An inventory can make it easier to document a claim, but it does not determine what your policy covers or guarantee reimbursement.
Choose a format you can keep up to date
A spreadsheet, paper checklist, photo or video walkthrough, or dedicated app can all work. Pick the format your household can maintain, update, and access after a home loss. The National Association of Insurance Commissioners (NAIC) says an accurate inventory gives an insurance carrier information it needs to help settle claims. Its Home Inventory page describes an app with room and category organization, photos, barcode scanning, and export. The California Department of Insurance also describes video and paper approaches in its home inventory guidance.

There is no independently established best format among these options. The practical test is whether you can finish it, find it later, and maintain a secure copy.
Make the inventory room by room
- Start in one room. Record its name, then work through the space methodically. Open closet doors and drawers and check cabinets and storage areas so items are less likely to be overlooked.
- List belongings. Give each item a short description and note its room. For similar lower-value items, a sensible group can save time, but list what the group contains rather than relying on one vague label.
- Add details when known. Note approximate age or purchase date and amount paid. For valuable furniture, tools, and electronics, include model or serial numbers when available, along with distinctive marks that could help identify an item.
- Photograph or film the contents. Capture items in context and take closer images of significant items or identifying details. You can photograph similar items together to work faster, while still naming them in the list.
- Save supporting documents. Keep receipts, appraisals, and model information when available. They can support the description and value of an item; photos or video can help document belongings that are difficult to describe on paper.
The Oregon Division of Financial Regulation advises opening drawers and closet doors as part of the walkthrough in its home inventory guidance. Maryland’s guidance also discusses receipts, descriptions, and photo or video records in its inventory resource.

Keep the record safe and accessible after a loss
Keep a copy in a secure online location or somewhere away from the home, such as with a trusted relative or at work. The California Department of Insurance also lists a safe-deposit box and fire-proof box as possible storage options. A paper copy kept only inside the home may be lost along with the belongings it documents, so retain an offsite or online copy as well. Update it as your household changes
Add major purchases and their receipts as they happen, rather than waiting for the next full review. The NAIC recommends reviewing the inventory and photos annually. California’s guidance also recommends notifying the insurer about new purchases when needed to maintain adequate coverage. Check your insurance policy separately
An inventory records what you own; it does not establish whether a particular loss or item is covered. Coverage, exclusions, valuation, and deductibles depend on your policy. Ask your insurer or agent what records they expect after a loss and whether valuable belongings need separate attention. The NAIC’s consumer insurance guidance and your policy documents can help you understand the terms that apply to your coverage.
