You can use AI at work more safely by using an employer-approved tool and account, sharing only the minimum information needed, and checking how that specific product handles prompts, files, retention, and connected services. If you cannot confirm that a tool is approved for the information you want to enter, do not paste it in; ask your organization’s privacy or security contact.
Before you enter work information, check these three things
- The tool and account: Is this exact AI service, plan, account, and feature approved for the task? A familiar consumer service is not automatically approved for company or personal information.
- The information: Can you complete the task using a generic description, a short excerpt, or synthetic examples instead of real records?
- The handling terms: What happens to prompts and files after submission? Check training or improvement use, retention, deletion, access, logging, and any feedback-sharing settings separately.
These questions matter because protections differ among products, plans, settings, and integrations. For example, Microsoft says its enterprise data protections apply under applicable enterprise terms and that some controls vary by subscription. OpenAI’s no-training-by-default statement names specific business services; it does not apply automatically to every ChatGPT account or integration.
How to minimize what goes into a prompt
Use the least sensitive input that will work
Start with the task, not the underlying file. For a summary, you may need only a short passage. For help drafting a policy, a description of the problem may be enough. Replace real examples with synthetic ones when possible, and leave out details that do not affect the answer.
Remove unnecessary names, contact details, account numbers, customer or employee identifiers, credentials, unpublished strategy, and other sensitive information. Do not include passwords, access tokens, or authentication codes. This reduces exposure but does not guarantee that what remains is anonymous.

Do not confuse pseudonymization with anonymization
Replacing a name with a code or deleting direct identifiers may still leave someone identifiable from the remaining details or from information held elsewhere. The UK Information Commissioner’s Office says pseudonymized personal data remains personal data under UK data-protection law. Its guidance is jurisdiction-specific, not universal legal advice. Read the ICO guidance on security and data minimisation in AI.
Check the exact service, account, and feature
“Not used to train models” is not the same as “not retained,” “not logged,” or “not processed.” Review those issues independently for the product and plan you are actually using. Also check whether your organization has enabled settings that change how data is handled.

Microsoft Copilot
Microsoft describes enterprise data protection for Microsoft Copilot and Microsoft Copilot Chat under applicable enterprise terms. It says prompts, responses, and Microsoft Graph data are not used to train foundation models, and describes controls involving permissions, sensitivity labels, retention policies, audit, and administrative settings. Microsoft also cautions that controls vary by subscription. These statements are specific to the named services and conditions; they do not establish how every connected agent, web search, deployment, or third-party tool handles data. OpenAI business services
OpenAI says: “By default, we do not use data from ChatGPT Enterprise, ChatGPT Business, ChatGPT Edu, ChatGPT for Healthcare, ChatGPT for Teachers, or our API platform—including inputs or outputs—for training or improving our models.” That statement names services and preserves the qualification “by default”; it should not be generalized to all ChatGPT accounts, plans, settings, or integrations. OpenAI’s documentation also describes service-dependent retention and other controls, as well as circumstances in which data sharing can be enabled. Review OpenAI’s business data privacy, security, and compliance information, enterprise privacy information, and how data is used to improve model performance.

Treat agents, connectors, and web search as separate pathways
A prompt may be handled not only by the AI service but also by connected features. Agents, connectors, and external web search can send information to or retrieve information from other services, each with its own handling terms. Microsoft explicitly advises Copilot agent users to review the agent’s privacy statement and terms. Before using an integration with work data, confirm what it can access, where it sends information, and who operates it. Microsoft’s enterprise data protection guidance explains the relevant Copilot considerations.
Review generated content before sharing it
AI output is a draft, not permission to disclose the information used to produce it. Before copying an answer into email, a report, or a public document, check for personal data, confidential details, unsupported inferences, and information that should not be circulated. Follow your normal approval and sharing rules.

If you entered information into the wrong tool
Follow your organization’s incident-reporting process promptly. Do not conceal a possible disclosure. Preserve relevant details—such as the service and account used, the time, the type of information submitted, and any connected feature involved—so the designated privacy or security team can assess what happened. Avoid sending more sensitive material while trying to investigate on your own.

Define permitted uses and data classes
Document which tools and accounts are approved for each workflow, what categories of data may be used, and which tasks are prohibited or require review. NIST’s Generative AI Profile identifies third-party AI inputs as a source of privacy, intellectual-property, and information-security risk and calls for acceptable-use policies and guidance in human-AI settings. The available PDF URL uses an “IPD” filename, so its publication status and version should be confirmed before describing it as a final or current standard. See NIST AI 600-1, Generative AI Profile.

Evaluate each product and subscription on its own terms
For each approved workflow, verify:
- Which account types, plans, and users are eligible for the stated protections.
- Whether prompts, files, and outputs may be used for training or service improvement, including any opt-in or feedback-sharing settings.
- Retention periods, deletion options, and any exceptions.
- How permissions and access boundaries apply to connected organizational data.
- Which audit, administrative, sensitivity-label, and retention controls are available in the subscription.
- How agents, connectors, external search, and other integrations handle information.
- Any processing-region or data-residency commitments, and the contractual terms and jurisdiction that apply.
Microsoft says its Copilot controls vary by subscription; OpenAI describes eligibility limits for some retention and residency options. Confirm the current terms for the exact service and plan rather than inferring protections from a vendor’s general statement.
Make safe behavior practical
Give employees clear approved-tool instructions, examples of acceptable and prohibited inputs, and a straightforward way to ask questions or report a mistake. Review permissions and settings for the deployed product, and make sure people understand that changing the AI provider does not automatically make an existing workflow safe.
