Choose GST invoicing software for an FMCG business by testing how it handles the whole sale—not just whether it can print a tax invoice. Follow a real order from batch receipt and depot stock through pricing schemes, distributor credit, dispatch, invoicing, e-way bill requirements, returns and credit notes. The right system should connect these steps in a way that fits your locations, channels, accounting process and applicable GST obligations.
Start with the transaction the software must handle
For an FMCG distributor, wholesaler, manufacturer or retailer, an invoice is one event in a chain of inventory and money movements. A product may arrive in a particular batch, move between godowns, be sold under a scheme, travel on a route, and later be returned. If billing is disconnected from those records, staff may re-enter information, stock balances can become unreliable, and the business may struggle to explain how an invoice amount was calculated.

Before comparing feature lists, write down one representative transaction from your business. Include the product units you actually sell—such as cartons, boxes and pieces—along with the batch, expiry date, location, customer price, scheme, payment terms, dispatch details and possible return. Ask every finalist to show the same scenario in its software. A generic product tour or a stock balance screen is not enough to establish that a workflow fits.
What GST invoice and e-invoice workflows should you check?
Separate an ordinary PDF invoice from a registered e-invoice
A billing system can create an invoice document without that document being a GSTN-registered e-invoice. For an e-invoice workflow, the invoice data must be reported to an authorised Invoice Registration Portal (IRP) and an IRN must be obtained. IRIS IRP describes a registered e-invoice as including an IRN and a digitally signed QR code. During a demo, ask the vendor to show the IRP connection, what information is sent, how the resulting IRN and QR code appear on the invoice, and what happens if submission fails.

Do not accept a PDF that merely looks complete as proof that the IRN process has occurred. Ask to see the registered result and the software’s status or error handling. Also establish how the system handles the cases your staff actually encounter: correcting invoice data, cancellation, credit or debit notes, and a failed or delayed IRP response. Confirm the steps against current official GST guidance and the chosen vendor’s written plan documentation before implementation.
Check whether e-invoicing applies to your taxpayer
GSTN guidance states that the notified e-invoice turnover threshold is ₹5 crore and above from 1 August 2023. Applicability is based on aggregate turnover associated with a PAN, including turnover in any preceding financial year since FY 2017–18, subject to the applicable rules and exemptions. It is not determined simply by whether a business describes its invoices as digital. A company should verify its own status and exemptions rather than relying on a software salesperson’s general answer.
A separate reporting-window rule applies to a higher turnover bracket. IRIS IRP says taxpayers with annual aggregate turnover (AATO) of ₹10 crore and above must report e-invoices within 30 days from the invoice date, effective 1 April 2025. That deadline concerns when invoices must be reported for that bracket; it does not replace the ₹5 crore applicability threshold. Rules may change, so check live official guidance for the taxpayer and period concerned.
Test tax setup and correction records
Have the vendor demonstrate tax invoice creation with your party GSTIN data, HSN codes, tax rates and actual invoice types. Check that an operator can see whether required fields are missing before dispatch or submission. Then follow a correction through the system: determine which records change, whether the original invoice remains traceable, and how a credit or debit note is represented in the books and reports. The goal is a dependable audit trail, not merely a printed document.

Compare inventory controls that matter to FMCG
Batch, lot and expiry traceability
Ask the vendor to receive stock against a batch or lot number and expiry date, place it in a specified godown or depot, and then allocate stock to a customer order. The demonstration should show whether staff can trace a dispatched item back to its batch and location. Have the vendor show how near-expiry and expired stock is identified and whether the business can enforce first-expiry-first-out (FEFO) allocation when its policies require it.
Do not infer batch traceability from a screen that shows only a total quantity. A useful test is to split the same product across two batches with different expiry dates and locations, then create an order that needs a particular quantity. See what the system proposes, what the operator can override, and what record remains if goods are returned. The exact rules your business needs depend on its products and customer agreements; demonstrate those rules rather than assuming every FMCG operation uses the same process.
Multi-godown stock and unit conversion
For businesses that store goods at more than one location, check depot or godown balances, transfers, dispatch allocation and branch-level reporting. If stock is bought in cases but sold in cartons, boxes or pieces, ask the vendor to show the unit conversions on a real item. Confirm how a transfer affects both locations and how staff distinguish stock physically available for dispatch from stock recorded elsewhere.

