How to Prepare for a Remote Online Notarization

Prepare for a remote online notarization by checking jurisdiction and recipient requirements, readying your document and ID, testing your device, and knowing what to expect during the live session.

Before your remote online notarization (RON), confirm that the notary and platform can handle your transaction, prepare the final document and requested identification, and test your camera, microphone, and internet connection. RON is a live notarial appearance by audiovisual technology—not merely an electronic signature. Requirements depend on the relevant jurisdiction, the document, and the platform.

What to confirm before scheduling

Ask the service provider which state’s notary will perform the act and whether that notary can handle your document and transaction. Then check the relevant state notary authority’s current requirements. RON rules and platform eligibility are jurisdiction-specific, and a session being technically possible does not establish that a particular recipient will accept the result.

As an Amazon Associate I earn from qualifying purchases.

It can help to distinguish three questions before you book: Is RON available under the rules that apply to this notary and signer? Does the provider support the type of document and notarial act you need? Will the organization receiving the document accept the resulting electronic record and certificate? A “yes” to one question does not automatically answer the others. If the recipient has instructions about notarization or delivery, ask before the appointment rather than discovering a format issue after the act is complete.

State rules illustrate why it is important to check rather than assume. Pennsylvania says remote audiovisual communication can satisfy the personal-appearance requirement and requires a notary to notify the Department of State and identify the technology intended for use. Florida requires a notary to complete training and registration requirements and contract with a technology provider before applying. Ohio requires an online notary to be authorized and physically located in Ohio; the signer may be elsewhere subject to applicable legal conditions. These are state examples, not nationwide rules. See the Pennsylvania Department of State guidance, Florida Department of State guidance, and Ohio Administrative Code Rule 111:6-1-05.

  • The built-in noise-reducing mic makes sure your voice comes across clearly up to 1.5 meters away, even if you’re in busy surroundings.
  • C270’s RightLight 2 feature adjusts to lighting conditions, producing brighter, contrasted images to help you look good in all your conference calls.
  • The adjustable universal clip lets you attach the camera securely to your screen or laptop, or fold the clip and set the webcam on a shelf. You’re always ready for your next video call.

These examples also show why a notary’s location and authorization can matter independently of where you are sitting. Ohio’s current rule took effect June 10, 2025, and requires the online notary to be physically in Ohio. Do not assume that the rules where you live alone determine whether an appointment can go forward. Ask the provider which rules it has applied to your session, and check current official state guidance because laws and eligible-provider requirements can change.

Prepare the document and check acceptance

  1. Use the provider’s upload instructions. Many RON workflows begin with uploading an electronic document, such as a PDF. Keep the final version available and make sure you upload the version intended for notarization. Follow the platform’s instructions for file type and submission; the general guidance does not establish one universal upload method.
  2. Check the notarial certificate. Confirm that the certificate fields required for the document are present and not blank. Ohio’s Secretary of State specifically directs notaries to verify certificate language and required fields; that state-specific guidance is useful to understand the check, but it does not establish the requirements elsewhere. See Ohio’s notary resources and FAQs.
  3. Do not sign ahead unless instructed. Some acts require signing in the notary’s presence. Wait for the provider or document instructions rather than pre-signing by default. During the session, the notary may direct you to sign electronically after the identity and other required steps are complete.
  4. Ask the recipient about format and wording. If the document is going to a bank, court, recorder, foreign authority, or other recipient, confirm that it accepts an electronically notarized document and the certificate wording being used. Acceptance is not universal. Ask whether it has a particular certificate or delivery requirement; do not rely on the fact that a platform can create an electronic record as proof that every recipient will accept it.

If you do not know which notarial act or certificate the document requires, ask the recipient or a qualified professional. The notary’s role in the appointment does not resolve every question about the document’s legal meaning or intended use. This is especially worth checking before you upload or schedule, because the service provider may be able to conduct the notarial act without being able to advise you what the document should say or which act the recipient requires.

Keep the version you intend to notarize clearly identified. If you make changes after uploading or learn that the recipient needs different wording, ask the provider how to submit the corrected final version before the live meeting. The available guidance does not establish a universal method for replacing a file or correcting a certificate, so use the service’s process rather than assuming an uploaded document can be edited during the call.

