How to Track the Tax Basis of ETF Shares Across Brokerage Accounts

Maintain a separate record for each ETF lot, verify its basis and acquisition date after a broker transfer, and save written confirmation when you direct a broker to sell specific shares.

Keep one record for each ETF tax lot, even when shares are spread across multiple brokerage accounts. Track the shares’ acquisition date, quantity, purchase cost and documented basis adjustments, then verify those details after a transfer and identify the specific lots you want to sell when you place an order. A brokerage account’s balance or a 1099-B alone may not preserve every detail you need for your U.S. federal tax records.

The steps below follow IRS guidance in Publication 550 (2025), the Instructions for Form 1099-B (2026), and the IRS stocks FAQ. They explain general federal recordkeeping, not the tax treatment of a particular distribution, reorganization, or state tax issue.

What to track: a separate record for each tax lot

A tax lot is a group of shares acquired in the same transaction or at the same time on the same terms. Your ETF position in one account may contain many lots, and lots of the same ETF can be held at different brokers. For tax records, preserve each lot’s history rather than relying on a single account-level average or market value.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For each lot, record the ETF name, ticker and CUSIP or other available identifier; acquisition date; number of shares; original purchase cost and purchase-related costs included in basis; current adjusted basis; and the reason and source document for each adjustment. Also record the broker and account where the lot is held. Store account identifiers securely.

The IRS says stock basis generally begins with purchase price plus acquisition costs such as commissions and certain fees. Basis may change when a transaction or distribution requires an adjustment. Keep the original amount and a traceable explanation of later changes rather than overwriting the lot’s history. Publication 550 (2025) describes basis and the general requirement to keep records that support the positions reported on a return.

A practical lot-ledger layout

A spreadsheet or tax-lot system should have one row per lot, with columns for:

  • ETF name, ticker and CUSIP or other identifier;
  • acquisition date and original share quantity;
  • purchase price, qualifying acquisition costs and original basis;
  • current adjusted basis and a note describing each adjustment;
  • current broker and account, with sensitive account details stored securely;
  • transfer date, quantity transferred, originating account and destination account;
  • sale date, quantity sold, lot-selection instruction and confirmation reference; and
  • the name and storage location of source documents supporting the entry.

Keep the ledger linked to the documents that support it, such as trade confirmations, account statements, dividend reinvestment records, transfer statements and documents for relevant adjustments. A spreadsheet is only useful if you can trace its entries back to those records.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep the lot history distinct from the account display

An account screen may show a current position, an aggregate cost figure or a displayed average. Those views can help you understand what is held at that broker, but they are not a substitute for the original acquisition information and adjustments for each lot. The same ETF ticker held in two accounts can represent multiple acquisition events, each with its own date, quantity and basis history.

When you consolidate information, do not merge rows merely because the ETF identifiers match. Preserve acquisition events separately and note the account currently holding each lot. If shares move between accounts, add the transfer as an event in the history rather than treating it as a new purchase. If only some of a holding moves, keep the transferred quantity and the remaining quantity distinguishable in the ledger and check both against the relevant records.

The recordkeeping goal is traceability: for every figure you may need to report, you should be able to identify the lot, the supporting document and any subsequent event that changed the lot’s quantity, location or adjusted basis. The IRS says records must be sufficient to establish the positions reported on a tax return; a summary that cannot be tied back to source records may not answer questions about a particular lot.

How to preserve basis when shares move between brokers

A transfer changes where shares are held; it does not make the transfer-date market price a substitute for the shares’ historical tax basis. For specified covered securities, IRS broker-reporting instructions describe a written transfer statement from the transferring broker to the receiving broker. It includes information such as the security identifier, units, adjusted basis and original acquisition date. The general timing described in the 2026 Instructions for Form 1099-B is within 15 days after settlement, subject to the instructions’ scope and exceptions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That statement is a broker-to-broker reporting document, not a replacement for your own records. The receiving broker generally uses transfer-statement information unless it is incomplete or the broker knows it is wrong. Whether the reporting process applies depends on covered-security rules and the relevant acquisition and transfer history; older or otherwise noncovered shares may not arrive with the same basis data. See the 2026 Instructions for Form 1099-B and its PDF version.

