Desktop products. QBWC passes qbXML between a web service and Desktop and can initiate or schedule communication. A PowerShell-based integration therefore needs a web-service endpoint and a QBWC-compatible qbXML exchange; PowerShell by itself is not that bridge.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesThis is a different engineering path from importing the QBXML export produced by QBO’s migration flow. The available Intuit guidance does not establish that a QBXML file generated by an arbitrary script is equivalent to the official export. Treat any custom-generated file as an unverified integration and test it against a copy of the company file before relying on it.

What may not transfer cleanly
Intuit says complex files have a ceiling of 4,000,000 targets and recommends updating the destination to the latest release. The target ceiling is not a promise that a file below it will migrate without exceptions. Review these known gaps before choosing the migration route:
- Inventory: QBO FIFO layers do not transfer. Desktop rebuilds item costs using average cost going forward, so historical inventory valuation and cost of goods sold (COGS) can differ. Product/service bundles also do not transfer and must be rebuilt as group items.
- Payroll: Payroll histories and employee tax setups are not transferred automatically.
- Sales tax and multi-currency: Historical sales-tax payments and manual adjustments do not transfer; multi-currency data may transfer only partially.
- Payments: Stored card numbers and payment profiles do not transfer.
- Records and preferences: Customer and vendor notes, preferred delivery selections, secondary mobile or pager fields, tax-exempt marks, and employee notes are omitted.
- Transactions and templates: Estimates, purchase orders, liability adjustments, inventory-cost adjustments, recurring templates, stored credit-card confirmations, and some time-tracking attachments do not transfer. Open estimates and purchase orders should be reported and re-entered as needed.
- Audit history: The historical QBO audit log does not transfer to Desktop.
Inventory deserves particular attention: a difference between QBO’s FIFO-based history and Desktop’s average-cost calculation can affect both valuation and COGS. Do not assume a matching Profit and Loss report alone resolves an inventory discrepancy.

Choose the route that matches the records you need
| Route | What it is suited to | Automation and trade-offs |
|---|---|---|
| Official migration tool | Moving QBO financial data through an Intuit-generated QBXML export, with the selected option determining whether transactions are included. | Export and import rely on Intuit’s flow and Desktop migration tool. Known data omissions and reconciliation needs still apply. |
| Lists and balances | A lighter move of accounts, customers, vendors, products, services, and opening balances. | Historical transactions are not included, so it is not a substitute when transaction history is required. |
| QuickBooks Apps | Potentially moving records such as invoices, estimates, or bills when the standard lists-and-balances workflow is insufficient. | Intuit points users needing those records toward QuickBooks Apps. Confirm a particular app’s current coverage, compatibility, and handling of exceptions directly before using it. |
| Custom Web Connector integration | Automated exchange between a web service and Desktop using QBWC and qbXML. | Requires a compatible service and integration design. It does not automate or replace the official migration wizard, and custom export equivalence is not established. |
Reconcile the new Desktop company before relying on it
Keep a backup and retain read-only access to QBO for audit history. Preserve the original QBXML export and reports, and record every adjustment so you can trace differences back to the source records.
- Compare accrual-basis Trial Balance and Profit and Loss reports in both systems.
- Reconcile ending inventory against QBO’s original FIFO values and investigate COGS differences.
- Check payroll, sales-tax, and multi-currency balances and setups separately.
- Identify open estimates and purchase orders that need to be re-entered, along with other omitted records relevant to your business.
- Document manual adjustments and retain the backup, QBXML file, and export reports with the migration records.
Intuit says large migrations may take hours, but it does not publish a PowerShell migration success rate or a general run-time benchmark. Plan the work around the actual file and the reconciliation required, rather than assuming a fixed duration.
