For eligible regular and casual taxpayers, the recurring process generally involves GSTR-1 for outward supplies and GSTR-3B for the return and tax payment. Eligible businesses can use the QRMP scheme to file those returns quarterly while still paying tax monthly by challan.
This guide is India-specific. GST rules in another country will use different forms and deadlines. Even in India, confirm the live due date and your category on the GST Portal before filing; government extensions and taxpayer-specific rules can change the calendar.

Start by identifying your GST status
Do not assume that every small business files the same GST forms. First identify:
- Your GSTIN and whether the registration is active.
- Your taxpayer category, such as normal, casual or composition.
- Your principal place of business and the applicable state or territory group.
- Whether you file monthly or have opted for the Quarterly Return Filing and Monthly Payment (QRMP) scheme.
- The financial year and tax period you are filing.
The GST Portal’s GSTR-1 guidance covers eligible normal and casual registered taxpayers making outward supplies. It lists composition taxpayers and other categories among those that do not file GSTR-1. Your registration category therefore determines the forms you should see on the return dashboard.
#1 Best Overall
If you are unsure whether your registration is normal, casual, composition or another category, check the registration profile and current portal instructions before preparing a return. A filing made under the wrong category can create a compliance problem even if the sales figures are correct.
Which GST returns and payments are involved?
| Item | Purpose | Who or when it applies | General cadence in the cited portal guidance |
|---|---|---|---|
| GSTR-1 | Statement of outward supplies, including the transaction and adjustment information required by the form. | Eligible normal and casual registered taxpayers. The portal lists composition taxpayers and several other categories as excluded. | Monthly filers: 11th day of the succeeding month. Quarterly filers: 13th day of the month after the quarter. Dates can be extended. |
| GSTR-3B | Return on which the tax due is declared and paid. The exact liability and credit calculation depend on your records and applicable rules. | Taxpayers required to furnish this return under their registration and filing arrangement. | Return deadlines vary by filing arrangement. QRMP taxpayers file it quarterly but make monthly challan payments during the quarter. |
| QRMP monthly challan payment | Monthly payment of tax during a quarter in which GSTR-1 and GSTR-3B are filed quarterly. | Eligible taxpayers who use QRMP and meet the scheme’s conditions. | Payments are made for each of the first two months of the quarter; the applicable amount and method should be confirmed in the current portal instructions. |
GSTR-1 can include invoice-level details for specified registered-customer and interstate transactions; credit and debit notes; exports; advances and their adjustments; consumer-supply summaries; exempt, nil-rated and non-GST supplies; and HSN/SAC summaries. The fields that apply to you depend on the transaction and the form version, so use the current form instructions rather than copying a prior period blindly.
Prepare your records before opening the return
A clean preparation file reduces corrections and helps you explain differences between your sales ledger and the portal return.
- Separate sales by the categories the current GSTR-1 tables request, including registered-customer, consumer, interstate, export, exempt, nil-rated and non-GST supplies where applicable.
- Keep invoice numbers, invoice dates, customer GSTINs where relevant, taxable values, tax amounts and place-of-supply information together.
- Record credit notes, debit notes, advances and later adjustments with a clear link to the original transaction.
- Check that export and other special transactions have the supporting documents required for the fields you intend to report.
- Reconcile your sales register to the period selected on the GST Portal. Do not mix invoices from a different tax period simply because they were entered late in your accounting system.
- Confirm that the latest return required for your GSTIN has been filed before attempting to opt into QRMP.
The portal supports preparation by direct online entry, the GST Returns Offline Tool or third-party applications connected through GST Suvidha Providers. Choose one method for the period and retain the working file and reconciliation used to produce the final submission.
How to file GSTR-1
1. Confirm that GSTR-1 is required
Use the applicability rules in the official GSTR-1 instructions. Normal and casual registered taxpayers generally use the form for outward supplies, while composition taxpayers and listed excluded categories do not. If the return tile is absent or the portal identifies a different form, resolve the category issue rather than forcing a filing.
2. Select the correct tax period
On the GST Portal, open the returns area and select the financial year and return period associated with the GSTIN. Check whether your profile is monthly or quarterly before entering data; the due date and available period will follow that setting.
3. Enter or upload outward-supply data
Enter records online, upload a file prepared with the GST Returns Offline Tool, or transmit data through an approved GST Suvidha Provider. Use the table that matches each transaction. Typical sections cover specified business-to-business and interstate invoices, exports, credit and debit notes, advances, consumer supplies, exempt or nil-rated and non-GST supplies, and HSN/SAC summaries.

