A canceled or delayed flight does not automatically cancel a separate hotel reservation or entitle you to a hotel refund. Your options depend mainly on the hotel’s rate terms, where you booked, and whether the property or booking company will make an exception. Act quickly: check the reservation, ask for a refund in writing, and then consider insurance or a valid billing-error claim. The airline’s flight obligations are a separate matter.
First, check what your hotel booking allows
Open the confirmation and the rate details. Look for the cancellation deadline and its time zone, whether the booking was prepaid or marked nonrefundable, the no-show charge, and instructions on whether to cancel through the hotel or the booking intermediary. The Federal Trade Commission advises travelers to get lodging cancellation and refund policies in writing and keep records of what was promised: FTC guidance on avoiding travel scams.
Do not assume that a flight disruption overrides the rate you accepted. There is no universal hotel grace period established by the sources cited here. If you booked through an online travel agency, check the reservation instructions and contact that company as well as the property when appropriate.
Ask the hotel or booking company for relief
Contact the correct party promptly using the details on your confirmation. Explain that your flight was canceled or delayed, specify which nights you will miss, and request a refund. If the rate terms do not permit one, ask whether the property or booking company can waive the fee, change the dates, or issue a credit. A goodwill exception is discretionary, not a guaranteed entitlement.

Ask for the decision in writing and save any case number, email, or chat transcript. If the answer is no, ask which reservation term applies and whether a supervisor can review the request.
Separate the hotel request from your airline claim
U.S. flight refunds and assistance
For a flight to, from, or within the United States, the Department of Transportation’s airfare-refund rule applies to the flight transaction—not a separately booked hotel. If a covered flight is canceled or significantly changed or delayed and you decline rebooking, a voucher, or other offered alternative, you may be entitled to an airfare refund. DOT guidance says eligible airfare refunds are due within 7 business days when paid by credit card or 20 calendar days for other forms of payment; those deadlines are for airfare, not lodging. U.S. airlines do not have a general federal obligation to provide hotel rooms or meals for domestic flight delays. Assistance policies vary by airline, so check the carrier’s current customer-service commitment and ask what it will provide. The DOT’s Fly Rights guidance says each airline has its own policies for delayed passengers and that “there are no federal requirements.”
EU-covered itineraries and other international claims
On itineraries covered by EU air-passenger rights, a cancellation can give passengers a choice among reimbursement, rerouting, or return, and assistance rights may apply. For long delays, remedies depend on the duration, route distance, and circumstances. The European Commission says a departure delay of 5 hours or more can be a point at which a passenger may choose reimbursement and, where applicable, a return flight; eligibility depends on the rules’ scope and itinerary. These flight rights do not by themselves make an independent hotel reservation refundable. Check the European Commission’s air passenger-rights guidance.

For some international itineraries, the DOT’s Fly Rights guidance notes that a passenger may be able to seek delay-related expenses under Article 19 of the Montreal Convention. This is a separate claim against the airline, not a blanket hotel refund; the outcome depends on the circumstances and applicable law.
Check travel insurance you already have
Read the policy’s covered reasons, exclusions, claim deadlines, and documentation requirements. Contact the insurer or plan administrator to ask whether unused lodging is an eligible expense for this disruption. The policy controls: a flight cancellation does not automatically mean your insurance covers missed hotel nights. The FTC’s travel-plans guidance advises consumers to review provider terms and insurance coverage.

Use a card dispute only for a genuine billing error
A card dispute may be appropriate if the hotel or intermediary charged an amount different from what you authorized, charged after a cancellation, or failed to provide a service that was agreed. Contact the merchant first, then ask your card issuer about its billing-error process and provide the confirmation, reservation terms, and communications.
For credit-card billing errors, the FTC says written notice generally must be sent within 60 days after the first statement showing the error. This is a billing-error deadline, not a general deadline for canceling a hotel or a way to reverse a valid nonrefundable charge simply because you could not arrive. Compare any alternatives by their restrictions
If a refund is unavailable, compare the practical value of the options offered before accepting one.

Keep a clear record and escalate to the right place
Save the hotel confirmation and rate terms, flight disruption notice, cancellation request, receipts, and written replies. If the hotel or intermediary refuses your request, ask for the specific reservation term behind the decision and request supervisor review. If the dispute is an actual billing error, use the card issuer’s formal process. For an airline airfare-refund or airline-conduct complaint, first give the airline an opportunity to respond, then use the DOT complaint route described in its Fly Rights guidance. Other consumer-protection options depend on where you and the hotel are located.
