How to Present a Case Study: A Clear Structure for Your Talk

A practical case study presentation structure: set the context, clarify the problem, present evidence and actions, explain the outcome, and end with a useful takeaway.

Present a case study by guiding your audience from context to problem, evidence, action, outcome and takeaway. Start by deciding what listeners should understand or decide; then include only the details that help them follow that story. The right emphasis depends on whether you are presenting an organizational example, a teaching case or professional work.

Plan around your audience and purpose

Before drafting, identify who will be listening, what they already know, how much time you have and what the presentation needs to accomplish. Set a realistic learning or communication goal, such as helping the audience understand a decision, assess an approach or apply a lesson. The CDC case study guide recommends adapting content to audience background and explaining unfamiliar terms when readers have limited or moderate knowledge of the subject.

Write the central takeaway in one sentence. Use it to decide which events, data and background belong in the presentation; omit details that do not help listeners understand the case or its implications.

Build a coherent case story

A useful general sequence is context, problem or decision, relevant evidence, actions, outcome and lesson. This gives the audience enough information to understand what happened and why it matters without turning the talk into a full chronology.

  1. Set the context. Identify the organization, people or situation involved and provide only the background needed to understand the case.
  2. State the problem or decision. Explain what was at stake and why the audience should care.
  3. Present the relevant evidence. Select the findings, facts or exhibits that clarify the problem and the choices made.
  4. Explain the action. Describe what was done, by whom, and any important obstacles or constraints.
  5. Show the outcome. Report what followed, distinguishing observed results from interpretation.
  6. Draw out the lesson. Connect the outcome to the presentation’s purpose and explain what listeners can take from the case.

The CDC guide’s descriptive-case approach similarly moves from organizational and problem context through events and challenges to outcomes and lessons. Keep narrative perspective and verb tense consistent so the audience can tell whose account they are hearing and when events occurred.

Adapt the structure to the kind of case

Descriptive organizational case

When explaining how an organization handled an issue, introduce the organization and its challenge, describe the important events and difficulties, then explain the outcome and lessons. Define specialized terms for an audience that may not know the field. Avoid recounting every step if it does not affect the audience’s understanding.

Teaching case with a decision to make

For a teaching case, organize the talk around the decision-maker and dilemma: establish the setting and protagonist, state the choice, present the key data, and compare feasible alternatives and their trade-offs. Close by identifying the learning objectives or questions for discussion. When alternatives are involved, compare them using criteria relevant to the case—such as likely outcomes, evidence and assumptions, feasibility, constraints, risks and effects on people—rather than treating one option as obviously correct without support.

Formats vary by event. For example, the ICC-2027 case presentation guidelines specify 8–10 slides for a full teaching case within a 12–15-minute presentation. Those are requirements for that conference edition, not a general rule for case presentations.

Scientific or professional case

For a research or professional talk, establish why the work matters, introduce the question or challenge, focus on the main findings, and explain implications or next steps. The National Centre for Atmospheric Science guidance and MIT Communication Lab’s slide-structuring guide both emphasize a clear message and a coherent sequence.

Choose evidence carefully

Include evidence that helps listeners understand the case, the decision or the outcome. Explain what a chart, document or finding shows and how it relates to the point you are making. Do not imply that an example proves more than it can establish: a case can illustrate what happened in a particular context without showing that the same result will occur elsewhere.

If the case includes competing options, make the comparison explicit. Use the criteria that matter in that situation—outcomes, supporting evidence, assumptions, feasibility, constraints, risks and effects on affected people. State uncertainty or missing information plainly rather than presenting an inference as a demonstrated result.

Design slides to support the explanation

Slides should make the story easier to follow, not contain the entire talk. NCAS’s guidance puts it simply: “One main idea per slide.” Use short, message-led titles that connect into a logical narrative, and keep supporting text concise. Explain nuance aloud or in a handout when putting it on the slide would make the visual crowded.

  • Give each slide one clear job in the story.
  • Use a chart, image or excerpt only when it helps explain the case.
  • Label visuals so the audience can understand what they show.
  • Make the sequence of slide titles readable as an outline of the argument.
  • Keep detail that listeners need for discussion or reference separate from the main visual flow.

Check the presentation before delivering it

Rehearse against the actual time limit and remove material that does not serve the stated purpose. Check that a listener unfamiliar with the case can identify the context, the central problem or decision, the evidence, the outcome and the takeaway. Also verify that every claim is supported by what you show, and that the ending answers the question raised at the start.