Review invoice numbers, dates, GSTINs, place of supply, taxable values and tax amounts. Look for duplicate invoices, a credit note assigned to the wrong original invoice and totals that do not agree with your sales register. Correct the source data and upload again if validation identifies an error.
5. Submit and keep evidence
Submit GSTR-1 through the portal’s filing flow and retain the acknowledgement or reference generated by the system, together with your final data file and reconciliation. A saved draft is not a filed return; verify that the status changes to the portal’s filed or submitted state for the selected period.
6. Watch for a changed deadline
The portal gives the 11th of the following month for monthly GSTR-1 and the 13th of the month after the quarter for quarterly GSTR-1 as general dates. Those are starting points, not guarantees for a specific period. Check current notifications and the return dashboard for extensions before treating a date as final.
How tax payment and GSTR-3B fit together
Section 39(7) of the Central Goods and Services Tax Act, 2017, as published by the Central Board of Indirect Taxes and Customs, states: “Every registered person, who is required to furnish a return under sub-section (1) or sub-section (2) or sub-section (3) or sub-section (5), shall pay to the Government the tax due as per such return not later than the last date on which he is required to furnish such return.” Read the current statutory text at CBIC’s section 39 page before relying on a deadline.

Your amount depends on the transactions, rates, permitted adjustments and credit position that apply to your GSTIN.
A safe payment workflow
- Reconcile the period’s outward supplies and adjustments with the figures that will support your return.
- Open the GST Portal return dashboard for the same financial year and tax period.
- Prepare the required GSTR-3B information using the current portal fields and instructions for your taxpayer category.
- Review the tax due and any available balances or payment requirements shown by the portal. Do not estimate from a previous month when the underlying transactions changed.
- Complete the portal’s payment and filing sequence, then save the challan, payment reference and filed-return acknowledgement.
If the portal shows a mismatch, blocked period or unavailable filing tile, stop and resolve that issue before paying. It may indicate an overdue earlier return, an incorrect period, a profile change or a portal notification that affects your GSTIN.
When QRMP can reduce filing frequency
QRMP means quarterly filing of GSTR-1 and GSTR-3B with monthly tax payments. It changes how often returns are filed; it does not eliminate the obligation to track monthly liability.
Eligibility checks
The GST Portal’s QRMP profile FAQ describes eligibility for taxpayers with aggregate annual turnover up to ₹5 crore in the current and preceding financial year, where the other conditions are met. It also requires the most recent due GSTR-3B to have been filed. The turnover ceiling is a scheme condition, not a universal definition of a small business.
Recommended Free Tools
Confirm the portal’s current eligibility test and opt-in timing for your GSTIN. A business can be below the turnover ceiling and still be ineligible because of its taxpayer category, filing status or another scheme condition.
How the quarter works
- For the first month of the quarter, calculate and pay the required tax by challan using the QRMP process.
- Repeat the monthly payment process for the second month of the quarter.
- After the quarter ends, prepare and file the quarter’s GSTR-1.
- Prepare and file the quarter’s GSTR-3B and complete any final payment required for the quarter under the portal’s instructions.
The QRMP advisory describes quarterly GSTR-1 as generally due on the 13th of the month after the quarter. It describes two broad state or territory groups for quarterly GSTR-3B, with general dates of the 22nd or 24th of the succeeding month. These dates can be changed by notification, so check the live advisory and dashboard for your principal place of business and tax period. The current advisory is available as a PDF at the GST Portal’s QRMP advisory.
Monthly filing versus QRMP
| Decision point | Monthly filing | QRMP, if eligible |
|---|---|---|
| GSTR-1 and GSTR-3B filing | Filed each month according to the GSTIN’s monthly schedule. | Filed quarterly. |
| Tax payment | Generally tied to the return deadline under the statutory rule in section 39(7). | Monthly challan payments during the quarter, followed by the quarterly return process. |
| Eligibility | Depends on the taxpayer category and regular filing arrangement. | Portal conditions include the stated ₹5 crore aggregate annual turnover ceiling and filing of the latest due GSTR-3B; other conditions may apply. |
| Due-date complexity | Use the monthly period shown on the dashboard and check extensions. | Track monthly payment dates plus quarterly return dates; GSTR-3B dates can differ by state or territory group. |
| Operational trade-off | More frequent return preparation and reconciliation. | Fewer return submissions but a continuing monthly payment and record-keeping obligation. |
Choose QRMP for the administrative cadence, not merely because the business is small. If monthly reconciliation is important to your cash-flow control, monthly filing may be easier to manage. If preparing a full return every month is the main burden and you can reserve cash for two monthly challans, QRMP may suit you—provided the portal confirms eligibility.

