Set up PocketGuard in this order: correct transaction categories, budget variable spending, enter fixed recurring bills, then choose a savings contribution your monthly plan can support. The distinction matters because category budgets and Bills both affect Leftover; allocating the same expense in both can count it twice. After the changes, review the whole month—not each feature in isolation—to see whether income, bills, spending, and goals leave a workable Leftover.
Know what each PocketGuard feature is for
PocketGuard uses different parts of the app for different jobs. A category identifies what a transaction was for. A category budget reserves an amount for spending in that category. Bills are for predictable recurring obligations coming due. Goals track progress toward a savings target. Leftover responds to income, bills, spending budgets, and savings goals, so an entry in the wrong place—or an expense entered twice—can make the plan misleading.

| Feature | Use it for | What it changes or tracks |
|---|---|---|
| Transaction category | Classifying purchases and other transactions by spending type | Organizes transactions and spending breakdowns; a category alone is not the same as a budget allocation. |
| Category budget | A planned amount for variable spending such as groceries or transport | Reserves money from Leftover for spending in that category. |
| Bills | Predictable recurring obligations, such as rent, utilities, or insurance | Plans for upcoming fixed expenses. |
| Savings goal | A target amount you want to save by a due date | Tracks goal progress and a planned monthly contribution. |
The practical rule is to classify the transaction accurately, then decide whether the expense needs a variable spending budget or belongs among recurring bills. Do not create a second allocation just because the transaction also appears under a category. PocketGuard’s Help Center explains these distinctions in its category, budget, Bills, and Goals guidance; the category and budget guidance was updated August 31, 2026, the Bills guidance September 1, 2026, and the Goals guidance September 23, 2026.
Step 1: Correct transaction categories before setting budgets
Budgets are only useful if the transactions being measured are assigned sensibly. PocketGuard automatically categorizes transactions based on their descriptions, but an incorrect category can make a spending total hard to interpret. Correct the transaction first; then decide whether the category deserves its own budget.

Change a transaction’s category
- In the mobile app, open the transaction whose category is wrong.
- Tap its current category and choose the appropriate default category or an existing custom category.
- Review the transaction details to make sure the change reflects the actual purchase.
For example, a purchase for vehicle maintenance should not be left in a category that makes it look like fuel spending if you want to distinguish those costs. Correct categorization improves the breakdown, but it does not by itself create a spending limit.
Create a custom category when the distinction is useful over time
Use a custom category for a regular spending distinction you want to see in your spending pie chart and potentially budget separately. PocketGuard’s example is splitting the broad Auto & Transport category into Gas & Fuel, Parking, and Service & Parts. In the mobile app, tap a transaction, tap its current category, choose “Create a category,” then select an icon and enter a name. PocketGuard says each custom category must have a unique name and icon, and its name can be up to 30 characters. Custom categories are available to Plus subscribers in the mobile app.
To edit or delete a custom category, swipe left on it. Editing changes the category for transactions already assigned to it. Deleting it returns those transactions to their original categories, removes budgets associated with it, and disables categorization rules that used it. Check the effect on any active budget or rule before deleting a category you have used for a while.

A custom category is for an ongoing spending type; a hashtag is better when you want to group transactions around a one-time event, such as a trip. A hashtag does not appear in the spending pie chart or support its own category budget, so it is not a substitute for a category when you want a recurring budget line.

| Choice | Best fit | Budget and reporting role |
|---|---|---|
| Custom category | A regular type of expense you want to distinguish, such as repairs | Appears in the spending pie chart and can have a category budget. |
| Hashtag | A temporary grouping, such as purchases for one trip | Does not appear in the spending pie chart and cannot have a category budget. |
Step 2: Budget flexible spending without duplicating bills
Category budgets are for areas where spending varies, such as groceries or transport. They reserve the planned amount from Leftover. They are not a second way to enter an expense already planned in Bills.
Create or change a category budget
- Open Spending & Budgets.
- Press the plus button and select the category you want to plan for.
- Enter the amount you intend to spend and save.
- To revise an existing allocation, open that category budget’s menu, choose Edit budget, change the amount, and save.
Choose a budget amount based on what you can spend in that area after accounting for fixed obligations and the savings contribution you intend to make. The category is a spending plan, not a bill entry: if a utility bill is already set up in Bills, budgeting that same utility expense in a category as well can reserve the money twice.
Understand the budget limit and status colors
PocketGuard’s Help Center article, last updated August 31, 2026, says basic users can create up to two category budgets, while Plus users can create as many as they want. The same guidance says not to create category budgets for Income or Savings because those have dedicated areas, and to use Bills for upcoming bills. Plan availability and limits can change, so confirm the options shown in your account.

A category can turn green when more was earned than spent in that category, such as after a refund; the excess is added back to Leftover. These colors are signals to inspect the activity, not a reason to change the category automatically: check that transactions are classified correctly and that the budget represents the spending you meant to control.

