How to Reconcile Corporate Credit Card Transactions and Receipts: A US Guide

Match every corporate-card charge to evidence of the payee, amount, date, purchase, payment, and business purpose; resolve exceptions, post approved entries, and retain the complete record set.

Reconcile a corporate card by pairing every statement line with evidence that shows what was bought, when, for how much, why it was a business expense, and that it was paid. Then investigate exceptions, record approved transactions in the journals or ledger, and retain the statement and supporting documents as one retrievable record set.

This guide describes a US-focused process based on Internal Revenue Service recordkeeping guidance. Your company policy may impose stricter approval deadlines, receipt thresholds, retention periods, or escalation rules; those internal requirements are not IRS mandates.

What reconciliation is—and what a successful match proves

Corporate-card reconciliation is a control process, not merely a check that the statement total equals a bank feed. For each charge, you establish a chain from the card issuer’s payment record to the underlying purchase and the accounting entry. A complete file normally demonstrates:

  • Payee: the merchant or supplier that received the money.
  • Amount: the amount charged, including any tax, tip, fee, or currency conversion shown in the records.
  • Date: when the expense was incurred, which may differ from the statement posting date.
  • What was purchased: an item or service description detailed enough to classify the cost.
  • Payment: evidence that the business card actually paid the charge.
  • Business connection: a purpose or other context showing why the cost relates to the business.

A statement usually supplies the cardholder, posting date, amount, and a merchant descriptor. A detailed receipt, invoice, order confirmation, travel record, or timely business-purpose note may be needed to establish the rest. One document does not have to repeat every fact if the documents complement one another in an orderly record set.

Gather the records before reviewing the statement

Start with the complete card statement for the period, not just a downloaded list of transactions. Preserve the statement in the same format in which it was issued and note the statement period and account. Assemble the documents that can explain each line:

  • Itemized sales receipts and invoices.
  • Electronic receipts, order confirmations, or supplier invoices.
  • Travel itineraries, hotel folios, mileage or trip records, and attendee details when relevant.
  • Credit memos, refund confirmations, and dispute correspondence.
  • Employee expense reports or cardholder certifications required by the company.
  • Business-purpose notes for charges whose commercial purpose is not apparent from the receipt.

Download or scan records promptly while they are available. Keep the original file names or add a consistent identifier that connects the document to the statement line. A simple convention such as 2026-09-14_merchant_125.40_cardholder makes later retrieval easier, but your system can use any convention that clearly links evidence and entries.

Six-step reconciliation workflow

1. Define the period and prepare a control total

Confirm the statement start and end dates, opening and closing balances, payments, credits, fees, and the ending balance. Export the transaction detail and record the number of lines and the statement total. This control total lets you identify an omitted page, an incomplete import, or a duplicated feed before you begin matching individual purchases.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate statement-level items from purchase lines. A payment from the operating bank account, for example, settles the card liability; it is not a second operating expense. Annual fees, foreign-exchange charges, and interest may require their own accounts and supporting notices.

2. Match every line to supporting evidence

Work one statement line at a time. Compare the merchant or payee, transaction date, amount, and description with the receipt or invoice. Then check whether the combined records establish payment and a business purpose. Mark the line as matched only when the evidence is sufficient to explain the entire amount.

Watch for timing differences. A restaurant receipt may be dated on the evening of the meal while the card statement posts it two days later. A hotel may place a deposit, then post a final charge and a separate reversal. Record the relationship between those lines rather than treating each as an unexplained expense.

3. Add context while the facts are fresh

If the receipt is itemized but does not say why the purchase was business-related, add a concise purpose note under company policy. Identify the project, client, trip, meeting, or business activity; for a meal, include the participants and business topic when your policy requires them. Do not rely on a vague label such as “business” months later.

IRS Publication 463 (2025) states: “You should record the elements of an expense or of a business use at or near the time of the expense or use and support it with sufficient documentary evidence.” A contemporaneous note is generally more reliable than reconstructing the circumstances from memory.

4. Investigate and resolve exceptions

Flag, rather than silently force through, any line that cannot be matched. The exception queue should identify the cardholder, amount, date, issue, owner, and next action. Request a replacement invoice, ask the employee for a purpose note, contact the merchant for a credit, or escalate a suspected misuse according to company policy.

Keep the original unmatched line visible while the issue is open. When resolved, attach the new evidence and record who approved the resolution and when. Internal deadlines and escalation levels are set by the business; the general IRS material does not prescribe a universal number of days.

5. Record approved transactions in the books

After review, classify each charge to the appropriate account and summarize it in the business journals or ledger. The accounting system should preserve the link from the entry to the receipt set and statement line. Recording an expense when it occurs is generally good practice, even when the card statement arrives later.

