Choose carefully: for that cancellation, selecting one option ends your right to choose the other two. First check that EU passenger-rights rules cover your itinerary, then make your choice in writing to the operating airline.
Check whether EU cancellation rules cover your flight
Regulation (EC) No 261/2004 generally covers these routes:

- A flight within the EU, regardless of whether the operating airline is based in the EU.
- A flight departing from the EU to a non-EU destination, regardless of the operating airline’s location.
- A flight arriving in the EU from outside the EU if it is operated by an EU airline.
- Flights to and from Iceland, Norway and Switzerland, according to the EU’s Your Europe air-passenger-rights guidance.
Check the operating carrier, which is not necessarily the company that sold your ticket. The EU’s coverage guidance explains which airline’s location and route matter.
Choose between a refund and two rerouting options
The airline must offer the choice once. The regulation and the European Commission’s Your Europe guidance describe three options:

Under the regulation, reimbursement is due within seven days. Once you accept one option, you cannot switch to either of the other two for that cancellation. Do not accept a refund if your priority is to have the airline reroute you, or accept a replacement itinerary if you prefer your money back.
Send a clear written request to the operating airline
The law establishes the choices and complaint route, but does not prescribe a particular request template. For a useful written record, send the operating airline your booking reference, flight number and date, passenger names, contact details and the single option you choose. State the outcome you want plainly—for example, reimbursement or rerouting at the earliest opportunity—and ask the airline to confirm its response in writing.

- Save the cancellation notice and your booking confirmation.
- Contact the operating airline, using its complaint or customer-service form if available.
- State your chosen cancellation option and provide the booking details needed to identify the trip.
- Keep copies of your request, the airline’s replies and any receipts if you need to arrange replacement travel.
If the airline did not offer the choice and instead refunded your original ticket unilaterally, the Your Europe guidance says you may seek the price difference for a replacement ticket under comparable transport conditions. Keep the new ticket and payment records if you pursue that claim.

Claim assistance while waiting after choosing rerouting
If you choose rerouting and are waiting at the airport, the airline must provide assistance proportionate to the wait. This includes meals and refreshments and two calls, texts or emails. If the alternative journey requires an overnight stay, necessary accommodation is also due. These care obligations are separate from both the cancellation choice and any fixed compensation claim. Extraordinary circumstances may affect compensation, but do not remove the underlying cancellation-choice and assistance rights.

Check separately whether fixed compensation may be due
Compensation is a separate question from whether you choose a refund or rerouting. Under the EU framework, compensation may be due if the airline informed you of the cancellation less than 14 days before scheduled departure. The statutory amounts are:

| Over 3,500 km | €600 |
These are amounts set by Regulation (EC) No 261/2004, not estimates. The airline may avoid paying compensation if it proves that extraordinary circumstances could not have been avoided even if all reasonable measures had been taken. The notice-period rules also contain exceptions when the airline offered qualifying alternative departure and arrival times. The Your Europe guidance sets out the conditions; a cancellation alone does not establish that compensation is payable.

Account for itinerary details that can change the outcome
A flight brought forward
The European Commission’s official passenger-rights FAQ treats a flight brought forward by more than one hour as cancelled.
Separate tickets or a single reservation
If your outbound and return flights were booked separately, cancellation generally affects reimbursement for the cancelled flight only. A single reservation involving different operating airlines can raise different questions for the full itinerary. Check whether your flights are on one reservation and contact the operating airline.

Strikes and extraordinary circumstances
An internal airline staff strike is not treated as an extraordinary circumstance under the official EU FAQ. An external strike, such as action by air-traffic-control or airport staff, may qualify. The airline must establish the connection between the circumstance and the disruption, and show that reasonable measures could not have avoided it.
Escalate the complaint if the airline does not resolve it
Complain to the operating airline first, normally through its complaint form. If it has not replied within two months, or you are dissatisfied with the response, you may complain to the national enforcement authority in the country where the incident took place. The Your Europe guidance provides the relevant authority information and describes alternative dispute resolution; access to those procedures is for EU residents. National court limitation periods vary, so check the relevant national authority or consumer centre rather than assuming one EU-wide deadline.
A claim-assistance agency is optional; you do not have to use one before complaining. EU guidance links information about consumer-protection, marketing and data-protection rules applicable to such agencies. Review a provider’s fees, terms and eligibility before agreeing to its services.
Keep the 2026 rule changes in perspective
As of 4 October 2026, the practical rights described here follow Regulation (EC) No 261/2004 and current Your Europe guidance. The Council announced final clearance of amended passenger-rights rules on 13 July 2026. According to the Council announcement, the amended rules enter into force 12 months and 20 days after publication in the Official Journal. Until their commencement date, treat them as prospective rather than as rights already in effect.