Nil GST returns: no sales does not always mean no filing
The GSTR-1 FAQ says GSTR-1 must be filed even when there was no business activity during the tax period. You should therefore treat “no sales” as a reason to check the nil process, not as permission to ignore the due date.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesNil filing applies to forms your GSTIN is actually required to furnish. It does not mean every registered person files every form regardless of category. Confirm the applicable return tiles and period on the dashboard.
Nil GSTR-3B portal route
The GST Portal’s nil GSTR-3B user guide gives this route:
- Sign in to the GST Portal.
- Open Services → Returns → Returns Dashboard.
- Select the financial year and filing period.
- Open the GSTR-3B tile and choose the prepare-online flow.
- Use the nil-return option when the portal confirms that no relevant activity or liability has been reported for the period.
- File using DSC or EVC as available for your account, then save the acknowledgement.
If you made a sale, purchase or adjustment that makes the return non-nil, do not use the nil option simply to meet the deadline. Enter the required information or obtain professional advice on the correct treatment.

Maintain a calendar keyed to your GSTIN rather than a generic internet list. For each period, record:
- The return type and whether your profile is monthly or quarterly.
- The portal’s displayed due date and any extension notification.
- The QRMP monthly challan dates, if you use the scheme.
- The payment reference, challan and filing acknowledgement after completion.
- Any error message, help-desk ticket or correction still outstanding.
For monthly GSTR-1, the portal’s general reference is the 11th of the succeeding month. For quarterly GSTR-1, it is generally the 13th after the quarter. QRMP quarterly GSTR-3B dates are generally grouped around the 22nd or 24th of the succeeding month, depending on the state or territory group. Government extensions and period-specific notifications override these general references.

Common mistakes and practical fixes
Filing the wrong form for the registration category
Symptom: You attempt GSTR-1 because the business is small, but the portal identifies a composition or other excluded category. Fix: Check the GSTIN profile and the current applicability list; use only the forms required for that category.
Treating QRMP as “quarterly everything”
Symptom: No payment is made during the first two months of the quarter. Fix: QRMP reduces return frequency but retains monthly challan payments. Put both monthly payment dates and quarterly filing dates on the calendar.
Using an old due-date list
Symptom: A return is filed on the usual date even though a notification extended or changed it, or a changed date is missed because an old article was followed. Fix: Verify the current dashboard and applicable notification for the GSTIN and period.
Assuming zero sales means no return
Symptom: The period is left unfiled because there were no invoices. Fix: Check whether GSTR-1 and GSTR-3B are required for your category and file the applicable nil return through the portal.
Submitting a draft instead of filing
Symptom: Data is saved online but the return remains pending. Fix: Confirm the final status and retain the acknowledgement or reference generated after filing.
Paying from an unverified calculation
Symptom: The amount is copied from a prior month or rounded without reconciling transactions. Fix: Reconcile the period’s records, use the current form fields and investigate any portal mismatch before completing payment.
A repeatable monthly or quarterly checklist
- Confirm the GSTIN, taxpayer category, filing frequency and tax period.
- Download or assemble the sales and adjustment records for that period.
- Classify transactions into the GSTR-1 sections that apply.
- Reconcile invoice totals and tax amounts to your accounting records.
- Prepare GSTR-1 using online entry, the offline tool or an approved provider.
- Review, submit and save the GSTR-1 acknowledgement.
- Prepare the required GSTR-3B information for the same period, or the quarter if using QRMP.
- If using QRMP, make the first- and second-month challan payments on their monthly schedule.
- Complete GSTR-3B payment and filing by the applicable deadline.
- Store the filed returns, challans, payment references, reconciliations and supporting invoices together.
For a nil period, follow the portal’s nil-return route instead of entering invented figures. For a disputed classification, tax rate, input tax credit or liability, pause the filing and obtain advice from a qualified Indian GST professional; those calculations cannot be determined from the general procedure alone.
What you still need to verify for your business
The exact forms, amount payable and deadline cannot be determined from the phrase “small business.” They depend on your jurisdiction, GSTIN category, state or territory, filing frequency, tax period, actual transactions, applicable tax rates, permitted credits and current extensions. Use the official portal pages for the live procedure: GSTR-1 instructions, QRMP eligibility information, nil GSTR-3B filing steps, CBIC section 39 and the QRMP advisory.