An illustrative entry for a $125.40 office-supply purchase is a debit to the office-supplies expense account and a credit to the corporate-card payable account. The exact accounts, tax treatment, period cut-off, and approval workflow depend on your accounting method and chart of accounts. A card payment made later reduces the card payable; it does not create a second office-supplies expense.

6. Reconcile totals and lock the record set

Compare the sum of approved transaction entries with the statement’s transaction total, adjusting for payments, credits, fees, and other non-purchase lines that you have separately classified. Investigate any difference before closing the period. Save the final statement, matched evidence, exception resolutions, and approval record together in a read-only or otherwise controlled location where permitted by your policy.

What information should a business receipt include?

The most useful receipt or invoice identifies the following elements. If one document lacks an element, pair it with another document or a timely note rather than duplicating information unnecessarily.

Element to establish Typical evidence What to check
Payee Itemized receipt, invoice, supplier statement Merchant name is identifiable and agrees with the statement descriptor or an explained trading name.
Amount paid Receipt total, invoice marked paid, card statement Totals agree after considering tax, tip, credits, partial payments, and currency conversion.
Proof of payment Card statement, payment confirmation, paid invoice The business card or another authorized business account actually settled the charge.
Date incurred Receipt date, service date, travel record The date falls in the correct accounting period; distinguish purchase, service, posting, and settlement dates.
Item or service Itemized receipt, invoice detail, order record Description is specific enough to classify the cost and identify personal or prohibited items.
Business purpose Receipt plus contemporaneous note, expense report, trip or meeting record The connection to business activity is clear when the receipt alone cannot show it.

A credit-card statement can prove that a charge was paid, but a generic descriptor such as “PAYMENTS” or a marketplace name may not show what was bought. Conversely, an invoice can describe a service without proving that the corporate card paid it. Treat the statement and detailed source document as complementary evidence.

Is a credit-card statement enough to prove a business expense?

Usually, no. The statement is strong payment evidence and may identify the merchant, date, and amount, but it may not establish the item purchased, the business purpose, or whether the charge contains personal components. IRS guidance says a combination of documents may be required to substantiate all parts of a purchase or expense.

There are cases where the statement and an existing record together are sufficient. For example, a recurring software invoice stored in the vendor folder can provide the service description while the statement confirms payment. Link the two records and retain the connection; do not assume that a card feed by itself is an itemized receipt.

Employee card charges and accountable plans

When employees use cards under an employer’s accountable plan, the employee generally provides an expense statement, account book, diary, or similar record made at or near the time of the expense, together with documentary evidence such as receipts. IRS Publication 463 expressly includes amounts charged to the employer by credit card in this recordkeeping discussion.

Your policy should assign responsibilities clearly:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Cardholder: submit the receipt, business purpose, participants or project information when required, and an explanation for any personal or mixed-use portion.
  • Manager or budget owner: confirm the expense was authorized and business-related.
  • Accounts payable or accounting: verify evidence, classify the transaction, resolve duplicates and credits, and post the entry.
  • Program administrator: monitor overdue items, suspend or replace cards when policy requires, and retain the audit trail.

Set a practical submission deadline in the policy and enforce it consistently. A late receipt is an exception to manage, not a reason to invent details. If a document cannot be obtained, record the employee’s explanation, the approval decision, and any repayment or withholding required by company rules and applicable law.

Exception playbook

Exception Immediate checks Resolution record
Missing receipt Search email, supplier portal, travel account, and shared folders; ask the cardholder for a replacement. Attach replacement evidence or a policy-approved missing-receipt statement with purpose, amount, date, and approver.
Illegible receipt Compare visible fields with the statement and request a clearer copy. Keep the readable replacement and note how it was verified.
Ambiguous merchant descriptor Ask the cardholder what was purchased; check order records and merchant contact details. Store the item description and business-purpose explanation with the statement line.
Duplicate charge Compare dates, amounts, authorization codes, and related receipts. Mark the duplicate, request a merchant credit or dispute, and retain the correspondence.
Credit or refund Match the credit to the original charge and determine whether the expense or payable must be reduced. Link both lines and record the accounting treatment and date received.
Disputed or fraudulent charge Notify the card issuer and internal card administrator promptly; preserve evidence. Keep the dispute case, provisional credit, final decision, and any employee investigation record.
Split transaction Determine whether multiple departments, projects, tax categories, or personal items are included. Retain the allocation method and approval for each portion; ensure the parts sum to the statement amount.
Foreign-currency charge Compare the transaction currency, converted amount, exchange rate or issuer conversion, and any fee. Store the foreign-currency receipt and statement conversion; post differences according to your accounting policy.

