For India’s GST, prepare by connecting each amount reported in your returns to the underlying invoices, accounts, and other evidence; keeping records complete, traceable, and recoverable; and organizing them for the specific period and requests in the notice. The ordinary retention rule is 72 months from the due date for furnishing the annual return for the year the records relate to—not 72 months from the end of the tax period. A pending appeal, revision, proceeding, or covered investigation can extend that period. The CGST Act and Accounts and Records Rules set the statutory framework; check the current text and the actual communication before responding or disposing of records.
How long do you need to keep GST records?
Section 36 of the Central Goods and Services Tax Act, 2017 sets the ordinary retention period at 72 months from the due date for furnishing the annual return for the year to which the records relate. Calculate from that due date, rather than from the end of a month, quarter, or financial year. The Act’s section 36 also provides an extended endpoint for records pertaining to an appeal, revision, other proceeding, or covered investigation: retain them until one year after final disposal or the ordinary retention period, whichever is later.

In practice, establish the relevant year, annual-return due date, and whether a matter involving those records remains open before setting a destruction date. Do not discard records simply because the ordinary period appears to have passed if an appeal, proceeding, or investigation may extend retention. The applicable period and current statutory text should be checked for the taxpayer’s circumstances.
Which records should you gather?
The CGST Accounts and Records Rules provide a baseline. The exact set depends on the business’s registrations, activities, transactions, and period; not every category applies to every taxpayer. Preserve source documents as well as the accounts and returns that report the resulting figures.

How to prepare records for the audit or assessment
Use the notice or other communication as the starting point. An officer-led audit under section 65 is not the same procedure as every assessment, inquiry, or other GST matter; the communication’s statutory provision, period, scope, and requested information determine what to prepare.

Include applicable invoices, bills of supply, notes, challans, vouchers, import and export records, reverse-charge documentation, stock records, and advance records.
- Reconcile the figures likely to be examined. Link outward and inward supplies, turnover, tax rates, exemptions and deductions, input tax credit, and refunds to their source records and the relevant return or account entry. These are among the matters described in the Assessment and Audit Rules.
- Explain differences and corrections. Where books, returns, ledgers, or source documents do not agree, document the difference and the reason with a traceable path to the supporting records. Avoid overwriting the history of an entry.
- Build an index for production. Map each requested item to its file or electronic location, ledger entry, return period, and relevant claim. If records are submitted electronically, keep an inventory of what was sent and when.
- Keep a preserved original and a usable working copy. For electronic records, test restoration from backup and confirm that exported files open and remain readable. Retain the information needed to interpret record layouts, codes, and links.
This organization is a practical way to meet recordkeeping and production duties; it is not a separate statutory form or checklist. The audit rules describe examination of underlying documents and returns, turnover, exemptions and deductions, tax rates, input tax credit availed and utilized, refunds, and other relevant matters.

They also address production on demand in authenticated hard copy or a readable electronic format, alongside audit-trail details and inter-linkages, source documents, layouts, data dictionaries, code explanations, record counts, and sample documents.

Keep backups separate enough to remain useful if the primary system or files are damaged, and periodically verify that restoration works. Preserve the relationship between source documents, accounting entries, and returns; a folder of exports that cannot be interpreted or linked to reported figures may be difficult to use. Protect credentials, but ensure authorized staff can retrieve the material when needed.
Paper records
If you retain paper invoices and supporting documents, a labeled binder or folder can help organize them by registration, tax period, or record category. It is an optional organizer, not a legal requirement and not a substitute for complete records or the applicable retention period.

What should you expect in an officer-led GST audit?
Section 65 of the CGST Act provides for an audit by the Commissioner or an authorized officer. In the Act text cited here, the registered person is to be informed by notice at least 15 working days before the audit. The stated completion framework is three months from commencement, with an extension of up to a further six months for recorded reasons. The statutory definition of commencement and the conditions for extension matter; check the currently applicable text and actual notice rather than assuming these periods resolve every case. See the CGST Act and Assessment and Audit Rules.
The rules describe communication of discrepancies, consideration of the registered person’s reply, finalization of findings, and communication of those findings. Other assessment or inquiry procedures may differ, so do not infer the process from an audit description if the notice cites another provision.

When should you get professional help?
Consider advice from a qualified Indian GST professional if the notice raises disputed tax positions, potential penalties, complex records, a short deadline, or a proceeding already underway. The professional should review the actual communication, period, registrations, and records; general retention guidance cannot determine a taxpayer-specific response or destruction date.