Have the requested identification ready

Follow the platform’s instructions about acceptable identification and keep the requested credential within reach for the session. The platform may ask you to photograph or scan it. It may also require knowledge-based identity questions or another identity-proofing step, so allow time to complete the checks before signing. Read the provider’s instructions in advance so you know whether it needs an image of the credential, an on-camera presentation, or both.

Rules differ by jurisdiction. In Ohio, when the credential method is used, the government-issued identification must be unexpired and contain the signer’s photograph and signature; credential analysis and identity proofing are also required. Ohio’s rule provides one concrete example, not a universal ID list. Check the platform’s instructions and the rules that apply to your appointment. See Ohio Administrative Code Rule 111:6-1-05.

Logitech Brio 101 Full HD 1080p Webcam for Streaming and Meetings - Black
  • Compatible with Nintendo Switch 2’s new GameChat mode
  • Auto-Light Balance: RightLight boosts brightness by up to 50%, reducing shadows so you look your best—compared to previous-generation Logitech webcams (1)
  • Privacy with a Slide: The integrated webcam cover makes it easy to get total, reliable privacy when you're not on a video call
  • Built-In Mic: The built-in microphone lets others hear you clearly during video calls
  • Easy Plug-And-Play: The Brio 101 works with most video calling platforms, including Microsoft Teams, Zoom and Google Meet—no hassle; it just works

Ohio’s rule also sets a specific identity-proofing threshold: the signer must answer at least five questions, get at least 80 percent correct, and respond within a two-minute window. Those numbers describe Ohio’s rule, effective June 10, 2025; they should not be treated as a general RON standard or as a promise that another jurisdiction or platform uses the same process. The practical takeaway is to allow time, follow prompts carefully, and ask the provider what to do if you cannot complete a check.

Do not assume that any one credential or identity check will work for every appointment. The accepted credential and verification methods depend on the governing rules and the provider’s process. If you are unsure whether your credential is suitable, confirm that with the service before the appointment instead of waiting until you have joined the live session.

Test your device, connection, and surroundings

  • Use a device with a working camera and microphone. Test both before the appointment, and check that you can hear the notary through your speakers or headphones. Make sure the device you plan to use can access the meeting link and display the platform’s identity prompts.
  • Check your internet connection. Choose a connection stable enough to support a live video call. Ohio’s rule, for example, requires live, simultaneous audiovisual communication with sufficient clarity and resolution for communication and permitted identity verification.
  • Choose a quiet, well-lit place. Position yourself so your face and requested identification can be seen clearly, and reduce distractions during the identity checks and signing. A clear view matters because the appointment includes a live audiovisual appearance, not just an exchange of documents.
  • Use the built-in camera if it works adequately. A separate webcam is an optional alternative if your device’s camera does not provide a clear image; the available guidance does not establish that every signer needs to buy one.

Test the entire setup you expect to use, rather than checking only that the device turns on. Confirm that the camera is available to the platform, the microphone can pick up your voice, speakers or headphones let you hear, and your connection supports a live call. If the image is unclear, try repositioning the device or improving the lighting first. An external USB webcam is a possible option if the built-in camera is inadequate, not a universal requirement. There is no requirement for you to buy a printer, scanner, paid software, or any particular device for every RON appointment.

The National Notary Association describes a typical RON appointment as an audiovisual meeting, but procedures vary by state and platform. Its process overview is labeled historical and cautions that not all states permit RON: How to perform a remote online notarization.

What happens during the appointment

Use the invitation or platform link as directed by the provider. Complete the required identity screening, join the live audiovisual session, and follow the notary’s instructions. Sign electronically only when the notary directs you and after the required identity and other checks are satisfied. Keep the requested identification available until the notary says the identity step is complete.

A typical sequence is to request an appointment, upload the electronic document, complete the identity screening required for the notary’s jurisdiction, meet by live audiovisual technology, sign electronically, and receive the completed document. That is an outline, not a promise that every platform uses the same steps or timing. Some providers may ask you to complete checks before the live call; use the instructions attached to your appointment rather than assuming all identity verification happens at the same point.

During the live session, stay present and respond to the notary’s directions. RON depends on the notary and signer being able to communicate through the required audiovisual technology. The notary may need to see you and the identification, and you may need to complete an electronic signing step. Do not sign in advance or leave the session while the act is still underway unless the notary or provider tells you to do so.

