How To Get A Toll-Free Number For Your Business

A practical guide to getting a toll-free business number, including provider costs, 800 alternatives, SMS verification, call setup, and number porting.

A toll-free number can make a small business look established, give customers a central contact point, and separate business calls from your personal phone. But the number itself is only one part of the cost. You may also pay a monthly number fee, per-minute call charges, texting fees, compliance costs, and charges for features such as call recording or an IVR menu.

You get the number through a phone carrier, cloud-phone company, or communications provider. That provider—known in the industry as the Responsible Organization (RespOrg)—assigns and manages the number for you. You do not normally select one directly from the national toll-free registry.

1. Decide what you need the number to do

Start with the service rather than the prefix. Your requirements affect both the provider you choose and your total monthly bill.

Use case Features to look for
Customer support or sales Voice calling, forwarding, voicemail, call queues, business-hours routing
Appointment reminders or support texts Voice plus SMS/MMS, messaging registration, opt-in and opt-out tools
Keep your current voice carrier Hosted messaging, if the provider supports it
Move an established number Number porting, transfer support, and a temporary transition plan

Voice and toll-free messaging are separate services. Buying a number that can receive calls does not automatically authorize it to send text messages. For example, Twilio blocks unverified toll-free SMS/MMS traffic to U.S. and Canadian destinations.

2. Compare the total cost, not just the advertised monthly fee

Ask each provider for its complete rate sheet. At minimum, compare:

  • Monthly number rental
  • Inbound and outbound voice rates
  • SMS and MMS charges
  • Call forwarding, recording, voicemail, IVR, and analytics fees
  • Setup, cancellation, contract, and usage fees
  • Porting charges or support fees
  • Emergency-calling availability and address requirements
  • Messaging registration and compliance requirements

As one current example, Twilio lists a U.S. toll-free number at $2.15 per month, before usage charges. That is not a universal price: a cloud-phone provider may charge more but include minutes, a receptionist feature, or a visual business phone system.

Estimate your likely usage before signing up. If you expect 500 inbound minutes each month, a provider with a higher monthly fee but bundled minutes may cost less than a low-cost pay-as-you-go service. Also check whether forwarded calls are charged twice—once for the incoming toll-free leg and again for the outgoing leg.

3. Choose a prefix and number

North American toll-free prefixes include:

  • 800
  • 888
  • 877
  • 866
  • 855
  • 844
  • 833

The 800 prefix is familiar, but it is often harder to find because inventory is limited. A toll-free number is non-geographic, so its prefix does not tell customers where your business is located.

Most providers let you search for:

  • Any available number
  • A particular prefix, such as 800 or 833
  • A repeating pattern, such as 1-833-555-7777
  • A vanity number, such as 1-800-FLOWERS

A desirable word is not reserved merely because it appears to spell your business name. The corresponding number must be available or transferred from its current owner. A memorable number may also cost more, depending on the provider.

4. Buy a new toll-free number

Menu names differ by company, but the process is usually similar: create an account, search available numbers, select one, and configure its services.

Example: buying through Twilio

  1. Open Numbers & Senders.
  2. Select Phone Numbers.
  3. Select Set up a new phone number.
  4. Enter the basic information and select Next.
  5. On Select number, filter by country, number type, capabilities, prefix, or pattern.
  6. Select Search, then choose a number.
  7. Review the number and select Purchase.
  8. Complete any messaging or regulatory steps shown under Finish setting up your number.

Twilio also provides an advanced search route: choose Buy a Number, select Show Advanced Search, set Type to Toll-Free, enter a pattern if desired, and select Search.

Provisioning may be immediate, but that does not mean every feature is ready. Voice can work while SMS remains unavailable pending verification.

5. Decide where calls should go

After purchase, set up the call flow before publishing the number. Common configurations include:

  • Forwarding to your existing business line
  • Ringing several employees in sequence or simultaneously
  • An interactive voice response menu, such as “Press 1 for sales”
  • A shared call queue
  • Voicemail and voicemail transcription
  • Business-hours, holiday, and after-hours routing
  • Call recording and performance reports

The toll-free number is just the address callers dial. The provider’s routing rules determine who answers and what the caller hears. Test those rules before putting the number on packaging, invoices, or advertisements.

