Reconcile Ramp in six stages: connect the correct accounting integration, map accounts, choose a transaction-date policy, review and code activity in Ramp, sync finalized transactions, and compare the synced totals with your accounting records and bank statement. For QuickBooks Online, use Ramp’s separate Reconciliation report to locate missing or unmatched items. Card-to-bill matching and external-debit matching are separate workflows with their own limits.
What reconciliation means in a Ramp workflow
Reconciliation proves that the transactions approved in Ramp, the entries created in your accounting system, and the cash movement in your bank account describe the same activity. It is not simply a matter of pressing Sync. You must first establish account mappings and coding rules, then investigate timing differences, missing records, duplicates, and transactions that belong to bills rather than expenses.

A typical close follows this order:
- Confirm the accounting connection and mappings in Ramp.
- Choose whether your accounting date is the transaction date or clearing date.
- Review, code, and finalize transactions in Ramp.
- Sync the finalized activity to the accounting provider.
- Compare Ramp’s statement-period activity with the provider’s records.
- Match the bank payment to the total Ramp amount recorded for that statement period.
The exact settings, fields, sync behavior, and record types vary by provider. Do not assume that a procedure documented for QuickBooks Online is available in another platform.
The accounting entries you are checking
| Ramp activity | Typical accounting effect | What to verify |
|---|---|---|
| Ramp card purchase | Debit an expense or bank account; credit the credit-card liability. | The category, entity, tax treatment, and liability account are correct. |
| Statement payment to Ramp | Debit the card liability; credit the company bank account. The provider may represent this as a check, journal entry, or another supported payment record. | The payment is recorded once and equals the amount paid from the bank. |
| Card purchase matched to an open bill | Decrease accounts payable for the bill and increase the credit-card payable balance; the matched amount is not posted as a credit-card expense. | The bill was created in the accounting provider and the vendor and amount are the intended match. |
| External debit from a Ramp Checking Account | Syncing a confirmed match creates a bill payment and reduces the bill balance. | The debit came from an eligible Ramp Checking Account and has not already been synced. |
Before you begin: access, scope, and control checks
- Have administrator or accounting access to Ramp and the connected accounting provider.
- Know which Ramp entity, card program, bank account, and accounting entity you are reconciling.
- Confirm that the provider connection is active and that the relevant chart-of-accounts entries exist.
- Decide who reviews coding, who approves exceptions, and who performs the final bank reconciliation.
- Choose a statement period and obtain the corresponding Ramp statement or bank activity.
- Check whether your provider supports the specific workflow you need: card transactions, reimbursements, Bill Pay, Banking, bank feeds, bill matching, or external-debit matching.
- For QuickBooks Online’s dedicated Reconciliation report, confirm that the entity is U.S.-based. Ramp documents that report as available only to U.S.-based entities.
Keep a record of the opening liability balance, the statement payment, and any outstanding transactions. That makes it easier to distinguish a genuine omission from a transaction that is merely dated in a different period.

How do I configure Ramp for my accounting software?
Open the accounting settings
In Ramp, go to the Accounting settings and confirm the integration or export method used by your organization. Configure the settings for the activity you intend to reconcile, such as card transactions, reimbursements, Bill Pay, Banking, or bank transactions. Ramp’s available fields and controls differ by provider, so use the labels shown for your connection rather than copying a QuickBooks-specific instruction into another system.
Map accounts and accounting fields
Map the relevant Ramp accounts to the provider’s chart of accounts. Depending on the workflow, this can include the credit-card liability account, cash or bank accounts, expense accounts, accounts payable, vendors, categories, classes, locations, departments, projects, and other accounting dimensions. Confirm that each Ramp entity points to the intended accounting entity.
Review the mapping with the person responsible for the general ledger. A technically successful sync can still be wrong if a card liability is mapped to an expense account or a bank account is mapped to the wrong entity.

