A carrier or logistics provider reviews the shipment details and responds—often by confirming the request, rejecting it, or asking for changes. A submitted request is not yet a confirmation, and a booking confirmation is not the same as a bill of lading.
What does “booking” mean in logistics?
Booking is the stage when a shipper, ordering party, or freight forwarder asks a carrier or logistics provider to arrange transportation for a shipment. The request identifies the cargo and the service being sought so the provider can review it. The provider’s response records what it can arrange, subject to the details and terms of that service.

In SAP’s documented ocean and air freight workflow, the freight booking is the primary transportation document in that system, and the carrier can confirm or reject it. That description applies to SAP’s workflow; it is not a universal legal definition for every shipment or provider. SAP Help Portal: Freight booking process
How does a logistics booking work?
- Prepare shipment details. Gather the origin and destination, transport mode and requested service, cargo description and relevant measurements, shipper and consignee information, timing, and any special handling instructions. The exact fields depend on the service. FedEx Logistics lists mode, service level, party information, and special instructions for its e-booking process; its portal also allows supporting commercial invoices and packing lists to be uploaded. - Submit a request. The shipper can request transport directly from a carrier, through a freight forwarder, or through an online freight system. SAP’s freight-booking workflow and Freightos’s booking procedure describe system-based booking processes.
- Wait for the provider’s response. The provider may confirm, reject, or ask for clarification or changes. A request submitted online or sent to a provider does not by itself establish that transport has been confirmed. - Review the confirmation. Check the shipment reference and the details the provider records. Retrieval methods and confirmation contents vary. Maersk explains how customers can retrieve a booking confirmation from a shipment record, and its inland booking article says the confirmation includes a reference number. - Complete the later shipment steps. The booking is one stage in the transport process. For ocean freight, later steps can include container pickup and loading, shipping instructions and verified gross mass (VGM), followed by issuance of a bill of lading or waybill. Booking confirmation versus bill of lading
A booking confirmation records the provider’s response to the booking request and planned transport information. A bill of lading is a later ocean-shipment document, not another name for the booking confirmation. In the ocean workflow described by OCEAN FREIGHT JAPAN, shipping instructions and VGM follow booking, and the bill of lading or waybill is issued later. What should you check before booking?
Accurate information helps the provider assess the request and reduces avoidable clarification. Before submitting it, check:
- That the origin, destination, transport mode, and requested service match the shipment.
- That cargo descriptions and measurements are accurate and that required supporting documents are ready.
- That the shipper, consignee, timing, and special handling details are complete.
- How the provider will confirm the booking or communicate a change.

There is no single best booking route for every shipper. Compare the service and route, timing, information and documents required, how changes are handled, and the applicable terms. Direct carrier workflows, online portals, and freight systems are all used, but the sources do not establish a universal response time or one method that suits every shipment.
Why the booking reference matters
The reference on a confirmation helps the shipper and provider identify the planned shipment when retrieving its record or asking about its status. Keep the confirmation with the shipment documents and use the provider’s stated method to look up the booking; the precise process and fields are provider-specific.
