Google Workspace did not make “full Gemini” free. Beginning in 2025, Google folded a broad baseline of Gemini features into Workspace Business and Enterprise plans, discontinued the former Gemini Business and Gemini Enterprise add-ons for new purchases, and raised Workspace pricing. The result is a bundled AI model: useful for businesses whose employees use Gemini, but potentially more expensive for organizations that do not.
Access still varies by edition, usage limits, administrator settings, geography, and rollout status. Higher-capacity AI features may require separate AI Expanded Access or AI Ultra Access add-ons.
The short version
- Google included Gemini capabilities in Workspace Business and Enterprise subscriptions rather than continuing the old standalone add-on structure.
- Workspace prices increased to reflect that bundled AI value.
- “Full Gemini” is an oversimplification: included access is not unlimited access to every model, feature, or Google AI product.
- Business Starter, Standard, and Plus do not provide identical Gemini functionality, storage, security, or usage limits.
- Organizations that need more AI capacity can buy higher-level access, while administrators can disable Gemini without necessarily reducing the subscription price.
The financially relevant comparison is not “Gemini versus free.” It is the organization’s complete per-user Workspace cost before and after the change, measured against how much employees actually use the included AI.
What Google changed
Before 2025, a company could buy a Google Workspace plan and separately purchase Gemini-related add-ons for selected users. Google marketed Gemini Business and Gemini Enterprise as additional ways to access advanced AI capabilities in products such as Gmail, Docs, and Meet.

Google announced in January 2025 that it would stop selling those former Gemini add-ons to new customers and include many Gemini capabilities directly in Workspace Business and Enterprise editions. Existing customers were transitioned under the new structure rather than simply losing access. Google’s announcement is available in its Workspace Updates post and its pricing announcement.
The important distinction is that Google bundled AI into a higher Workspace subscription price. It did not create a no-cost version of every Gemini product for every business user.
When the price change took effect
Google’s announced schedule varied according to customer type and billing arrangement:
- New-customer pricing was scheduled to begin January 16, 2025.
- Existing monthly customers were scheduled to move to updated pricing beginning March 17, 2025.
- Annual or fixed-term customers generally moved at renewal, if that occurred later.
- Google later said very small businesses would receive the pricing change beginning July 7, 2025.
Customers who had purchased the former Gemini for Workspace add-ons were not intended to continue paying for those discontinued add-ons after January 31, 2025, although the exact transition and billing timing depended on the subscription arrangement.
How much did Workspace get more expensive?
Google gave an illustrative Business Standard comparison: a customer paying $32 per user per month for Workspace plus a Gemini Business add-on would instead pay $14 per user per month under the bundled Business Standard example—$2 more than the prior Workspace-only price used in that comparison.
That example is not a universal current price. Google Workspace pricing varies by:
- Country and currency
- Flexible versus annual or fixed-term billing
- New-customer or existing-customer status
- Promotional eligibility
- Organization size and contract terms
- Workspace edition
- Whether AI Expanded Access or another add-on is purchased
Check the official Workspace pricing page for the relevant country and billing method before making a purchasing decision. The page currently identifies a 300-user cap for Business Starter, Standard, and Plus, along with different storage allocations and flexible-versus-annual pricing.
Calculate the real organization-wide increase
Businesses should compare the entire license stack, not the price of one AI seat:

Annual Workspace cost = monthly price × number of users × 12
Annual increase = (new Workspace price − old Workspace price) × users × 12
Bundled-AI comparison = new Workspace price
versus old Workspace-only price + old Gemini add-on price
Run the calculation separately for three groups:
- All licensed users receiving the bundled baseline AI.
- The smaller percentage of employees who actively use Gemini.
- Power users who may need AI Expanded Access or AI Ultra Access.
For example, a $2 monthly increase applied to 100 users is $2,400 per year before taxes and other adjustments—even if only 10 employees regularly use Gemini. That does not automatically make the increase unreasonable, but it changes the break-even question: the active users must save enough time or replace enough other software to justify the cost assigned across the whole organization.
What each Business plan generally provides
Google’s feature matrix changes as new capabilities roll out, so treat the current edition comparison as authoritative. The broad differences are:
Business Starter
Business Starter is the entry-level edition. Google lists Gemini access in Gmail, access to the Gemini app with Workspace protections, and baseline NotebookLM access. It generally has lower AI usage limits than higher editions and includes 30 GB of pooled storage per user.
Starter may be adequate for occasional drafting, email assistance, and basic conversational AI. It is less suitable if employees need extensive AI inside multiple Workspace applications or if the business needs larger storage and higher-capacity collaboration features.

Business Standard
Business Standard adds broader Gemini functionality across Workspace applications, expanded access in the Gemini app, and more extensive NotebookLM access. It also includes 2 TB of pooled storage per user and adds capabilities such as meeting recording and larger meetings.
For many small businesses, Standard is the edition where the bundled AI becomes more practically useful: employees can use assistance across more of the documents, meetings, and data they already handle.
Business Plus
Business Plus adds more storage, security, and administrative capabilities. Google identifies 5 TB of pooled storage per user for Business Plus and lists features such as Google Vault and eDiscovery for qualifying configurations.
Do not upgrade to Plus solely because of Gemini unless the edition’s higher AI capacity is actually needed. Vault, retention, eDiscovery, security, and administration may be the stronger reasons to choose it.