Establish whether the chosen system supports the company’s required route assignment, mobile or offline work, and reconciliation of goods loaded, sold and brought back. Feature names alone do not establish that a given deployment, plan or user role includes the workflow.

Test schemes, discounts and the invoice amount
FMCG pricing can include free goods, volume offers, cash discounts and distributor-specific schemes. Recreate the business’s actual rules and inspect both the invoice and the resulting records. For example, ask what happens when a customer qualifies for a free-goods offer but the order is split across locations, or when a return affects a quantity-based scheme. The vendor should show the calculation rather than describe it in general terms.
Check whether staff can distinguish the relevant price and discount components, whether the output is understandable to the customer, and how the scheme appears in reporting and accounting. Incomplete or manually calculated schemes can make invoice values and margins difficult to reconcile. Decide in advance which treatment and reports your finance team needs, and confirm that the software records the outcome at invoice and return level.
Link orders to credit, collections and returns
Distributor credit and collections
If customers buy on credit, ask the software to check a distributor’s limit or outstanding balance before an order is confirmed. Follow the transaction through receipt entry and aged-outstanding reporting. Check whether authorised staff can see the information they need without exposing records beyond their role, and whether a receipt can be matched to the relevant invoices in the way your finance process requires.
Returns and credit notes
Test a return against its original invoice and, where relevant, its batch. Ask how the system records the returned quantity, location and condition, and whether it distinguishes stock that can be resold from stock that cannot. Then create the corresponding credit note and inspect the customer balance, stock records and reports. A return workflow should let the business reconcile what came back with what was originally sold; a standalone adjustment that loses the original trail may not be sufficient for its needs.

Connect dispatch, routes and e-way bills
Ask the vendor to move an order from confirmation to dispatch and show how invoice, transporter and movement information are handled for your actual routes. Test the inter-state and other movement cases relevant to the company, rather than assuming one demonstration covers them all. A connected process can reduce duplicate entry, but the precise data requirements and exceptions should be checked against the business’s dispatches and current rules.
For a distributor-led operation, route-wise orders, field sales, van stock, collections and secondary-sales visibility may be more consequential than a long list of generic invoice options. Establish which capabilities are available in the proposed setup, whether they depend on mobile access or connectivity, and how transactions made in the field appear in the central records. Ask the vendor to demonstrate exceptions such as an order change or a dispatch that cannot be completed as planned.
Review accounting, reports and control over your data
Billing software should fit the accountant’s and finance team’s month-end process. Check purchase and sales records, GST reports and exports, reconciliation steps, accounting handoff and audit trail. Ask the vendor to show the reports your team will actually use, not just a list of report names. Confirm whether each feature is present in the edition and plan being quoted.

Pick the symptom - the matching free tool is one click away.
Also ask how backups work, how often data can be exported, which formats are available, and what happens to your records if you stop using the service. These questions matter for continuity and portability, particularly when invoices, stock history and customer balances are central to operations. Get answers in writing rather than relying solely on a sales demonstration.