Check integration scope and plan limits
Ramp documents connections for platforms including QuickBooks Online, Xero, NetSuite, Sage Intacct, Acumatica, Zoho Books, and QuickBooks Desktop options, among others. Availability and plan requirements differ. A provider may support direct syncing for one workflow but require a file export or a different setup for another. Confirm support for your precise transaction type before designing the close process around it.
Should I use the transaction date or clearing date?
Ramp documents a choice between recording activity by transaction date and by clearing date. This is an accounting-policy decision, not a universal software recommendation.
| Policy | What it represents | When it may fit | Trade-off |
|---|---|---|---|
| Transaction date | When the purchase occurred. | Organizations that want expenses recognized in the period in which employees made the purchase. | A purchase can appear in an earlier period than the statement or bank clearing activity. |
| Clearing date | When the charge cleared and was included in statement or bank activity. | Organizations prioritizing alignment with statements and bank feeds during reconciliation. | The expense may be recognized later than the date the purchase was made. |
Document the policy, apply it consistently, and communicate it to whoever reviews period-end exceptions. If the accounting date and sync month differ, QuickBooks Online’s Ramp report can show a placeholder in both periods; that is a timing issue to investigate, not automatically a duplicate.
Review and code transactions in Ramp before syncing
Work from the Accounting tab
Open Ramp’s Accounting tab and review the transactions in the period being closed. Apply the organization’s categories and accounting fields, then verify the entity, vendor, memo, department or project dimensions, and any required tax information. Coded details, including the memo, are sent during syncing.

Check receipts and supporting documentation
For direct integrations where the accounting provider supports receipt files, Ramp includes receipts when the receipt-upload setting is enabled. Confirm that the receipt is attached to the correct transaction and that the amount and vendor agree. A receipt does not by itself prove that the accounting code or payment period is correct.
Resolve exceptions before finalization
Do not sync an item simply because it appears in the feed. Investigate missing receipts, duplicate charges, refunds, split transactions, foreign-currency differences, and transactions assigned to the wrong entity. If a purchase paid an existing bill, route it through the bill-matching workflow instead of allowing it to post as an ordinary card expense.
Sync finalized activity and verify the accounting effect
After review and coding, sync the finalized transactions using the controls provided for your accounting connection. Then inspect the provider’s resulting records. Ramp describes card charges as credit-card transactions in the accounting provider and statement payments as the payment record supported by that provider.
Pay particular attention to statement payments. If a payment is manually recorded in the accounting system and the same payment is separately synced from Ramp, the liability can be reduced twice. Delete or reverse the unintended duplicate according to your accounting provider’s controls, and retain an audit note explaining the correction.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Once the sync completes, compare:
- the number and dollar value of finalized Ramp transactions;
- the transactions and balances created in the accounting provider;
- the credit-card liability movement;
- the statement payment shown in the bank account; and
- any items still pending, failed, or excluded from the sync.
Reconcile the statement period to the bank payment
Ramp’s stated reconciliation step is performed in the accounting provider: match the amount paid to Ramp from the company bank account against the total dollar amount of transactions synced from Ramp for the relevant statement period.
- Identify the Ramp statement period and the corresponding bank payment.
- In Ramp’s Transactions tab, filter by that statement period and note the included transactions and total.
- In the accounting provider, confirm that the same transactions were synced and that their accounting dates place them in the expected period.
- Compare the bank payment to the Ramp statement or payment total, allowing for documented timing differences, credits, refunds, or other adjustments.
- Match the bank payment to the synced Ramp payment record or the provider’s supported equivalent.
- Investigate every difference before closing the period; do not force a reconciliation by changing amounts.
A transaction that cleared after the statement cutoff may belong to the next bank period even if its purchase date is earlier. Conversely, a transaction-date policy can place an expense in the earlier accounting period while the payment remains tied to the later statement.
How do I reconcile Ramp transactions in QuickBooks Online?
QuickBooks Online has a dedicated Ramp Reconciliation report that is distinct from the general provider workflow. Ramp documents it for U.S.-based entities and says it covers Ramp card or statement activity, not ACH payments.

