The simplest reliable setup uses one transaction table as the cash journal, then derives account summaries from that table. It is a practical recordkeeping system—not automatically a full double-entry ledger or a substitute for tax and accounting advice.
Cash book vs. ledger: what the workbook should show
A cash book records cash transactions. A ledger organizes transaction totals by account. The IRS describes a journal as the place to record each business transaction shown by supporting documents, and a ledger as a book organized into accounts that contains totals from journals. See IRS Publication 583.
In Excel, use one master transaction table as the journal and create an account summary from it. That avoids entering the same transaction twice. This is a useful workbook design, not a format required by the IRS. A basic cash-in/cash-out workbook is not, by itself, a complete general ledger: in double-entry bookkeeping, each transaction posts debits and credits, and total debits equal total credits.
Set up the workbook
Create these sheets, adapting the columns to the way the business operates. Keep the transaction table as the single place where cash activity is entered.

Record the business name, fiscal period, currency, opening balances, account or category list, and brief instructions for anyone entering transactions. State the payment sign convention here: either enter payments as positive values in a separate Payments column and subtract them in the balance formula, or use signed values in one Amount column. Do not mix conventions.
Transactions
Make one row per transaction, with columns such as:
- Date and transaction ID
- Description and customer, vendor, or source
- Account or category
- Receipt amount and payment amount
- Payment method and bank or reference number
- Supporting-document filename or location
- Cleared or reconciled status, if you use the sheet for bank reconciliation
Include the source of each receipt and the business purpose or type of expense. Keep business and personal activity separate. Preserve invoices, receipts, deposit slips, paid bills, sales records, statements, and other supporting documents; a spreadsheet row alone does not prove the transaction. Account Ledger / Summary
Summarize receipts, payments, and net activity by account or category and month, using the transaction table as the source. Keep transfers and owner contributions or withdrawals distinct from revenue and expenses. A deposit is not necessarily sales: it may include a loan, transfer, refund, or another non-sales item. Ask a qualified accountant about classifications that are unclear.
Monthly Reconciliation
Record the statement period and balances, outstanding deposits and payments, bank charges or corrections, adjusted balances, review date, and any unresolved difference. Keep the statement and a note explaining how differences were handled.
Evidence index
List or link the supporting records and store them consistently—for example, by year and document type. The IRS says recordkeeping systems should support the entries and relevant tax-return items; its recordkeeping guidance is at irs.gov/businesses/small-businesses-self-employed/recordkeeping.

Make the transaction table easy to use
- Enter the column headings and transactions on the Transactions sheet.
- Select the range and choose Insert > Table in Excel, confirming that the table has headers. The exact interface can vary by Excel version and platform.
- Use filters to review a date range, account, payment method, or cleared status. Sort carefully; keep each row’s values together.
- Use data validation to limit entries in fields such as account/category or payment method to your setup lists.
- Add a total row where useful. Excel tables support filtering, sorting, calculated-column formulas, and total-row functions such as SUM or SUBTOTAL. Microsoft’s guidance is at Create and format tables.
Enter transactions and calculate balances
Enter transactions promptly; IRS Publication 583 says it is generally best to record them daily. Check for missing, duplicate, unusual, or uncategorized entries before closing the month. Keep the original documents and make corrections in a way that preserves an understandable trail rather than silently overwriting history.
Running cash balance with separate receipt and payment columns
With positive receipt and payment amounts in separate columns, calculate each row as:
previous balance + receipt amount - payment amount
For example, if the prior balance is in D4, receipts are in E5, and payments are in F5, the next balance formula is =D4+E5-F5. Replace the references to match your workbook and test the sign convention with a known example. Enter the opening balance explicitly; do not bury it in the first transaction.

Totals and account summaries
Use formulas such as SUM for receipt and payment totals, or the table’s total row. If you filter the table, SUBTOTAL can calculate totals that respond to filtered rows. Excel formulas begin with =; cell references and functions make calculations easier to review and update. See Microsoft’s guidance on formulas in Excel.
Reconcile the cash book with the bank statement monthly
The cash book and bank statement can differ because of timing or items the business has not yet recorded. The IRS recommends reconciling the business checking account monthly; Publication 583 discusses bank charges, deposits made after the statement date, and checks that have not cleared.
- Compare the statement period’s deposits and cleared payments with the transaction table.
- Identify deposits not yet shown by the bank and outstanding checks or other payments.
- Record bank fees, corrections, or other valid items missing from the books, retaining supporting evidence.
- Calculate adjusted balances on both sides. After valid timing items and corrections, the adjusted bank and book balances should agree.
- Record the review date and explain any unresolved difference; retain the statement and reconciliation notes.
Do not erase an old entry to make the totals match. Record an explained correction so the transaction history remains understandable.

Protect the workbook and know its limits
Back up the workbook and supporting files, restrict access to people who need it, and periodically check that the files open and remain readable. Excel does not guarantee that records are complete or compliant. The IRS applies the same recordkeeping requirements to electronic and paper records: electronic records must be complete, accurate, and accessible. See IRS electronic recordkeeping guidance.
For U.S. federal recordkeeping, the IRS generally lets a business choose a system suited to its activity if it clearly shows income and expenses. The retention period depends on the action, expense, or event documented; there is no single period that applies to every record. Employment-tax records have separate guidance. Check the IRS’s current recordkeeping information.
A cash book may not cover a business’s full accounting needs if it has inventory, payroll, fixed assets and depreciation, sales tax, loans, accruals, multiple bank accounts, or formal financial-statement requirements. Consult an accounting professional about the appropriate accounting method, tax treatment, classifications, and reporting obligations. The IRS guidance cited here is U.S.-specific; businesses elsewhere should follow local rules.