Transfer reconciliation checklist

  1. Before the move, save the source records. Download the originating broker’s statements, trade confirmations and available lot details. Retain the transfer request or confirmation so you can establish what moved and when.
  2. Compare the transfer at both ends. Match the ETF identifier and share quantity on the source and destination records. If only some shares moved, reconcile the transferred quantity to the specific lot records rather than assuming the whole position moved.
  3. Check each destination lot. Compare quantity, original acquisition date and adjusted basis with your ledger and the source documents. Do not treat an account’s aggregate basis display as proof that each lot is correct.
  4. Resolve missing or implausible data. If the receiving account shows unknown, blank or inconsistent basis, retain the source broker’s documents and ask the brokers for correction or documentation. Record the response and update your ledger only when you have support for the change.
  5. Record the new account location. Keep the original acquisition details and add the transfer date, quantity and originating and receiving accounts. A transfer should not erase the lot’s earlier history.

For noncovered securities, the taxpayer may need to determine acquisition date and basis from available records. The IRS stocks FAQ explains the distinction between covered and noncovered securities and the need to use available records where broker basis reporting does not supply the information. IRS stocks FAQ.

What the 15-day transfer timing does—and does not—mean

The 15-day period in the 2026 instructions is a general timing rule for the transfer statement after settlement, within the scope and exceptions described by those instructions. It is not a reason to assume that every transferred ETF lot will appear correctly in the new account on a particular day, or that every security qualifies for the same reporting. Check the receiving account’s lot details after the move and compare them with the records you retained before it.

If a lot is missing or its date or basis does not match, preserve the discrepancy and the communications with both brokers. The transfer statement is intended to carry specified information between brokers, but your own trade confirmations, statements and prior adjustment records can be important if the data are incomplete. Do not silently substitute a current market value for historical basis or treat an unexplained screen entry as verified.

How to identify ETF lots when you sell

If you want to sell particular shares rather than rely on the default order, give the broker a specific-lot instruction at the time of sale. For broker-held shares, IRS Publication 550 says adequate identification involves telling the broker which shares are being sold and receiving written confirmation within a reasonable time. Keep that confirmation with the lot records. If the shares cannot be adequately identified, the IRS describes FIFO—first in, first out—as the fallback.

  1. Review the available lots and decide which identified shares to sell.
  2. Use the broker’s lot-selection feature or otherwise give the broker the specific-share instruction when placing the sale.
  3. Save the order or trade record and the broker’s written confirmation identifying the shares sold.
  4. Update the ledger with the sale date, quantity, selected lot, confirmation reference and remaining shares in that lot.

Do not rely solely on a later account screen or your recollection of which lots you intended to sell. The IRS guidance calls for identification at sale and written confirmation within a reasonable time. Publication 550 (2025).

Specific identification needs evidence at the time of sale

Choosing a lot in your own spreadsheet after the trade is not the same as telling the broker which shares to sell when you place the sale. Make the instruction through the broker’s available process and retain the written confirmation the broker provides. Record a reference to that confirmation in the lot ledger so you can retrieve it alongside the sale record.

When reviewing a sale later, compare the broker’s confirmation with the lot you marked as sold and the remaining quantity you recorded. If the available records do not establish which shares were adequately identified, do not assume that a later preference changes the sale documentation. Publication 550 describes FIFO as the fallback where adequate identification cannot be made.

Adjustments and records that need special attention

Basis is not always just the amount shown on the original purchase confirmation. Preserve records of transactions that may affect basis, including reinvested distributions, return-of-capital adjustments, splits or other reorganizations. Use issuer or broker tax documents and transaction records to support any change, and retain a note explaining how the adjustment was applied to the affected lot.

ETF-specific distributions and corporate actions can require transaction-specific treatment. The general recordkeeping guidance here does not establish how every distribution or reorganization should change a particular lot. Before changing basis, check the relevant IRS guidance and issuer or broker tax records; consult a qualified tax professional where the treatment is unclear. Publication 550 (2025) provides general basis and recordkeeping guidance.

Keep the evidence for an adjustment with the affected lot rather than recording only a new total. For example, a reinvestment record or issuer document can help explain why the lot history changed; a note should identify the document and the event it supports. If you cannot establish the correct treatment from the available transaction-specific records, leave the issue flagged for follow-up rather than presenting an unsupported basis change as settled.

Reconcile your ledger with Form 1099-B each year

When tax documents arrive, compare each broker’s Form 1099-B and trade history with the ledger. Check that proceeds, sale dates, acquisition dates, basis, covered status and any reported wash-sale adjustments agree with your records. Investigate differences before using the documents to prepare a return, and preserve the records supporting any return adjustment.

Broker basis reporting applies to covered securities. For noncovered securities, the IRS says taxpayers may need to determine acquisition date and basis from available records. A 1099-B is therefore a useful reconciliation document, but it may not fill every historical gap—especially when older shares were transferred or when records were incomplete. Keep trade confirmations, statements, reinvestment records, transfer statements and relevant adjustment documents that support your reported figures. IRS stocks FAQ.