What the report shows
The report presents Ramp and QuickBooks balance summaries, card spend, statement payments, cashback, unmatched transactions, and total change. It distinguishes two different problems:
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →- A transaction exists in QuickBooks but was not synced from Ramp.
- A transaction exists in Ramp but has not been synced to the accounting provider.
A 1:1 match indicates that corresponding records were found. Treat the two unmatched categories differently: the first may indicate a manual or unrelated QuickBooks entry, while the second usually requires checking Ramp’s coding, finalization, mapping, or sync status.
Use Find a Match for an unmatched item
- Open the Ramp Reconciliation report for the required period.
- Locate the unmatched transaction and review its date, amount, vendor, and entity.
- Select Find a Match and inspect the unmatched Ramp expenses in the selected period.
- Confirm that the candidate represents the same economic event, not merely a similar amount.
- Apply the appropriate match and review the updated balance before completing the close.
The report may show a placeholder in both periods when the accounting date and sync month differ. Review the date policy and statement cutoff before treating that display as a missing transaction.
QBO-specific traps
- ACH payments are excluded from the report, so do not expect an ACH payment to appear as a report match.
- Manually recording a statement payment and separately syncing it can create a duplicate in the report.
- The report’s availability is documented for U.S.-based entities; do not infer that a non-U.S. entity has the same report or behavior.
Why doesn’t my Ramp transaction show up in QuickBooks?
Use this sequence instead of immediately re-entering the transaction.
1. It has not been coded or finalized in Ramp
Return to the Accounting tab and check whether required categories, fields, approvals, or receipts are still outstanding. A transaction that is still in review may not be eligible for the sync your connection uses.
2. It is outside the selected accounting period
Compare the transaction date, clearing date, statement period, and sync month. Change the report or transaction filter to the relevant period, while preserving the organization’s chosen accounting-date policy.
3. The mapping or entity is wrong
Check the Ramp Accounting settings, liability and bank-account mappings, and entity connection. In Intuit Enterprise Suite, Ramp documents that each entity must connect to its own Ramp account. Intercompany transactions between QuickBooks entities are not currently supported.

4. The sync failed or the provider rejected a field
Review the integration’s sync status and error details. Correct the unmapped account, vendor, category, custom field, or other rejected value in the system where it is maintained, then retry according to the integration’s controls. Do not create a manual duplicate while the original sync is still recoverable.
5. You are looking for an excluded payment type
QuickBooks Online’s Ramp Reconciliation report excludes ACH payments. Check the underlying bank and provider records for an ACH item rather than expecting it in that report.

Bill matching is separate from ordinary expense coding. Use it when a Ramp card transaction paid an open bill that already exists in the accounting provider.
Matching procedure
- Open the eligible Ramp card transaction and review the suggested open bills.
- Inspect the suggested vendor and amount; Ramp uses those details to surface candidates.
- Confirm that the bill was created in the accounting provider, not merely as an open bill in Ramp.
- Select the correct bill and confirm the match.
- Review the resulting accounting impact: the bill’s accounts-payable balance decreases and the credit-card payable balance increases.
Because the matched amount is applied to the bill, it should not also appear as a credit-card expense. Check the provider after syncing to ensure the bill balance and liability account changed as intended.
Current matching limits
- The feature is for bills created in the accounting provider; open bills created in Ramp are not eligible for this workflow.
- The bills pulled into the feature are USD bills and must meet the provider’s entity and amount conditions.
- Ramp’s current Xero documentation limits matching to a 1:1 relationship between one card transaction and one bill. Multiple card transactions cannot currently be matched to one open bill in that workflow.
How do I match a Ramp statement payment or external debit?
Statement payments
A statement payment is the company’s payment to Ramp, not an individual employee purchase. Match the bank payment to the total amount represented by the Ramp statement and the synced payment record. Verify whether your provider uses a check, journal entry, or another record type, and make sure the payment was not also entered manually.
External debits from Ramp Checking Account
When a vendor directly debits an eligible Ramp Checking Account and the open bill already exists in the accounting provider, use Ramp’s external-debit matching workflow rather than treating the debit as a card expense.