What “included” does not guarantee
Included Gemini access does not guarantee:
- Unlimited prompts or generations
- Identical models on every Workspace edition
- The same context-window size on every plan
- Unlimited image, video, research, or automation generation
- Unlimited NotebookLM notebooks, sources, or outputs
- Immediate access to every newly announced feature
- Access to every consumer Google AI feature
- Access to every Google AI Ultra capability

What Gemini can do in a business Workspace
The practical value depends on the employee’s workflow rather than the product label.

Availability is not identical across Starter, Standard, Plus, and optional AI-access tiers. Google’s current Workspace Gemini documentation is the better reference than an older feature list.
What “full Gemini” does not mean
The phrase “full Gemini” can mislead buyers in four ways.
It does not mean unlimited usage
Every plan has defined access levels and limits. A team that uses AI casually may never notice them; a research, marketing, engineering, or creative team may reach them regularly.
It does not mean every plan has the same models
Model access, context limits, image and video capacity, research features, and NotebookLM limits can differ by edition or add-on. Google can also change the matrix as products develop.
It does not mean every feature launches everywhere at once
Features may be released gradually, restricted by country or age eligibility, or dependent on administrator settings. A capability announced by Google is not necessarily available immediately to every Business user.
It does not mean Gemini can search all company data
Gemini generally follows the requesting user’s existing Workspace permissions. It does not automatically receive unrestricted access to the company’s Drive, Gmail, or delegated mailboxes.

When AI Expanded Access may be necessary
Google’s newer add-on structure separates ordinary included access from higher-capacity AI access. AI Expanded Access is designed for users who need more advanced capability, including higher access to advanced Gemini models, image and video generation, NotebookLM, Workspace Studio automation, and other features as they become available. Google’s current help page also states that each licensed user receives 2,000 monthly Google Flow credits.
AI Ultra Access is positioned as the highest level of access to advanced Workspace AI capabilities. It is more relevant to specialist users doing intensive research, coding, creative work, image or video production, or automation than to employees who only need email drafting and meeting summaries.
This creates a tiered purchasing decision:
- Choose a base Workspace edition for ordinary productivity and baseline Gemini access.
- Upgrade the Workspace edition if storage, meetings, security, administration, or included AI capacity justify it for most users.
- Assign AI Expanded Access selectively to power users where possible.
- Use AI Ultra Access only where the highest current level of capability has measurable value.
Buying the highest tier for every employee is rarely the most efficient approach if only a small group needs advanced AI. Google’s billing documentation indicates that AI Expanded Access purchased directly online is billed on a flexible plan, while annual or fixed-term Workspace commitments generally offer a lower monthly Workspace rate in exchange for commitment obligations. Review the billing guidance before mixing commitments and add-ons.
Privacy, permissions, and governance
Google says Workspace Gemini interactions receive Workspace-grade data protections. According to Google, customer data, prompts, and generated responses are not used to train Gemini models outside the customer’s domain without permission. Gemini is intended to use the user’s existing Workspace permissions, and administrators can disable Gemini or restrict its access to Workspace data. Google also says the offering can support certain HIPAA workloads, subject to the organization’s configuration and compliance responsibilities.

- Gemini cannot use email and files protected with customer-controlled encryption keys.
- It generally cannot use a Drive file when the owner’s settings prevent downloading, copying, or printing.
- It cannot access another person’s delegated Gmail inbox merely because the user has delegation.
- Administrators can impose additional restrictions on otherwise accessible Workspace data.

What administrators should check
If a user has a Workspace plan that should include Gemini but cannot find a feature, check these items in order:
- Confirm the user’s Workspace edition.
- Check whether the administrator has enabled the Gemini app and relevant Workspace features.
- Verify that the feature has completed rollout to the domain.
- Check the user’s organizational unit or access group for restrictions.
- Confirm the user meets applicable age and geographic eligibility requirements.
- Determine whether the feature requires a higher edition or AI-access add-on.
- Check whether the user has reached a usage limit.
- Review Drive permissions, Gmail delegation, client-side encryption, and other content restrictions.

An administrator can disable Gemini, but doing so is a usage and governance decision—not necessarily a billing opt-out. Because the AI value was incorporated into Workspace pricing, turning off the feature generally does not restore the former lower Workspace-only price.

Stay on the current Workspace plan when:
- Employees already use Gmail, Docs, Meet, Drive, and Google identity administration heavily.
- Drafting, summaries, meeting notes, or research save measurable employee time.
- Most users need at least occasional AI and the bundled price is lower than the former Workspace-plus-add-on combination.
- The business values integrated permissions and does not want to operate a separate AI platform.
Move to a different Workspace tier when:
- Starter users need Gemini in more applications, more storage, or broader collaboration features.
- Standard users need additional storage, meeting capabilities, or higher AI capacity.
- Business Plus is justified by Vault, eDiscovery, security, or administration requirements.
- Only selected users need advanced AI and a selective add-on is more economical than upgrading everyone.
Consider another productivity suite when:
- Most employees do not want or use generative AI.
- The organization is highly price-sensitive and cannot justify the organization-wide increase.
- The business already relies primarily on Outlook, Word, Excel, Teams, SharePoint, or Microsoft identity services.
- Client-side encryption, data residency, or compliance requirements conflict with Gemini’s limitations.
- The company needs a different AI provider or more predictable usage economics.
The closest broad alternative is Microsoft 365, but compare the complete suite—email, storage, identity, security, collaboration, migration, training, and AI licensing—not simply Gemini against Copilot. For smaller, price-sensitive businesses, Zoho Workplace may also be worth evaluating, although compatibility and integration depth differ.