Step 3: Put predictable recurring obligations in Bills
Use Bills for fixed, recurring expenses you can plan around: examples include a phone plan, utilities, rent or mortgage, memberships, subscriptions, and insurance. PocketGuard says groceries, savings, and expenses spread through the month do not belong there. A grocery total may be important to budget, but it is variable spending rather than one predictable bill.
Add a recurring bill
- Open Upcoming bills and press the plus button.
- Choose a listed bill or enter one manually.
- Provide the bill name, amount, frequency, and next due date.
- Review the entry against the actual obligation so the schedule and amount describe the bill you expect to pay.
You can also mark a transaction as a bill from its transaction details. The Bills guide describes auto-repeat for creating cash transactions automatically. Since exact screen labels can change, follow the current controls in your app if a menu name differs.
Edit, remove, or reactivate a bill
Open the bill and use its controls to edit or delete it; the Bills guidance also says bills can be swiped in All Bills and inactive bills can be reactivated. A bill name cannot be edited directly. To change it, update the merchant name on the bill transaction and apply that change to all transactions. Before removing or changing an entry, check whether it is still needed for an upcoming obligation.

Do not set a category budget for the same recurring expense you have already entered in Bills. PocketGuard gives the example of a mortgage transaction categorized under Mortgage & Rent: budgeting that category as well as adding the mortgage bill reserves money twice and distorts Leftover. If your Leftover is unexpectedly low after adding a bill, check for a category budget that covers the same expense.

PocketGuard also recommends not treating credit-card payments as recurring expenses. The app treats the payment as a transfer, while the original card purchase has already reduced Leftover. Counting the payment again as an expense can make the plan misrepresent what you spent. Use the purchase transactions to understand spending rather than adding a second expense for the transfer.
| Expense pattern | Where to plan it | Common setup mistake |
|---|---|---|
| Predictable recurring rent, insurance, or subscription | Bills | Adding a matching category budget reserves the same expense again. |
| Variable grocery or transport spending | Category budget, if you want to set a spending plan | Entering it as a fixed recurring bill even though it is spread through the month. |
| Credit-card purchase followed by a card payment | Use the purchase transactions to track spending; the payment is treated as a transfer | Counting both the purchase and the transfer payment as expenses. |
Step 4: Choose the right savings-goal tracking method
A goal includes a name, target amount, due date, and planned monthly contribution. PocketGuard calculates a monthly contribution intended to reach the target and lets you raise it to reach the goal sooner. If the current plan cannot support saving, its guidance says you can start the contribution next month instead.
External goal: follow one linked account
An external goal links to one bank account and follows that account’s balance. Choose this approach when the account itself is where you want to track the savings. It connects progress to the linked balance rather than asking you to record each contribution manually.
Free tools Windows power users keep installed
One-click scans. No signup required.
Manual goal: record contributions yourself
A manual goal has no linked account; you add contributions as goal activity. This gives you a manual tracking method, but it requires care when recording transactions. PocketGuard warns that subtracting transactions from a manual goal increases the required monthly contribution. Do not enter activity that duplicates transactions already included in spending categories: that duplicate can affect Leftover and make the plan less accurate.

| Goal type | How progress is tracked | Watch for |
|---|---|---|
| External | One linked bank account’s balance | It follows the linked account; avoid adding a second record of the same activity elsewhere. |
| Manual | Contributions entered by you | Duplicating category transactions can affect Leftover; subtracting activity raises the required monthly contribution. |
To edit or delete a goal, open its menu and select the relevant action. Before changing a target or contribution, consider how its due date and planned monthly amount fit beside bills and category budgets, rather than treating the goal as an isolated number.
Step 5: Recheck the full monthly plan
Once transactions, budgets, bills, and goals are set, review them together. PocketGuard’s budgeting guidance describes allocating income across bills, category budgets, and goals as a zero-based budgeting approach. That does not mean every displayed figure should be forced to zero without checking it; it means assigning the income you plan to use to real obligations, spending, and savings intentions, then assessing what remains.
- Check income. Confirm that the plan reflects the income you are using for the budget period.
- Review fixed obligations. Look through upcoming bills for missing, outdated, or inactive entries and make sure each obligation is represented once.
- Review flexible categories. Check whether the category budgets reflect the variable spending you actually want to manage, and whether transactions are in the right categories.
- Review goal contributions. Compare the planned monthly amount with what remains after the bills and spending plans.
- Inspect Leftover. If it is negative or too small for your needs, first look for a bill also covered by a category budget or duplicate manual goal activity. Then adjust flexible budgets or the goal contribution to a level the month can support.
If Leftover is unexpectedly high, do not assume the budget has extra money until you have checked for unentered bills, missing category budgets, or transactions assigned to an unsuitable category. The figure is useful only when the underlying entries are complete and not duplicated. Review the plan again when a recurring bill changes, a goal target or due date changes, or actual variable spending shows that a category amount needs adjustment.
Quick Recap
A quick decision guide
- Want a regular spending distinction visible in the pie chart? Create a custom category, then add a category budget if you want to reserve a planned amount.
- Want to group one trip or temporary event? Use a hashtag rather than creating a lasting category just for that event.
- Is the expense predictable and recurring? Put it in Bills, not in a duplicate category budget.
- Is the expense variable across the month? Consider a category budget rather than treating it as a fixed bill.
- Want savings progress to follow an account balance? Use an external goal. Want to record contributions yourself? Use a manual goal, taking care not to duplicate spending transactions.
- Is Leftover implausibly low? Check for duplicate bill and category allocations or duplicated manual goal activity before lowering every budget.
