A strong job application letter—often called a cover letter—connects your experience to a specific role. Use the template below as a starting point, then replace every bracketed detail with accurate information drawn from the job advert and your own experience. Follow the employer’s instructions if they request a different format or no letter at all.

What to include, paragraph by paragraph
Header and greeting
Use the same name and contact-information format as your CV or resume. For a formal letter document, include the date and recipient details where appropriate; if the application form does not call for them, do not add unnecessary information. Address the hiring manager by name when you can verify it. If you cannot identify the recipient, use a suitable greeting such as “Dear Hiring Committee” or one that fits local convention.
Opening
Name the position and organization, and give a concise reason for your interest. Mention where you saw the vacancy only if that adds useful context. Start with a relevant connection to the role rather than spending the opening on “My name is…”; your name is already in your application materials.

Evidence in the middle
Choose a small number of requirements from the advert and support them with examples. Explain what you did and what the example demonstrates. The STAR approach—situation, task, action, result—can help you shape an example, but keep the focus on the actions most relevant to this job. You can draw on employment, education, internships, extracurricular activities, or other relevant experience. Do not claim a result or skill you cannot substantiate.
Closing
Thank the reader, confirm your interest, and indicate that you would welcome a conversation. Choose a sign-off that fits your greeting and the conventions for the role. Before submitting, verify that your contact details are correct.

How to tailor the letter to the vacancy
- Read the advert closely. Identify the role’s main responsibilities and the skills or qualifications the employer emphasizes.
- Select relevant evidence. Match a few of those requirements to examples from your own experience. Prioritize examples that make your contribution clear.
- Learn enough about the organization to be specific. Use its own website, relevant recent news, or information from people familiar with it to identify a genuine reason the work interests you.
- Use the employer’s terminology accurately. Reuse relevant language from the advert when it truthfully describes your experience; do not imply a qualification or background you do not have.
- Make the letter add context. Explain why selected experience matters to this role instead of reproducing your CV or resume line by line.
Length, format, and final checks
There is no single length rule for every employer or application system. The UK National Careers Service describes a cover letter as usually three to five paragraphs, while the University of Pennsylvania advises a maximum of one page for non-academic applications. Treat these as practical guidelines, not requirements that override the employer’s instructions. Use the same font and size as your CV or resume for a consistent presentation.
- Check whether a letter is required and whether the employer wants an uploaded document or text entered into application fields.
- Confirm the job title, organization name, recipient’s name, and your contact details.
- Check spelling, grammar, and formatting, then read the letter once more for relevance and accuracy.
- Remove bracketed prompts and any details that do not apply before you submit.
The UK National Careers Service describes the purpose simply: “A cover letter introduces you to an employer and asks them to think about your application.” A letter can make the case for considering your application, but it cannot guarantee an interview.
