What Documents to Keep as Evidence When Defending an Input Tax Credit Claim

Keep the prescribed tax document and records connecting each purchase to receipt, business use, payment, bookkeeping and the return. Requirements differ across Canada, the UK and India.

Keep the tax document required for your country and transaction, plus records showing what you bought, that you received it, how it was used in business, and how the tax amount reached your return. The exact documents and invoice requirements differ: Canadian GST/HST, UK VAT and Indian GST rules are not interchangeable.

Build one evidence file for each claimed purchase

A purchase ledger or card statement alone may not establish that a particular tax amount is eligible to claim. Organize records so a reviewer can follow the transaction from the supplier’s charge to the goods or services received and the amount included in the return.

  1. Keep the prescribed tax document. Save the supplier tax invoice, debit note, import document or other document accepted for that jurisdiction and transaction. Check that it identifies the supplier and, where required, its tax registration details; describes the supply; shows the date and consideration; and states the tax or indicates that the amount includes tax. Recipient details and payment terms may also be required, depending on local rules and the transaction.
  2. Show that the supply took place. Keep delivery notes, goods-received records, service-completion evidence, contracts, purchase orders, work logs or relevant correspondence. Choose records that connect the supplier’s charge to goods or services actually received.
  3. Connect the cost to business activity. Retain records explaining the business purpose and use of the purchase. If a purchase had mixed business and non-business use, keep the allocation records required by the rules that apply to you.
  4. Trace payment or tax paid or payable. Keep bank or card statements, remittance advice, supplier statements and settlement records where relevant. These should help establish who paid the supplier and how the amount relates to the tax document.
  5. Reconcile the claim. Keep the purchase-ledger entry, return workings and any relevant supplier-reported invoice details or tax-portal records. Add a note for adjustments or differences so the claimed figure can be traced back to the underlying transaction.
  6. Make the file retrievable. Use a consistent index—such as supplier, invoice date, tax period and claim reference—and retain legible records in a form you can retrieve. Electronic records can help with organization, but a scan is not automatically a substitute for an original or prescribed document.

For every claim, a reviewer should be able to follow the same chain: tax document, supplier, receipt of the supply, business use, payment or tax liability, ledger entry and return amount. Keep records for the retention period applicable in your jurisdiction; the rules and time limits are not the same everywhere.

Which tax document applies in your jurisdiction?

Use the local rule for the tax regime and transaction. The examples below summarize official guidance from the Canada Revenue Agency (CRA), UK HM Revenue & Customs (HMRC) and India’s Central Board of Indirect Taxes and Customs (CBIC). They are separate jurisdictional examples, not a combined checklist.

The CRA says claimants need sufficient documentary evidence before claiming an ITC. The purchase must also meet eligibility conditions, including that it relates to commercial activity, the claimant is a registrant where required, and tax was paid or payable.

The CRA’s invoice-information requirements depend on the value of the sale. For the thresholds described on its page, supplier business or trading name, date and total amount appear across the listed tiers; additional details—such as tax amount or a tax-included indication, supplier GST/HST registration number, buyer identity, supply description and payment terms—apply at higher tiers. The CRA page notes that the information thresholds increased to $100 from $30 and $500 from $150 under changes effective April 20, 2021; the page details are dated November 19, 2024. Check the CRA’s current requirements for the transaction rather than assuming a particular field set applies to every invoice.

HMRC says alternative evidence may be considered exceptionally—for example, if a valid invoice was lost or a supplier repeatedly failed to provide one despite reasonable attempts. The claimant must satisfy HMRC that VAT was due and charged and that the claimant paid it. HMRC may consider evidence of receipt, payment, business use and the supplier relationship. Routine reliance on alternative evidence may lead to refusal, so seek a replacement invoice from the supplier rather than treating other records as an automatic substitute.

For imported goods, HMRC identifies a C79 certificate as the ordinary evidence. If it is missing, HMRC’s guidance describes factors it may consider; check that guidance for the particular import.

Section 16 of the CGST Act sets out conditions that include possession of a tax invoice, debit note or prescribed tax-paying document and receipt of the goods or services. What to do if a document is missing

  • Ask the supplier for a replacement or corrected tax document and keep the request and response.
  • Preserve other transaction evidence, such as contracts, delivery or completion records, payment proof and business-use records. Organize it so the connection to the supplier and claimed amount is clear.
  • Check the rule for your jurisdiction, transaction type and tax period before claiming on alternative evidence. HMRC expressly treats this route as exceptional; do not assume another country permits the same approach.
  • Review the claim against the applicable invoice requirements and eligibility conditions. If a condition is uncertain, consult the relevant tax authority’s current guidance or a qualified tax professional before filing.

How long should you keep the records?

There is no single retention period established for all three jurisdictions or all types of claimant in the guidance summarized here. Retention periods can depend on local law, filing circumstances and transaction type. Check the rules that apply to your business and tax period before disposing of originals or electronic records. Likewise, do not assume digitizing a paper invoice makes the scan legally sufficient in every jurisdiction.