A practical year-end review

Work account by account, then check the consolidated ledger. For each sale, match the reported transaction to the trade history and your specific-lot confirmation, if you used specific identification. For each reported basis figure, check whether the shares are covered and whether the reported amount is consistent with the lot history and documented adjustments. Compare reported acquisition dates and proceeds as well as basis; a matching total position does not by itself establish that the individual sale or lot data agree.

When something differs, identify the exact lot and the type of discrepancy: missing acquisition date, blank or unexpected basis, quantity mismatch, proceeds difference, wash-sale adjustment or covered-status question. Retain the relevant statement, confirmation or adjustment document and the broker’s response. If the discrepancy requires an adjustment to return figures, keep the records that support the position rather than relying only on the number imported into tax software.

Spreadsheet or tax-lot software?

Both approaches can work if they preserve per-lot history and let you audit the result. The IRS notes that some tax software imports brokerage trades to help track adjusted basis; that general statement is not an endorsement and does not establish that a particular program supports every broker, transfer history or record type. Assess any tool against your actual accounts and records.

What to evaluate Spreadsheet Tax-lot or tax-preparation software
Per-lot dates and basis Can preserve acquisition dates and adjusted basis if you enter and maintain each lot separately. Check that the system retains per-lot dates and adjusted basis for the securities and accounts you use; support is not established for every product.
Broker imports Typically depends on your own entries or data you export and add; verify that imported data remain traceable to source records. Some tax software can import brokerage trades, according to the IRS; confirm that your brokers and required data are supported.
Transfers and missing basis Can include transfer dates, accounts and source-document references, but you must enter and reconcile the data. Check how the product represents transfers, missing basis and corrections; the IRS statement does not establish particular software features.
Sale instructions and evidence Can record selected lots and confirmation references, but does not itself provide the broker’s confirmation. Check whether it stores your lot-selection records and source documents; do not assume a feature is available without verifying it.
Annual audit Can make entries and documents visible in one ledger if consistently maintained. Can help organize imported trades, but you still need to compare results with broker statements and supporting records.

Use the comparison to test the workflow, not just the convenience of importing trades. A tool should preserve acquisition dates and adjusted basis lot by lot, represent transfers and missing information clearly, and make it practical to review the annual 1099-B against your source records. Ask whether it supports each brokerage account and the records you need; the fact that some tax software imports trades does not establish any specific provider’s current integrations or features.

A simple maintenance routine

  • When buying: add the acquisition date, shares and purchase cost to the ledger and save the confirmation.
  • When distributions or reorganizations occur: retain the relevant broker or issuer documents and record supported basis adjustments with an explanation.
  • When transferring: save transfer documents, compare both brokers’ records and retain the original lot history.
  • When selling: specify the intended lots at sale, retain written confirmation and update the remaining quantity.
  • At year-end: reconcile each 1099-B and trade history to the ledger and document any difference you resolve.

This routine is for U.S. federal tax recordkeeping. State tax treatment and the correct handling of an individual distribution, corporate action or disputed broker record may require transaction-specific guidance.

Frequently asked questions

How do I track ETF cost basis when I transfer between brokers?

Keep the original per-lot acquisition date, quantity and basis in your ledger, save the transfer records, and compare the destination account’s lots with the source account and your own documents. For specified covered securities, broker transfer statements are generally due within 15 days after settlement under the 2026 Instructions for Form 1099-B, subject to scope and exceptions. The transfer does not make the transfer-date market price the historical basis.

Can I choose which ETF tax lots to sell?

For broker-held shares, Publication 550 says to tell the broker which shares you are selling at the time of sale and receive written confirmation within a reasonable time. Save the confirmation and link it to the lot record. If shares cannot be adequately identified, the IRS describes FIFO as the fallback.

What if the new broker shows blank or incorrect basis?

Retain the source broker’s statements, trade confirmations and lot details, then ask the brokers for correction or documentation. Record the discrepancy and response. Do not silently substitute the transfer-date market price for historical basis; if the shares are noncovered, you may need to determine basis and acquisition date from your available records.

Does Form 1099-B always show the basis I need?

No. Basis reporting applies to covered securities. For noncovered securities, the IRS says taxpayers may need to determine acquisition date and basis from available records. Reconcile the form with your lot ledger and keep the underlying documents, particularly for transferred or older shares.

Should I use a spreadsheet or tax software?

Either can serve if it preserves per-lot acquisition dates, adjusted basis and transfer history, and lets you trace entries to supporting records.
