To source products for an online store, start with a specific customer need, choose a sourcing and fulfillment model that fits your cash and control requirements, and vet suppliers before you commit. Compare the full cost of getting each product to the customer—not just its quoted unit price—and check product and marketplace rules before listing.
Choose a sourcing model that fits your business
Sourcing and fulfillment are related but different decisions. A wholesaler or manufacturer provides goods; dropshipping and print-on-demand describe ways products may be held, produced, or shipped after an order. Supplier contracts can change who handles inventory, returns, and particular costs, so confirm responsibilities in writing.
| Route | Inventory and cash | Product control | Fulfillment and customer service |
|---|---|---|---|
| Wholesale resale | Usually requires buying stock and arranging storage. | Choose from existing products; customization is generally limited. | You manage or arrange delivery, inventory, and returns unless the supplier agreement says otherwise. |
| Direct manufacturing or private label | Minimum orders and production lead times can mean a larger upfront commitment. | More control over branding and specifications. | Plan production, quality checks, inventory, and delivery. |
| Dropshipping | Less need to buy and store inventory in advance. | Less direct control over product quality, packaging, and shipping. | The supplier ships orders, but you may still be responsible for customer service and returns. |
| Print-on-demand | Avoids stocking finished products in advance. | Choices depend on the provider’s available products and customization. | The provider produces and ships; verify quality, delivery timing, and service responsibilities. |
These are general trade-offs, not guaranteed terms for every supplier. Amazon summarizes the basic choice as making products yourself or working with suppliers in its online-selling guide.
Wholesale and resale
A wholesaler buys goods in bulk, often from manufacturers, and sells them to business buyers. This lets you select already-made products rather than develop a product or source raw materials, but you typically need to fund stock and plan where it will be stored. Wholesalers may focus on a category or region, sell general merchandise, or operate online. For branded goods, confirm that the seller is the brand or an authorized distributor and keep purchase records.

Direct manufacturing and private label
A manufacturer can produce a custom item, make a white-label product for your brand, or create a private-label version with changed features or materials. Trade shows and wholesale marketplaces can help you find manufacturers. More control over a product can bring extra work and cash needs: request samples, agree on specifications, allow for revisions, and account for minimum order quantities and production time before setting a launch date.
Dropshipping
With dropshipping, you list products and pass customer orders to a supplier that stores or sources and ships the goods. You avoid purchasing and storing inventory in advance, but have less direct control over quality, packaging, and delivery timing. Do not assume the supplier will handle customer questions, missing orders, returns, refunds, or exchanges; agree on those roles and service expectations before listing. On Amazon, dropshipping is generally allowed only if the seller follows its policy and remains the seller of record; check the current Amazon dropshipping guidance.

Print-on-demand and supplier apps
Print-on-demand providers make products after orders arrive, while supplier apps can connect a store to dropshipping or print-on-demand fulfillment. These tools can route orders and reduce some manual work, but they do not remove the need to inspect product quality, processing and delivery times, return terms, and customer-service responsibilities. Provider availability and terms can change. Shopify explains the model and supplier relationship in its dropshipping help guide.
Find and vet potential suppliers
Build a shortlist from manufacturers, wholesalers, trade shows, relevant wholesale marketplaces, referrals, and category-focused networks. A listing or low quote is not proof that a supplier is legitimate or suitable. Amazon’s wholesaler guide recommends checking identity, business locations, authorization, references, and customer reviews.

- Ask for business references and examine reviews for recurring complaints, not just average ratings.
- Request samples where practical. Define product specifications, acceptable quality, and any inspection process before placing a larger order.
- Get written terms for minimum order quantities, unit-price tiers, lead times, shipping, returns, and liability.
- For dropshipping, identify who communicates with customers and resolves late or missing orders, refunds, returns, and exchanges.
- Keep invoices and check the marketplace’s documentation and approval requirements before listing.
Calculate the real cost before placing an order
Compare suppliers using the cost of making the product available to the customer, not the unit price alone. Depending on your product, supplier, market, and sales channel, account for:
- Product cost and any minimum-order commitment.
- Shipping, packaging, customs, and duties where applicable.
- Taxes, including relevant cross-border obligations.
- Marketplace, payment-processing, and other channel fees.
- Fulfillment, storage, and inventory-handling costs.
- Expected returns, refunds, and exchanges.
Then compare that total with a realistic selling price and the delivery promise you intend to make. Amazon’s online-selling guide describes channel costs such as listing, transaction, payment processing, referral, fulfillment, and inventory fees; the amounts depend on the channel and category, so do not treat them as universal ecommerce rates.

Use this sourcing workflow
- Define the customer need. Screen ideas using customer reviews, competitor prices, seasonality, audience breadth, and product size or weight. Amazon presents Product Opportunity Explorer as a way to examine seasonal trends, unmet demand, and niches. These are signals for investigation, not proof of future sales.
- Choose the model. Decide whether you can fund stock and storage, need custom product control, or prioritize a lower-inventory approach. Compare cash commitment, control, lead time, and who ships and serves customers.
- Shortlist suppliers. Search the channels that fit your product category, then verify identity, authorization where relevant, track record, references, reviews, and returns arrangements.
- Test the product and terms. Request samples when practical. Clarify minimums, quality checks, production and replenishment times, shipping, order processing, returns, and customer support.
- Run the numbers. Estimate the full landed and sales-channel costs, then assess them against your intended price and delivery promise.
- Check rules before listing. Confirm product safety standards, restricted-product and category approval requirements, import and customs rules, and tax obligations for the specific item, market, and channel.
- Match your first commitment to what you know. Bulk buying and manufacturing can tie up cash, while supplier-led fulfillment leaves quality and delivery variables outside your direct control. A small initial order or carefully managed pilot is a prudent way to limit exposure to uncertainty, not a formula that guarantees success.
Check product and sales-channel requirements
Rules depend on the product, the countries involved, and where you sell. Before ordering, check applicable safety standards, restricted-product rules, channel approvals, import and customs requirements, and tax obligations. Shopify notes that cross-border taxes and customs duties vary by region in its product-sourcing guide. These general checks do not determine the legal obligations for an individual business or product.