How to record corporate-card expenses in the books

Most businesses use a two-stage accounting flow. First, record the purchase when it is incurred: classify the expense, inventory, fixed asset, prepaid item, or other account and credit the corporate-card liability. Second, when the bank account pays the card statement, debit the liability and credit cash. This keeps the expense in the period of the purchase and prevents the payment from being counted as a second expense.

Review tax and capitalization treatment before posting unusual items. A laptop, refundable deposit, annual subscription, employee advance, and interest charge do not necessarily belong in the same expense account. If a receipt covers several categories, split the entry while preserving the original total and allocation support.

At period end, investigate card transactions that have been authorized but not yet posted, posted but not yet documented, or documented but assigned to the wrong period. Your accountant may need an accrual, reclassification, or reversal. The reconciliation file should show the adjustment and its approver rather than altering the original statement.

Retention, access, and audit trail

Keep statements and supporting documents in an orderly, safe system that lets an authorized reviewer retrieve the evidence behind any entry. Paper and electronic systems are both acceptable if they clearly show income and expenses. An electronic system must provide a complete and accurate record that is accessible to the IRS when required.

There is no single retention period that applies to every receipt. IRS guidance ties retention to the action, expense, or event and says records should be kept as long as needed to substantiate income or deductions. Apply the longest period required by the relevant tax rule, accounting policy, contract, grant, litigation hold, or other legal obligation; document how your policy handles deletion and backups.

Use role-based access and preserve an audit trail for edits, approvals, replacements, and deletions. Restrict employees from overwriting the original receipt or changing a posted amount without a traceable correction. Test retrieval periodically by selecting a closed statement line and confirming that an independent reviewer can find the statement, receipt, purpose, approval, and ledger entry.

Choosing a manual or electronic process

The IRS does not require a particular software product or filing format. Choose a process that reliably captures both payment data and item-level evidence. Evaluate these capabilities before adopting or changing a system:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Capture: Can card feeds, scans, emailed invoices, and mobile submissions be stored together?
  • Matching: Can a reviewer connect a receipt to the exact statement line and detect duplicates?
  • Exception handling: Can missing documents, disputes, credits, and split allocations remain open until resolved?
  • Ledger connection: Can approved classifications flow to the current accounting journals without losing the evidence link?
  • Audit trail: Are edits, approvals, timestamps, and replacements visible?
  • Access and retrieval: Can authorized staff find records quickly while limiting personal or sensitive data?
  • Policy fit: Does the workflow support your submission deadlines, approval levels, retention rules, and regional requirements?

A spreadsheet and structured folder can work for a small card program if someone performs the same line-by-line checks and protects the files. More cards or higher transaction volume may justify automated feeds and matching, but automation does not replace review of business purpose, unusual merchants, or personal components.

Common process failures and fixes

Relying on the merchant name alone

A familiar merchant does not prove what was purchased. Require an itemized receipt or a documented explanation, especially for marketplaces, travel portals, delivery services, and general retailers.

Waiting until the year ends

Late reconstruction loses context and makes employees harder to reach. Require records near the transaction date, send reminders for open items, and review an exception queue each statement cycle.

Netting credits against unrelated purchases

A refund belongs with the original charge. Linking unrelated lines can hide an overstatement or leave the original expense unreconciled.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Posting the card payment as the expense

The payment settles the card liability. Trace it to the already-classified purchase entries so the books do not double-count costs.

Deleting the original after a correction

Keep the original document and add the corrected version or explanatory note. A reviewer should be able to see what changed, who changed it, and why.

A repeatable close checklist

  1. Obtain the complete statement and transaction export for the period.
  2. Confirm the statement control total, payments, credits, fees, and opening balance.
  3. Attach a receipt, invoice, or complementary record to every purchase line.
  4. Verify payee, amount, date, item or service, payment, and business purpose.
  5. Record contemporaneous context for ambiguous or incomplete documentation.
  6. Assign each unresolved line an owner, next action, and policy deadline.
  7. Resolve duplicates, refunds, disputes, splits, and foreign-currency differences.
  8. Classify approved transactions and post them to the journals or ledger.
  9. Reconcile posted totals to the statement and document adjustments.
  10. Lock and retain the statement, evidence, approvals, and exception history in a retrievable record set.

Bottom line

A corporate-card statement is a payment record, not automatically a complete expense file. A defensible reconciliation joins it to detailed evidence and timely business context, resolves exceptions instead of hiding them, posts the approved transaction once, and preserves the trail in an accessible system. That approach follows the core US recordkeeping principle: records should be complete enough to substantiate the business expense and the accounting entry when they are later reviewed.
