How to Calculate Your Home Business Space Deduction for 2025

For 2025, check eligibility first, then calculate the simplified square-footage amount or allocate eligible actual home expenses and apply the income limits.

For tax year 2025, first confirm that your home space qualifies, then choose one of two methods: the simplified method starts with eligible square footage multiplied by $5 (up to 300 square feet), while the actual-expense method allocates eligible home costs to business use. Either method can be limited by business income, so neither starting calculation guarantees a deduction of that size.

Check whether your home business space qualifies

For a federal home-business deduction, the space generally must be used both regularly and exclusively for a qualifying business purpose. The IRS recognizes qualifying use as a principal place of business, a place to meet or deal with clients or customers in the normal course of business, or a separate unattached structure used in connection with the business. A room also used for personal activities ordinarily fails the exclusive-use test.

There are exceptions, including certain inventory-storage and daycare uses. These have special rules, so do not assume the ordinary exclusive-use test or square-foot calculation applies to them. Daycare providers who do not use the space exclusively must account for time use under the IRS calculation.

Employees generally cannot claim the federal home office deduction for employee business expenses for tax years beginning after 2017. Working remotely as an employee is not the same as carrying on a qualifying self-employed trade or business.

Choose a calculation method for 2025

Factor Simplified method Actual-expense method
Starting calculation Qualifying area × $5, limited to 300 square feet. Allocate eligible home expenses using the business-use share, with direct costs for the business area treated separately.
Records and calculation Uses the IRS prescribed area-based calculation; still keep support for qualifying use and area. Requires records of eligible expenses and the allocation used.
Home costs and depreciation Do not also deduct actual home-use expenses or depreciation for the qualified business area for that year. Eligible costs may include operating expenses and depreciation, subject to classification and limits; some mortgage interest, real estate taxes, and casualty-loss amounts receive special treatment.
Income limit and carryover Deduction cannot exceed qualifying business income after unrelated business expenses; no actual-expense carryover calculation is used for the simplified amount. Deduction can be limited by business income, and disallowed amounts may carry forward.
Schedule C filing route Use the applicable worksheet in the 2025 Schedule C instructions. Use Form 8829 and its 2025 instructions.

The IRS describes the simplified method as “an alternative to the calculation, allocation, and substantiation of actual expenses.” The method choice is annual: the IRS says taxpayers may elect either method for a taxable year, but cannot switch methods for that same year after electing. Compare your eligible costs, business-use share, income limit, recordkeeping, and possible depreciation consequences rather than assuming one method always produces the larger deduction.

Calculate the simplified deduction

  1. Determine the qualifying business area. Use the IRS rules for the area and period of use. If business use began partway through 2025 or the qualifying area changed, apply the Publication 587 worksheet rules rather than using the largest area for the full year.
  2. Apply the prescribed rate and cap. Multiply eligible square footage by $5, counting no more than 300 square feet. That produces an area-based amount of at most $1,500 before the income limitation; it is not an automatic deduction.
  3. Calculate the income ceiling. Start with gross income from the qualified business use and subtract business expenses unrelated to use of the home. The simplified deduction cannot exceed the remaining amount.
  4. Use the smaller amount. The allowable simplified amount is the lesser of the area-based calculation and the income ceiling, subject to the year-specific worksheet rules.

For a Schedule C filer, calculate the simplified amount with the worksheet in the 2025 Schedule C instructions. Do not also claim actual home expenses or depreciation for the qualified business area for the same year under this method. Business expenses unrelated to use of the home remain separately deductible under the applicable rules.

Calculate actual home expenses

  1. Find the business-use percentage. For a common area-based allocation, divide the business area by the home’s total area. Use the applicable IRS worksheet if the ordinary area method does not fit your circumstances.
  2. Separate direct from indirect expenses. A direct expense benefits only the business area and is treated separately. An indirect expense benefits the whole home; apply the business-use percentage to eligible indirect costs.
  3. Identify eligible costs and their treatment. Potentially relevant costs include utilities, insurance, repairs, maintenance, rent, and depreciation. Deductible mortgage interest, real estate taxes, and qualifying casualty-loss amounts have special treatment, so follow the 2025 Publication 587 and Form 8829 instructions rather than applying one percentage indiscriminately.
  4. Apply the deduction limits. The actual-expense deduction can be limited by business income. Amounts that cannot be deducted because of the limits may carry forward under the applicable rules.

A Schedule C filer generally figures actual home expenses on Form 8829. Keep records for the home’s area, the business space, eligible costs, and the allocation. The actual method can produce a different result from the simplified method, but it is not guaranteed to be larger.

File using the form for your return type

For a Schedule C filer, the route depends on the method: use the Schedule C worksheet for the simplified method or Form 8829 for actual expenses. Certain partners and farm filers may use other worksheets described in Publication 587. Use the instructions for the return’s tax year; the 2025 worksheets should not be assumed to apply unchanged to another year.

Avoid common calculation errors

  • Counting a room that does not satisfy the qualifying-use tests, or overlooking a specific exception.
  • Treating $1,500—the result of $5 multiplied by the 300-square-foot cap—as a guaranteed deduction instead of applying the income limit.
  • Claiming actual home expenses or depreciation for the qualified business area in a year you use the simplified method.
  • Using a full-year area when qualifying business use began during the year or the area changed.
  • Applying federal rules as if they also determine state tax treatment. State rules are not addressed here.