Vendor-described FMCG capabilities to investigate
The following are examples of capabilities vendors describe publicly, not independent product audits or proof that a feature is included in every edition. Use them to decide what to ask in a demo, not to rank products.
| Product | Capabilities described by the vendor | What to establish directly |
|---|---|---|
| BUSY | Its FMCG page describes billing and accounting for wholesalers, distributors and manufacturers, including batch and expiry tracking, schemes, multi-godown inventory, GST features, e-invoices, e-way bills and product units such as cartons, boxes and pieces. | Which capabilities are included in the relevant edition; how a realistic batch-to-invoice transaction works; and whether the setup supports the business’s locations, users and accounting process. |
| exactllyERP | Its FMCG page describes batch and expiry management, schemes, distributor/dealer management, multi-depot stock, returns, credit notes, route-wise dispatch and secondary-sales visibility. It also describes GST invoices with HSN codes, rates, scheme deductions and batch details. | Deployment scope, integrations, plan terms and whether the demonstrated workflows match the company’s actual order, dispatch, return and reporting requirements. |
| Tradrr | Its landing page describes connected POS, GST invoicing, e-way bill, inventory, warehouse, field sales and credit for manufacturers, distributors, retailers and dealers. | The short feature description is only a starting point: request a full demo of the required transaction and confirm the specific capabilities, scope and terms. |
These descriptions do not establish independent customer outcomes, service reliability, current pricing, implementation quality or suitability for a particular company. Compare finalists on the same transaction and verify commitments in the contract and plan documentation.
Run a structured demonstration before you decide
Prepare a test case with representative products, customer records, price rules, locations and dispatch details. Keep the same case for every finalist so differences in the demo are meaningful. Ask the vendor to use your data or a close sample, and have the staff who will perform the work operate the system rather than watch a sales presentation.

- Test an exception: Simulate an error relevant to your operation, such as an IRP submission issue, changed order or unavailable stock. See the recovery steps and how the software avoids duplicate or misleading records.
Compare total operating fit, not just the feature list
The available vendor descriptions do not establish current prices or contract terms. Request a written quote that spells out subscription and implementation charges, user and entity limits, data migration, integrations, training, support response, renewal terms and any conditions for data export. Compare the full annual cost and the work required to keep the system running, not only the headline subscription figure.
Check deployment and internet requirements against the locations where people will use the software. If field staff need mobile or offline access, make the vendor demonstrate that exact use case and explain how records sync. Confirm support coverage and escalation arrangements with the people responsible for billing and dispatch. A feature that exists but cannot be used reliably at a depot or in the field may not solve the operational problem.
Before signing, record the agreed workflows and included capabilities in writing. Confirm who will migrate opening stock, customer balances and historical records; how data will be checked after migration; what training is included; and how your organization can retrieve its information if it changes systems. These details help distinguish a feature demonstration from a workable implementation.
Choose according to the shape of your FMCG operation
- Single-location retailer: Prioritize fast billing, correct GST and HSN setup, stock units, purchase and sales records, and a returns process your staff can follow. Do not pay for distribution workflows unless they solve a real need.
- Wholesaler or distributor: Give more weight to batch and expiry traceability, schemes, customer credit, collections, multi-godown stock and dispatch. Test whether the system can represent your route and customer rules without routine manual workarounds.
- Manufacturer with downstream channels: Examine batch movement from production or receipt through depot allocation, distributor sales, returns and secondary-sales reporting. Confirm how the system connects to other operational or accounting tools your business depends on.
- Business with multiple entities or branches: Verify entity and user limits, role permissions, branch reports, stock transfers, consolidation and the accounting handoff. Ask for the cost and operational effect of adding a location or user before growth makes the question urgent.
Common selection mistakes to avoid
- Buying on an e-invoice label: Confirm the IRP process, IRN and signed QR output when applicable; a PDF invoice alone does not establish registration.
- Assuming all stock is interchangeable: Test batches, expiry dates, locations and the actual allocation rules that determine which goods can be dispatched.
- Ignoring schemes until after rollout: Model real offers, returns and their accounting effects before choosing, so staff do not have to calculate them outside the system.
- Taking a vendor feature page as a commitment: Have the feature shown in the proposed plan and capture scope, limits and support in writing.
- Comparing prices without implementation: Include migration, training, integrations, support and renewal terms in the cost comparison.
Make the decision with evidence from your own workflow
Shortlist systems that satisfy your compliance needs, then compare them on the same receipt-to-return scenario. Record whether each required step worked, what required manual intervention, which reports were produced, and which capabilities need a written confirmation. Ask the finance, warehouse, dispatch and sales teams to sign off on the parts they will use. This produces a more useful decision than choosing from feature counts or vendor claims alone.
