For an active travel-day problem, contact an American Airlines airport representative or the relevant frontline team first. For a concern about completed travel, submit the airline’s Customer Relations form. Use American’s separate refund process for refund requests, and contact the U.S. Department of Transportation (DOT) if an unresolved U.S.-related air-travel complaint needs escalation. Disability-related issues have a dedicated airline contact: the Complaint Resolution Official (CRO).
Choose the right American Airlines contact for your issue

How to file a complaint with American Airlines
American says Customer Relations handles comments, compliments, and concerns about past travel, and describes its online form as faster than sending a letter. The form requests contact information and trip identifiers, including the confirmation code or ticket number, flight number, travel date, origin, and destination. Use the Customer Relations form to submit the complaint.
Include enough information to investigate the problem
- Your name and reliable contact details.
- The confirmation code and ticket number, if available.
- Flight number, date, origin, and destination.
- A brief timeline of what happened, when, whom you contacted, and what response you received.
- Relevant supporting records, such as receipts, itinerary or boarding-pass details, baggage-file information, messages, and photos where applicable.
- The specific outcome you want. For reimbursement, explain how you calculated the amount and attach supporting receipts.
DOT’s complaint instructions also ask for passenger contact details, a description of the problem, booking and itinerary information, and supporting documents. If you later complain to DOT, include a copy of the complaint you sent to the airline when available: DOT consumer complaint instructions.
Use a clear, factual format
Put the flight number, date, and route in the subject or opening. Then describe the problem, list the events in order, identify prior contacts and responses, name the records attached, and state the remedy or review you are requesting. Keep copies of your documents and the submitted complaint, and record when you sent it and any replies. Avoid sending duplicate complaints to unrelated channels unless the matter is urgent or the channel you tried is clearly the wrong one.

American notes that mailed letters may take longer to arrive and may delay a response. Include your contact and travel information, and send copies rather than originals of important records.
What response timeline should you expect?
American’s Customer Service Plan, updated August 26, 2026, says customers can typically expect a response within a few days, at least an acknowledgement within 30 days, and resolution within 60 days for Customer Relations concerns. These are the airline’s stated service-plan expectations, not promises that it will grant the requested remedy: American Airlines Customer Service Plan.

Separately, DOT says airlines must acknowledge consumer complaints within 30 days and send a written response addressing them within 60 days. Those deadlines concern acknowledgement and response, not a guaranteed refund or other result: DOT air travel complaints.
When to escalate a complaint to DOT
DOT advises travelers to give the airline a chance to resolve an air-service problem first. If it remains unresolved to your satisfaction, you may submit an online complaint to DOT’s Office of Aviation Consumer Protection using its consumer complaint form.

DOT generally forwards routine service complaints to the airline or ticket agent and directs that business to respond to the consumer; DOT also receives a copy of the response. It does not investigate every ordinary service complaint. Complaint records can help DOT identify trends and compliance concerns, but filing does not guarantee an investigation or compensation: DOT air travel complaints.
Provide your full name and contact information, a concise account of the problem, booking and itinerary details, flight dates and numbers, city pairs, and relevant supporting documents. Include your complaint to American and its response, if available, so DOT can see what has already been tried.

Use the CRO for a disability-related issue
If your issue concerns disability accommodation or service, ask airline staff for the Complaint Resolution Official (CRO). DOT describes the CRO as the airline’s disability-related air-travel expert and says the CRO has authority to resolve complaints on the airline’s behalf. During travel, raise the issue promptly with airport or onboard staff and clearly identify it as a disability accommodation concern. Keep a record of the request and the response.
DOT also offers a disability hotline for general rights information and time-sensitive assistance. Details and the disability complaint route are available on DOT’s disability complaints page.
Handle refunds and disruptions through the relevant route
A refund request is not the same as general feedback. If you purchased directly from American, use its Receipts and Refunds support to request a refund or check its status. If you booked through a travel agent or another website, contact that seller.
American’s current Customer Service Plan says DOT rules allow a refund when a flight is significantly disrupted and the passenger declines rebooking, including for a non-refundable ticket. The plan also describes rebooking and certain meal, hotel, and transport assistance in specified circumstances when a disruption is caused by the airline. Whether those provisions apply depends on the disruption, ticket, itinerary, and applicable rules; check the current plan and refund terms before making a claim: American Airlines Customer Service Plan.
