Re:

Which Documents Prove the Source of Cash Deposits for Income Tax Purposes?

A bank statement proves that money was deposited, but not necessarily where it came from. Match each deposit to records that identify its source, trace its path, and explain its tax and bookkeeping treatment.

Keep the bank record and the records that explain where the money came from. A bank statement or deposit slip can establish that cash entered an account, but usually does not establish whether it was business income, loan proceeds, a transfer, a gift, an inheritance, a refund, or money you already held. The strongest file connects the deposit to its source, traces the funds into the account, and reconciles the transaction with your books and tax return.

This guide covers U.S. federal income-tax recordkeeping and IRS examination context. The right documents depend on the facts and claimed source; no single form is a universal proof of every deposit.

What counts as proof of a deposit’s source?

Think of the evidence as two linked parts. First, keep proof of the bank transaction: a statement, deposit slip, transaction history, or other bank record. Second, keep proof of the underlying transaction: for example, sales receipts, a loan agreement, a transfer record, or estate distribution paperwork. The bank record shows that money arrived; the source record helps explain why it arrived and how it should be treated for tax purposes.

A useful record set answers four questions: who or what supplied the money, when and how much was supplied, how it reached the account, and how you treated it in your books and return. One item may answer only part of that chain. A deposit slip with no source details, for example, generally says less about the underlying transaction than a receipt matched to a dated sales summary and the corresponding deposit.

IRS Publication 583, in its December 2024 version, describes supporting records such as sales slips, paid bills, invoices, receipts, deposit slips, and canceled checks. These records support entries in books and tax returns. The publication’s examples for business receipts also include cash-register tapes, receipt books, credit-card charge slips, and information returns. Records should show both the amounts and sources of gross receipts.

There is no universal IRS checklist that guarantees a disputed deposit will be accepted based on one document. The IRS says that records submitted in response to an audit request need context: “No record can stand on its own. You must include the circumstances surrounding any document you send.” Identify what each item shows and how it relates to the particular deposit.

Which records to keep for each source of money

Match documents to the source you are claiming. The more clearly the records identify the parties, dates, amounts, and movement of funds, the easier it is to distinguish one kind of receipt from another.

Business cash sales Dated sales receipts, cash-register tapes, receipt book, invoices where applicable, daily sales summary, deposit slip, and bookkeeping entry Sales activity to the cash deposited and the amount recorded as gross receipts
Loan proceeds Signed loan agreement or promissory note, lender identity, amount and repayment terms, disbursement evidence, transfer or withdrawal trail, and repayment records A genuine borrowing obligation and the movement of the loan money into the account
Transfer between your accounts Statements or transaction histories for both accounts and a transfer confirmation A matching withdrawal and deposit showing that the same funds moved between accounts
Gift or inheritance Written gift communication or gift instrument; estate or distribution paperwork; records identifying the donor or estate, date, and amount; and relevant tax filings, if applicable Who supplied the money, when, in what amount, and how it relates to the deposit
Cash held before the tax year Earlier statements, withdrawal records, contemporaneous cash records, and a plausible timeline That the funds were available before the deposit, without an unexplained gap in the account of how they were held
Refund, insurance proceeds, or reimbursement Refund or settlement notice, insurer or payer statement, canceled check, payment record, or reimbursement policy The payer’s identity and the event or purpose behind the payment
Redeployed or redeposited cash or checks The original withdrawal or check record and the later deposit slip or statement That the later deposit represents the same money rather than a new receipt

Business cash sales

For business receipts, preserve records close to the time of sale. A daily sales summary can help explain how multiple customer payments became a cash balance later deposited at the bank. Keep source records that support the total, such as register tapes, receipt-book entries, invoices where applicable, or other transaction records, alongside the deposit record and bookkeeping entry. The amounts should reconcile: if the deposit includes only part of the day’s receipts, document the cash retained or used for other business payments rather than making the bank deposit appear to equal all sales.

Publication 583 is a recordkeeping guide, not a rule that every business must use a particular paper form. Its examples illustrate the kinds of records that can support gross receipts and entries in a return. A well-kept accounting record is most useful when the underlying receipts and bank trail can substantiate it.

Loans

A loan claim should show more than a label written beside a deposit. Keep the signed agreement or promissory note, the lender’s identity, the principal amount, repayment terms, and evidence of how the money was delivered. Retain repayment records as they occur. A bank transfer from the lender to you creates a direct trail; if the lender paid you in cash, preserve contemporaneous documentation explaining the disbursement and your receipt of it.

IRS audit document-request guidance may seek details about loan agreements. Examination guidance also recognizes loans as possible nontaxable deposits, but that does not mean an examiner must accept a deposit as loan proceeds without supporting evidence. The records need to fit together: the claimed lender, amount, date, obligation, and bank movement should be consistent.

Transfers between your own accounts

Keep records from both sides of the transfer. The withdrawal from one account should match the deposit into the other in amount and timing, allowing for any documented fees or other adjustments. Without the first-side record, a deposit in the receiving account can look like a separate receipt. This is especially important if personal and business funds move between accounts or if you use more than one financial institution.