- Open the eligible external debit in Ramp.
- Review the suggested bills and select the bill that matches the vendor and amount.
- Allocate the transfer as required by the workflow.
- Confirm the match.
- Sync it to the accounting provider and verify that a bill payment was created and the bill balance decreased.
Ramp lists QuickBooks Online, NetSuite, Sage Intacct, and Xero as supported for this workflow. Once an external-debit match has been synced, Ramp says it cannot be edited in Ramp. Resolve the selection carefully before confirming and retain documentation if a correction must be made in the accounting provider.
Provider, currency, and multi-entity differences
Do not use the presence of a Ramp integration as proof that every Ramp feature behaves identically across platforms. When evaluating or configuring a provider, check these five dimensions:
| Question | Why it matters |
|---|---|
| Is the connection direct, or does it require an export? | Direct integrations can carry coded fields and supported receipts; export workflows may require separate import and review steps. |
| Does it support the exact Ramp workflow? | Card transactions, reimbursements, statement payments, bank transactions, bill matching, and external-debit matching may have different support. |
| Are there geography, plan, entity, currency, or match-shape limits? | For example, the QBO report is documented for U.S.-based entities, and bill matching has USD and 1:1 constraints. |
| Can the accounting date align with your close? | A transaction-date or clearing-date policy affects period reporting and statement comparisons. |
| Can a synced match be changed? | Some workflows, including synced external-debit matches, cannot be edited in Ramp afterward. |
Ramp’s QuickBooks Online and Intuit Enterprise Suite documentation says the integration can sync expenses and card transactions, bills and bill payments, vendors, accounts, and categories. It also documents support and limits for custom fields and multi-entity use. Each Intuit Enterprise Suite entity must connect to its own Ramp account, and intercompany transactions between QuickBooks entities are not currently supported.
Month-end reconciliation checklist
- Confirm the correct Ramp entity, provider connection, statement period, and bank account.
- Verify liability, cash, expense, vendor, and accounting-dimension mappings.
- Apply the approved transaction-date or clearing-date policy.
- Review and code all in-scope transactions in Ramp.
- Resolve approval, receipt, vendor, duplicate, refund, and split-transaction exceptions.
- Finalize and sync eligible activity.
- Compare Ramp totals with the accounting provider’s transaction and liability balances.
- For QuickBooks Online, run the Reconciliation report when available and investigate both unmatched categories.
- Match the bank payment to the Ramp statement or payment total.
- Confirm that no payment was manually entered and also synced.
- Route card-paid bills and eligible checking-account debits through their dedicated matching workflows.
- Document unresolved timing differences and carry them into the next period rather than forcing a match.
Common mistakes and safe corrections
Recording the same statement payment twice
Compare the bank withdrawal, the Ramp payment, and any manually created provider entry. Keep one authoritative payment, reverse the duplicate through the provider’s normal correction process, and note why it was removed.
Forcing a match because the amounts are similar
Amount alone is insufficient. Check vendor, date, entity, statement period, and supporting documentation. A false match hides a missing or misclassified transaction.
Changing dates to make the report balance
Use the documented accounting-date policy and investigate the cutoff. Changing a date solely to eliminate an exception can distort period expenses and liability balances.
Posting a bill-paid card charge as an expense
Use bill matching when the purchase settles an existing provider bill. Otherwise the bill remains open while the same economic event is also expensed.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Assuming a synced match remains editable
External-debit matches that have synced cannot be edited in Ramp. Confirm the bill and allocation before synchronization, and make any later correction in accordance with the provider’s audit controls.
When the setup, date policy, coding, sync, provider comparison, and bank matching are performed in that order, reconciliation becomes an evidence trail rather than a hunt for unexplained differences. The remaining exceptions can then be classified as timing, mapping, missing syncs, duplicates, or genuine accounting corrections.
