Format a reference letter as a professional business document, but follow the employer’s or program’s instructions first. A strong letter identifies the opportunity and recommender, explains how the writer knows the candidate, supports the recommendation with relevant firsthand examples, and ends with a clear endorsement and contact details.
Check the recipient’s requirements first
Before writing, confirm the deadline, addressee, submission method, confidentiality rules, signature requirements, letterhead rules, and any length or format limit. An application portal may require the writer to submit the letter directly or use a specific form; those directions take precedence over a general letter format. The University of Michigan and Oregon State University both emphasize checking the receiving organization’s instructions. University of Michigan guidance · Oregon State guidance.
If no length is specified, the University of Michigan recommends one to two pages. Treat that as general guidance, not a universal rule. The reviewed sources do not establish one mandatory font, spacing, or address-block layout.
What to include, in order
- Letterhead and date. Use professional or institutional letterhead when available. Add the date in a style consistent with the recipient’s directions. The University of Washington Bothell’s student recommendation template recommends institutional or departmental letterhead. University of Washington Bothell template.
- Recipient and greeting. Address the letter to the employer or selection committee when known. If the recipient is not named, use an appropriate committee greeting rather than guessing a person’s name.
- Opening endorsement. Identify the candidate and the specific job, program, or opportunity. State the recommender’s role and how they know the candidate.
- Relationship and context. Explain the setting and duration of the relationship so the reader can judge the basis of the writer’s observations.
- Evidence-based body. Describe relevant skills or qualities through specific examples of the candidate’s work, behavior, contributions, or growth. Connect each example to the demands of the opportunity.
- Clear conclusion. State the recommendation plainly and reinforce the most relevant reason for it.
- Closing and contact details. Use a professional closing, then provide the writer’s name, title, organization, and the contact details requested by the recipient.
How to make the recommendation persuasive
Choose evidence for the audience
An employment reference should focus on skills relevant to the role; an academic or professional program may call for different evidence. Avoid listing generic virtues without showing how the writer observed them in practice. The University of Michigan advises describing observed behavior, its context, and its impact.

Make comparisons meaningful
If the writer compares the candidate with peers, explain the comparison group and the basis for the comparison. A ranking without context gives the reader little way to interpret it.
Keep claims truthful and balanced
Use firsthand information and an accurate assessment rather than unsupported praise. The University of Michigan says, “It is important to remember that the student’s merit should be the primary guide for determining how and whether to provide a reference letter.” Its guidance also says the recommender should write the letter personally, rather than simply signing a letter composed by the student.

What the applicant should give the recommender
Make it easier for the writer to produce a specific, timely letter by sharing:
- The target role, program, or opportunity and why the application matters.
- The deadline and exact submission instructions, including portal or email details.
- A current résumé and a short list of relevant accomplishments the writer can verify.
- Any qualities, experience, or length limit the recipient requests.
Oregon State University recommends explaining the opportunity and how and where the letter must be submitted, and giving the recommender a résumé and list of achievements.
