For subscriptions bought directly from Microsoft, sign in to the purchasing account, open Services & subscriptions, select Microsoft 365, choose Manage and then Cancel. Microsoft checks refund eligibility during that process.
Microsoft’s published policy generally covers an initial purchase within 30 days, or before the first recurring billing date, whichever comes first. A recent recurring charge may also be refundable if you cancel within 30 days of payment, subject to a one-time limit per Microsoft account and subscription product. Australian Consumer Law may provide additional remedies where the service failed to meet a consumer guarantee or the customer was misled.

How to request a refund from Microsoft
- Go to account.microsoft.com/services/microsoft365.
- Sign in with the Microsoft account that made the purchase.
- Find the Microsoft 365 subscription and select Manage.
- Select Cancel or, where shown, Upgrade or Cancel.
- Follow the prompts and read the final screen carefully.
The result may be one of three things:
- Refund and cancellation: Microsoft ends the subscription and processes the eligible refund.
- Cancellation with access continuing: recurring billing stops, but access remains until the paid period ends.
- Recurring billing disabled only: you receive no refund and retain access until expiry.
Microsoft says that if the account displays Turn on recurring billing rather than Manage, the subscription is already set to expire and should not renew automatically. Save screenshots of the subscription status, charge, renewal date, refund amount and confirmation number.

It also says the most recent recurring charge may be refundable within 30 days after payment, subject to a one-time limit per account and subscription product. For Microsoft 365 Basic, Personal and Family plans, Australia is generally listed as a country where prorated refunds are unavailable under the policy. That is a policy rule—not a statement that Australian law can never provide a partial refund.

If the cancellation or refund option is missing
Common explanations include:
- You are signed into the wrong Microsoft account.
- The subscription has already been cancelled or is already set to expire.
- The purchase was made through Apple, Google Play, a retailer or a reseller.
- The account is an organisation-managed business account.
- There is an unpaid balance or another account issue.
- The plan is an annual commitment paid monthly, rather than a genuinely month-to-month subscription.
Use Microsoft’s cancellation troubleshooting guidance and contact Microsoft Support if the account details do not explain the problem.
Refunds depend on who charged you

Compare the bank statement, Microsoft billing history, receipt, Apple or Google purchase history and any PayPal record. A charge labelled “Microsoft” is not proof that Microsoft was the seller for refund purposes.
What Australian Consumer Law may add
Australian Consumer Law does not usually provide an automatic refund simply because an online customer changed their mind. Ordinary online purchases generally do not have the 10-business-day cooling-off period that applies to unsolicited door-to-door or telemarketing sales. See the ACCC guidance on contracts.

Consumer guarantees still apply to services and cannot be removed by a blanket “no refunds” statement. Depending on the facts, Microsoft 365 may need to be supplied with due care and skill, be fit for a disclosed purpose and be supplied within a reasonable time. Potential issues might include:
- a significant inability to access the service;
- a material advertised feature that did not work as represented;
- the service failing its stated purpose;
- being charged for a period during which the service could not be accessed; or
- misleading information about the price, renewal, plan or included features.
For a major failure, a consumer may be able to cancel the service contract and seek a refund for the unused portion, or compensation for reduced value. For a non-major failure, the business generally gets a reasonable opportunity to fix the problem first. The ACCC’s consumer-guarantee guidance explains the available remedies. These are fact-dependent rights, not an automatic full refund for every cancellation or outage.
Microsoft 365, Copilot and the Australian price dispute
In 2025, the ACCC commenced Federal Court proceedings alleging that Microsoft misled about 2.7 million Australian customers over Microsoft 365 Personal and Family plans after Copilot was integrated and prices increased. The ACCC gave a historical example of an annual Personal subscription rising from AU$109 to AU$159 and alleged that customers were not adequately told about a cheaper “Classic” option.

These are allegations in legal proceedings, not a final finding that every affected customer is automatically entitled to a refund. The cited prices are historical, not current Australian pricing. Your position may depend on the exact communication you received, your plan, renewal date, seller and account history. Do not assume that a historical Classic-plan offer remains an open-ended refund programme; check the current account options and written communications.

What if you were charged after cancelling?
- Check that recurring billing was actually turned off and note the subscription expiry date.
- Check other Microsoft accounts, family members’ accounts and payment profiles.
- Review Apple, Google Play, PayPal and your bank’s merchant description.
- Contact the actual billing platform promptly with your cancellation confirmation.
- Keep the cancellation timestamp, receipt and bank statement.
- Ask your card issuer or payment provider about a dispute if the charge was unauthorised or wrongly processed.
Card and PayPal dispute procedures have their own rules and deadlines. A chargeback is not guaranteed and should not replace a clear merchant complaint for an ordinary change-of-mind request. The ACCC’s online-shopping guidance provides general information.

Unrecognised Microsoft charges: secure the account first
Do not treat an unfamiliar payment as an ordinary renewal until you investigate it. Review Microsoft’s Manage your payments area, search for receipts and renewal notices, and check family members’ accounts and Apple or Google purchase histories. If compromise is possible, change the Microsoft account password and enable multifactor authentication. Contact your bank quickly about an unauthorised-transaction investigation. Avoid phone numbers supplied by suspicious pop-ups or unsolicited emails.
What happens to OneDrive and Outlook after cancellation?
Microsoft says cancellation of Microsoft 365 Basic or Personal reduces the allowance to 5 GB of cloud storage, including OneDrive and Outlook.com attachments, and 15 GB of Outlook.com storage. Family and Premium users who shared the subscription also lose subscription benefits and have their allowances reduced.

Business Microsoft 365 subscriptions are different
Business customers should not rely on consumer refund rules. Microsoft’s business cancellation guidance says the result depends on the billing-account type and purchase route.
For some Microsoft Customer Agreement arrangements, cancelling within seven days may produce a prorated refund. An annual subscription paid monthly may remain financially binding for the rest of its annual term. Before cancelling, check the Microsoft 365 admin centre, billing-account type, subscription term, number of users, data and licences. Purchases through a Microsoft representative or reseller may follow different procedures.
If Microsoft rejects the request
- Repeat the request through the seller that actually processed the payment.
- Ask for a written explanation and the policy or contractual basis for refusal.
- Provide the receipt, account identifier, charge date and amount, renewal notice, cancellation time, screenshots and evidence of any service failure or misleading information.
- State whether you are requesting a refund under Microsoft’s policy or a remedy under Australian Consumer Law, and explain why.
- Contact the relevant state or territory consumer-affairs agency where appropriate.
- Report suspected misleading conduct to the ACCC. The ACCC accepts reports and enforces consumer law but generally does not decide individual refund disputes.
- For an unauthorised or incorrectly processed payment, ask your card issuer or payment provider about its dispute process and deadlines.
Refund request template
I am requesting cancellation of my Microsoft 365 subscription and a refund of the charge dated [date] for [amount]. The subscription was purchased through [seller]. My Microsoft account is [account identifier]. I cancelled on [date/time], and the account showed [refund/cancellation result]. I believe the charge should be refunded because [recent renewal / unauthorised charge / service failure / misleading information]. Please confirm the decision and the policy or legal basis for refusing or approving the refund.

Final checklist
- Identify the seller and payment channel.
- Check whether the charge was an initial purchase or renewal.
- Cancel recurring billing promptly.
- Request the refund through the correct channel.
- Save receipts, screenshots and cancellation evidence.
- Check OneDrive and Outlook storage before benefits end.
- Secure the account if the charge is unfamiliar.
- Escalate to the seller, consumer-affairs agency, ACCC or payment provider as appropriate.
