End a silent auction at a clearly announced time that gives bidders a fair chance to participate and leaves enough time to confirm winners, take payment and hand over items. For an in-person fundraiser, schedule the close around the event program, likely guest departures and checkout capacity. For an online auction, set a deadline that works for remote bidders and state its time zone. There is no universally best hour or duration.
How to choose a closing time
Start with what needs to happen after bidding stops. Estimate when guests will leave, whether dancing or another program segment will draw them away, how many physical items winners must collect, and how many people can help with checkout. Closing earlier in the evening can give winners more time to pay and collect their items. Fundraising specialist and GalaBid co-founder Dee Brannick puts it this way: “Closing the silent auction earlier in the evening allows winners more time to pay themselves or for event staff to assist guests with checkout.” GalaBid’s timing guidance is practical vendor advice, not evidence that an earlier close will raise more money.
Work backward from the time guests are expected to leave: allow a realistic window for winner confirmation, payment and pickup, then place the bidding deadline before that window. If checkout is likely to be busy or there are many items to distribute, closing earlier or assigning more staff may be more workable than ending bidding at the last moment.
Choose a schedule that fits the auction format
In-person event
Coordinate the deadline with the event schedule and the audience’s attention. A close during a speech, performance or other busy segment can be easy to miss. Consider whether guests will leave soon after dinner or move to dancing, and leave time for checkout and item collection before they go.

Online auction
An online auction can end during the event or remain open after it, depending on the campaign and audience. GalaBid reports that about one week is the most common online-auction duration in its July 13, 2026 article; that is a vendor-reported practice, not a universal ideal or proof of better fundraising results. GalaBid’s duration guide also notes that no single duration suits every auction.
When bidders may be in different locations, publish the exact date, time and time zone. Consider whether the deadline is reasonable for remote participants, rather than assuming all bidders are attending the event or are in the same time zone.

Should bidding close before or after the live auction?
Either order can work; choose based on the event’s goals and schedule. Closing the silent auction after the live auction gives the emcee a chance to direct people who did not win a live item toward the silent auction. Closing it before the live auction can shift attention to live bidding or a donation appeal. Explain the order in the program and give guests reminders as the deadline approaches. These are scheduling tradeoffs, not evidence that one sequence reliably produces higher proceeds. GalaBid discusses both approaches.
Pick a closing procedure bidders can follow
Every item does not have to close at the same moment. Depending on the room and the number of bid sheets, organizers can close items in timed groups, by zones, or in batches. The Rocky Mountain Elk Foundation describes these as chapter-level practices and notes that different approaches suit different chapters; they are operational options, not universal standards. - Batch sheet collection: Can suit paper auctions, provided staff follow a clear sequence and bidders know when their sheets will be collected.
Whatever procedure you use, state it in the event program and repeat it during the event. A paper bid sheet can show an item’s start and end times; Wild Apricot’s bid-sheet template illustrates that format but does not establish an optimal schedule.

Tell participants exactly when bidding ends and explain what happens if a bid is late, tied or invalid. If an online platform can extend bidding, explain when and how extensions work before the auction opens. Follow the published terms and avoid changing the closing rules at the last minute. GalaBid’s UK charity guide recommends stating the deadline and time zone, explaining extension rules and handling late or disputed bids according to the auction’s terms. Plan what happens after bidding ends
The auction is not operationally complete when bidding stops. Assign people to validate bids, confirm and notify winners, collect payment, and arrange pickup or delivery. Build that work into the event schedule so winners know where to go and staff are available to help. The right closing time is the one that makes this handoff feasible as well as giving bidders a clear, fair deadline.