Gifts and inheritances

Preserve documents that identify the person or estate supplying the funds, the date and amount, and the reason for the payment. A written communication, gift instrument, estate distribution statement, or related paperwork can provide context; pair it with the transaction record showing how the money reached you. A description such as “gift” in a ledger is not, on its own, evidence of who provided the money or why.

Tax treatment can depend on facts beyond the fact that money came from another person or an estate. Keep any relevant filings or notices, and seek advice tailored to the transaction if its tax consequences are uncertain.

Previously held cash

Cash accumulated before the tax year can be difficult to trace after the fact. Earlier bank statements, withdrawal records, contemporaneous notes, and records showing when and how the cash was held can help establish a timeline. A later deposit slip proves when cash entered the account, not when you obtained it or whether it was previously reported. Avoid relying solely on a retrospective assertion when contemporaneous records are available.

Refunds, insurance payments, reimbursements, and redeposits

For a refund, insurance payment, or reimbursement, keep the payer’s notice or statement and a record of the payment. Include the document describing the underlying purchase, claim, or reimbursable expense if it helps explain the payment. For cash or a check that was withdrawn or otherwise removed and later redeposited, preserve the original withdrawal or check record as well as the later deposit record. That comparison can show the later deposit is not a second receipt of new money.

How to build a deposit record that is easy to explain

  1. Keep the bank evidence. Save account statements and copies or images of deposit slips, transfer confirmations, and other transaction records. A statement establishes the bank-side date and amount; it does not necessarily identify the source.
  2. Write down the source while it is clear. Record the date, amount, account, payer or source, and purpose in your books or a deposit log. Keep supporting receipts, agreements, notices, or other source documents with the entry.
  3. Match source documents to deposits. Give each deposit a reference number in a schedule and label the related documents with the same number. If one deposit combines several sources, show the components and the records supporting each one.
  4. Trace money moving between accounts. For transfers, retain both the sending and receiving account records. For redeposits, keep the original withdrawal or check evidence beside the later deposit record.
  5. Reconcile the schedule to your books and return. Explain how business receipts were recorded and identify nonbusiness items or transfers. The totals should be traceable; investigate differences rather than assuming that every bank deposit is a new receipt.
  6. Preserve explanations with the records. A short note made near the transaction can capture details that do not appear on a bank statement, such as what a payment covered or why a transfer occurred. Keep it factual and consistent with the supporting documents.

A deposit ledger or bookkeeping journal can make the schedule easier to maintain, but the ledger is an index and explanation—not a substitute for the source evidence itself. The December 2025 draft revision of Publication 583 recommends noting whether deposits are business income, personal funds, or loans and keeping copies of deposit slips. That text is from a draft, not a final publication; the practical approach of documenting sources is also consistent with the supporting-record framework in the December 2024 publication.

What happens if the IRS asks about deposits?

IRS examiners may compare bank deposits with reported receipts and consider cash deposits, unusual deposits, commingled personal and business activity, related withdrawals, and redeposits. The IRS Examination of Income guidance describes accounting for nontaxable receipts such as loans and transfers in a bank-deposits analysis. IRS Criminal Investigation guidance likewise describes ways sources may be identified, including deposit slips, bank ledger sheets, transfer letters, bank records, admissions, and witness testimony. These are examination methods, not a checklist of documents every taxpayer will be asked to provide.

A deposit is not automatically taxable income simply because it appears in a bank account. IRS examination guidance directs examiners to account for nontaxable receipts and eliminate transfers and redeposits when analyzing deposits against reported receipts. IRS Criminal Investigation guidance also says that the mere fact of depositing money does not prove that the funds were taxable. At the same time, calling a deposit a loan, gift, or transfer does not substantiate that explanation. Keep credible records that support the asserted source and tax treatment.

If you receive a records request, organize copies around the specific deposits at issue. Provide a schedule or index, attach the relevant bank and source documents, and add a brief factual explanation of how the pieces connect. The IRS also states that taxpayers must substantiate certain items on a return and should keep adequate records or sufficient evidence supporting their statements. An unclear source, inconsistent records, mixed accounts, or a material unexplained balance may warrant advice from a tax professional familiar with your facts before you respond.

Common recordkeeping mistakes to avoid

  • Keeping only the deposit slip. It usually documents the deposit, not who supplied the cash or what transaction produced it.
  • Using a source label without backup. A note that says “loan,” “gift,” or “personal funds” is more useful when it points to records that support the label.
  • Recording only the receiving account. For transfers, retain the sending-account transaction too, so the movement does not appear to be a second receipt.
  • Reconciling only after questions arise. A contemporaneous log and orderly records make it easier to explain amounts and dates than trying to reconstruct every transaction later.
  • Submitting documents without context. Identify what each item proves and how it relates to the deposit; an unorganized bundle can leave the connection unclear.

Scope and limits

The guidance described here concerns U.S. federal income-tax records and IRS examination context. It does not determine the tax treatment of a particular deposit, cover state or local rules, or establish a special cash-deposit threshold. Whether money is taxable depends on the facts and the nature of the transaction. The relevant goal for recordkeeping is to preserve an understandable, supportable trail from the claimed source to the bank deposit and its treatment in your records.
