An attendance sheet is a paper or digital record of who participated in a class, meeting, shift, or event. For informal tracking, a simple sheet can capture names, dates, and clear status marks. For school records or official reporting, use the approved format and codes required by the relevant authority; a generic printable template is not automatically compliant.
Choose the right attendance-sheet format
Start by checking whether your school or organization requires a particular register or system. Then consider how many people and sessions you need to track, whether you need totals or data exports, and how the record will be accessed, stored, and retained.

Printable sheet
Paper is straightforward when the group is small or the record is needed for a single session. Ireland’s Department of Education provides a Daily Attendance Book for schools continuing a hard-copy roll-book process. The department also notes that electronic attendance systems generally remove the need to maintain a manual book. This is an Ireland-specific school resource, not a universal template or requirement.
Spreadsheet
A spreadsheet can make recurring lists and summaries easier to manage. In England, the Department for Education describes a standard Excel template for schools without a compatible management information system: it records required items twice daily, morning and afternoon, and the completed workbook is saved as CSV for submission through a secure portal. This workflow applies to that England reporting process; it does not prescribe a spreadsheet for every school or organization. See the England attendance-data instructions.

Official school register or system
When attendance is part of official school records, do not assume a generic downloadable sheet is sufficient. New Zealand’s Ministry of Education says covered schools must maintain accurate daily registers and use an approved register; its guidance also addresses attendance codes. Consult the New Zealand attendance guidance for that jurisdiction’s rules.
What to put on a general-purpose attendance sheet
For informal tracking, include only the information needed to identify the group, record participation, and support the next step in your workflow. A practical sheet may contain:

- The class, event, meeting, or department name.
- The date, week, month, or session covered.
- Participant or employee names, ideally taken from an authoritative list.
- A clear mark for each relevant status, such as present, absent, late, or excused. Define the marks on the sheet and use locally required codes where applicable.
- Time in or out, session details, or a brief follow-up field if these are genuinely needed.
- A total or summary area only if someone will use it.
This is a practical design, not a universal list of statutory fields. Official school records may require different information or coded entries. For example, the England Department for Education reporting workflow described above collects attendance by morning and afternoon session.

An attendance record can identify people and reveal patterns in when they participate. Limit access to those who need the information, store paper sheets in a controlled location, and protect digital files with appropriate access controls. Collect no more detail than the attendance task requires.

Retention rules depend on jurisdiction and record type. The UK Department for Education’s school record-keeping guidance says, “You must not keep any data longer than is necessary.” For England, its governance-record table lists attendance registers as retained for six years from the date of entry. New Zealand’s Ministry of Education says boards must keep the referenced school roll records for seven years. That period belongs to the New Zealand school-record context, not to attendance sheets everywhere. Check the rules and records policy that apply to you, then securely dispose of records when retention ends.
For U.S. school records, the Department of Education’s directory-information resource discusses attendance dates in that framework. A public sign-in sheet displaying student names may reveal information unnecessarily, so schools should assess what it exposes and follow their privacy policies.