Stay connected until the notary confirms the act is complete. Under Ohio’s rule, if a connection breaks or video quality compromises the process, identity authentication and incomplete acts must restart from the beginning. Other jurisdictions may have different procedures. If your call drops, follow the platform’s instructions rather than assuming the session can simply resume where it stopped. Ohio’s restart requirement is a state-specific example, not a universal rule for every RON session.

Ohio’s rule describes the technical standard as two-way live audio and video with enough clarity and resolution for communication and permitted identity verification. Its administrative rule also addresses system security and specified identity verification methods. These requirements help explain why a platform may not let an appointment proceed if the connection or image quality is inadequate, but the exact process and consequences depend on the applicable jurisdiction and service.

Save the completed notarized record

After the notary completes the act, download or save the notarized electronic document and keep it with the related transaction materials. The National Notary Association’s typical workflow ends with the completed document being returned to the signer. If the recipient has format or delivery requirements, follow those instructions when sending it.

Remote online notarization is not just an e-signature

RON involves a live remote appearance before a notary using audiovisual communication. By contrast, electronic notarization can mean that the parties sign an electronic record while still appearing physically before the notary. Pennsylvania explicitly distinguishes the two: its guidance explains that RON uses audiovisual electronic communication to meet the personal-appearance requirement. The label “electronic” alone therefore does not tell you whether the notary appointment is remote. See Pennsylvania’s explanation of electronic and remote notarization.

That distinction matters when you schedule. An electronic signature by itself is not the same thing as a notarial act, and an electronic notarization performed with the signer physically present is not necessarily a remote online notarization. Ask the provider whether the service will include the live remote notarial appearance your transaction calls for. Then confirm separately that the recipient accepts the electronic notarized record.

Quick readiness checklist

  • You have confirmed the notary’s jurisdiction and that the provider can handle your transaction.
  • You have checked the recipient’s acceptance of an electronically notarized document, if relevant.
  • You have uploaded or prepared the final document and checked certificate fields.
  • You have the platform-requested identification ready and can complete identity checks.
  • Your camera, microphone, speakers, and internet connection work, and you have a quiet, well-lit place for the call.
  • You know how to access the session and where you will save the completed record.

Frequently Asked Questions

What do I need for an online notary appointment?

At minimum, follow the provider’s instructions for the final document and requested identification, and join with a working camera, microphone, audio, and stable internet connection. You may also need to complete credential analysis, knowledge-based questions, or another identity-proofing step. The precise requirements vary by jurisdiction and platform.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I sign a document online with a notary?

Possibly, if RON is available for the transaction under the relevant rules and the recipient accepts the electronic notarized format. RON is a live audiovisual appearance before a notary, not merely an electronic signature. Confirm eligibility with the provider and format acceptance with the recipient before booking.

Do I have to sign the document before the online notary appointment?

Do not pre-sign by default. Some notarial acts require signing in the notary’s presence, and a typical RON workflow has the signer sign electronically after identity and other requirements are satisfied. Follow the provider’s or document’s specific instructions.

Do I need a separate webcam, printer, or scanner?

The guidance does not establish any of these as universal requirements. A built-in camera may be adequate; an external webcam is an optional alternative if the image is not clear enough. Follow the platform’s document-upload instructions rather than assuming you need a printer or scanner.

What happens if my video connection drops during the appointment?

Follow the platform’s instructions and contact the provider if needed; do not assume the session can simply resume. Ohio’s rule says identity authentication and incomplete acts must restart from the beginning if the connection breaks or quality compromises the process. Other jurisdictions may have different procedures.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will every bank, court, recorder, or other recipient accept a RON document?

Acceptance is not universal. Before the appointment, ask the recipient whether it accepts the electronically notarized format and any certificate wording or delivery method involved.

The Bottom Line

Prepare the final document and platform-requested ID, verify that the notary and recipient can handle the transaction, and test your live audiovisual setup before the appointment. Follow the notary’s directions, complete the required identity checks before signing, and save the finished electronic record. Requirements vary by jurisdiction and provider, so confirm current rules and recipient acceptance rather than assuming one RON process works everywhere.