6. Complete business verification for texting

If you only need voice calls, messaging verification may not apply. If you intend to send SMS or MMS in the United States or Canada, expect a separate registration process.

Providers may request your:

  • Legal business name and address
  • Authorized contact
  • Website
  • Messaging use case
  • Expected monthly volume
  • Sample messages
  • Customer opt-in and opt-out process
  • Privacy policy and messaging terms

On Twilio, the current Console route is Trust Hub → Trust Hub → Registrations → Toll free. Select the number, enter the requested business and campaign details, and submit the registration. In the legacy Console, the route is Phone Numbers → Manage → Active numbers; select the number, open Regulatory Information, and choose Verify this toll free number.

Twilio says verification generally takes about 3–5 business days. Its status categories include not verified, pending, and approved. Unverified U.S. and Canadian toll-free messaging is blocked, and Twilio reports error 30032 when that traffic is stopped.

For new Twilio submissions made on or after September 15, 2026, separate links to your Privacy Policy and Terms and Conditions will be required. Missing links can cause rejection with error 30493. Existing verifications do not need to be updated solely because of this change.

7. Port an existing toll-free number when continuity matters

If customers already know your number, porting is usually better than starting over. Porting moves the number and its voice and messaging control to the new provider. Hosting is different: the number remains with the current carrier while the new provider adds supported messaging services.

For a port, prepare:

  • The exact business name and service address on the current account
  • Your current carrier account number and any required PIN
  • An authorized contact
  • A Letter of Authorization, if requested
  • A recent bill or other account documentation

In Twilio, the current path is Products & Services → Numbers and Senders → Port and host. Twilio says a port normally takes 5–15 days, although a rejection can extend the process to four weeks.

Frequent rejection reasons include a mismatched business name or address, an incorrect account number or PIN, missing paperwork, a number already involved in another port, or an unsupported carrier. Do not cancel the old service until the port is complete. Canceling early can interrupt calls or cause the number to be released.

8. Test the number before advertising it

  1. Call from a mobile phone and, if possible, a landline.
  2. Try every IVR option and confirm that each department reaches the right person.
  3. Check business-hours and after-hours routing.
  4. Leave a voicemail and verify delivery or transcription.
  5. Test inbound SMS separately from voice.
  6. Check caller ID and business-name display where supported.
  7. Confirm the number is not connected to an old account, test workflow, or previous customer experience.
  8. Use a consistent written format, such as 1-800-555-0123 and 800-555-0123, where appropriate.

A toll-free call generally puts the toll charge on the receiving business rather than the caller. That does not guarantee that every mobile caller pays nothing: mobile plans, minutes, and carrier restrictions can still apply. Avoid advertising the number as “free from every phone.”

What happens if you release the number?

Treat the number as a business asset. Releasing it can remove it from your account and make it impossible to recover. It may later be assigned to someone else. Twilio also states that releasing a number deletes its toll-free verification record, so a future owner or reactivated service may require a new registration.

How much does a toll-free business number cost?

The price depends on the provider and usage model. Twilio currently lists U.S. toll-free numbers at $2.15 per month, before voice and messaging charges. Cloud-phone services may charge more while including minutes or call-management features. Compare the monthly fee with per-minute, forwarding, texting, setup, and cancellation costs.

Do I need an 800 number?

No. 888, 877, 866, 855, 844, and 833 are also North American toll-free prefixes. An 800 number may be more familiar, but it can be harder to obtain because available inventory is limited.

Can I text from a toll-free number immediately after buying it?

Usually not. Toll-free messaging has separate compliance requirements. For Twilio traffic to the United States and Canada, unverified toll-free numbers cannot send SMS or MMS. Verification generally takes about 3–5 business days.

Should I buy a new number or port my existing one?

Buy a new number if you are starting fresh and do not need an established contact number. Port an existing number if customers, advertising, or invoices already depend on it. Keep the old service active until the port is confirmed.

To get a toll-free number, choose the features you need, compare providers using total monthly and usage costs, search for an available 800 or alternative toll-free prefix, and purchase the number through a carrier or communications provider. Then configure routing, complete separate messaging verification if necessary, and test every call path before publishing it. If you already have a valuable number, port it instead of risking customer confusion—and never cancel the old service before the transfer finishes.
