Compare payment services by estimating what each would cost for the same month of your business—not by choosing the lowest advertised percentage. Your transaction count, average sale, payment mix, sales channels, currencies, refunds and disputes can all change the result. Ask each provider for a complete fee schedule and, where pricing is custom, a written quote based on the same assumptions.
Start with your business assumptions
A fee schedule only becomes useful when you can apply it to the transactions you expect to process. Before requesting prices, write down one realistic monthly profile. Use the same profile for every provider so the comparison does not quietly favor one quote.

Record the transaction volume and average sale
- Monthly transaction count: Estimate the number of successful customer payments, not just the number of orders. If one order can produce multiple charges, note that.
- Monthly payment value: Estimate the total amount customers will pay through the service during a typical month.
- Average ticket: Divide expected payment value by expected transaction count. A fixed charge on each payment weighs more heavily when the average ticket is small.
Keep the count and value separate. Two businesses with the same monthly sales can have very different processing costs if one makes many low-value sales and the other makes fewer high-value sales.

- Estimate the share of payments by card and by each alternative payment method you plan to accept.
- Separate domestic payments from cross-border payments, and list the currencies you expect to accept.
- Distinguish online payments from in-person payments if both are part of the plan.
- Estimate refunds, disputes or chargebacks, and other transaction outcomes that may appear in your operations.
These are not merely operational details. Provider charges may depend on payment method, geography, currency, service or transaction outcome. A quote for a card-heavy domestic online business may not describe the cost of a business with substantial cross-border or in-person activity.

Make a baseline and a second scenario
Use your most plausible month as the baseline, then prepare at least one lower- or higher-volume case. The second case shows whether a recurring charge, minimum, custom price or fixed transaction fee becomes more or less important as volume changes. If your business is seasonal, use a representative busy and quiet period rather than assuming every month looks alike.
Understand what each quoted fee covers
Do not assume that the word “rate” means every cost is included. Ask the provider to identify the charge, what it applies to, and whether it is included in the quoted percentage or billed separately.
Percentage-based charges
A percentage charge grows with the amount processed. It is often shown as a percentage of a transaction, but the quote should say which transactions and payment methods it covers. Ask whether the quoted percentage is all-in or whether payment-method, interchange, scheme or other network charges are added to it.
Fixed transaction charges
A fixed fee is charged per transaction or per specified event. Its effect depends on payment count, not only on sales value: a fixed charge can take a larger share of a small payment than of a large one. Confirm whether the fixed amount differs by payment method or by outcome, such as a successful payment, verification, refund or rejected attempt.

Interchange, scheme and payment-method charges
Ask the provider to distinguish its own processing charge from amounts associated with the payment method or network. A provider may pass variable interchange costs through rather than quote a single bundled rate. If so, request an explanation of which components are variable and how they will appear on statements or invoices. Do not compare a bundled figure with a pass-through model as if the displayed percentages were equivalent.
Recurring and separately priced services
Ask whether the exact plan has a monthly or annual charge, gateway or account fee, minimum-volume condition, or separately priced product required for your planned setup. A low transaction rate can be offset by a fixed recurring cost, while a product described as optional may be necessary for the integration or payment method you intend to use. Have the provider identify the services included in the quote and list any additional service you would need.
Calculate an apples-to-apples monthly estimate
Use the provider’s actual written terms wherever possible. For a simple pricing model, the basic calculation is:
Estimated monthly processing cost = percentage charges on applicable payment value + fixed transaction charges + recurring charges + separately priced services + applicable event charges.

This is an estimate, not a promise of the invoice total. Variable pass-through fees, refunds, disputes, currency conversion and other events can alter the amount. Keep each category visible instead of combining them into a single rate too early.
Separate percentage and per-transaction math
For each payment category, multiply the applicable payment value by its quoted percentage. Separately multiply the number of applicable transactions by the fixed charge. Add recurring charges and the costs of any required or selected services. Add event-based fees only when the relevant event is expected, and label the assumption.
For example, consider a purely hypothetical quote of 2% plus $0.30 per successful transaction. On 100 successful transactions averaging $50, percentage charges would be $100 (2% of $5,000) and fixed charges would be $30 (100 × $0.30), for a $130 estimate before any other charges. Those figures are an arithmetic illustration, not a provider price or a market benchmark.
Show the effect of a fixed charge
For a hypothetical $20 payment under the same 2% plus $0.30 model, the fee would be $0.70: $0.40 percentage-based and $0.30 fixed. The fixed portion is a greater share of the payment than it would be on the $50 example. That is why average ticket and transaction count belong in the comparison, not just monthly sales.

Compare at more than one volume
Run the same calculation for your lower- or higher-volume case. A recurring charge affects a quieter month more heavily relative to sales; a per-transaction charge can rise with the number of payments; and a percentage fee rises with the value processed. A provider’s quote may also be conditional on volume or payment mix, so state whether each scenario still qualifies for the offered price.
Use a worksheet with one row for each provider and columns for percentage charges, fixed charges, recurring costs, other required services, expected event fees, estimated total, and conditions. Add separate rows or worksheets for different payment methods or geographies when their charges differ. Do not treat a charge listed as “not stated” or not addressed in the quote as zero; ask for clarification.
Ask every provider the same fee questions
Request a complete schedule for the country, currencies, payment methods and services relevant to your business. Then ask the provider to answer these questions in writing:

- Are there monthly, annual, gateway, account, minimum-volume or separately priced product charges for this exact plan?
- What applies to refunds, disputes or chargebacks, verifications, voids, failed payments and gateway rejections?
- Do cross-border, currency-conversion, payout or payment-method costs apply to the markets we serve?
- Is this price fixed, custom or conditional on volume, payment mix, eligibility or another requirement?
- Which products and services are included, and which would we need to purchase separately for the planned setup?
Ask for examples using your own assumptions: one ordinary successful payment, one refund, one dispute, and any other common outcome. Examples can make fee triggers easier to understand, but they do not replace the written schedule or agreement.

Compare the published pricing models without treating them as equivalent quotes
Official provider pages illustrate different ways prices may be presented, but they do not provide a complete, comparable quote for one shared merchant profile. The distinctions below are useful prompts for questions—not a ranking or a claim that one provider will cost less.

Read the agreement as carefully as the rate card
A price schedule does not establish every contractual condition. The reviewed provider materials do not support a cross-provider comparison of agreement terms, cancellation steps, minimums or termination charges. Read the actual agreement and current terms for the offer you are considering, rather than assuming that the absence of a term on a pricing page means there is no obligation.

Confirm the duration and renewal terms
Check the agreement’s term, when it renews, how renewal works, and what notice is required if you do not want to continue. Ask which document controls if a sales quote and standard terms differ. Keep the written quote and the agreement together so you can verify that the negotiated price appears in the binding terms.
Find the full cancellation process and possible charges
Confirm how to cancel, where notice must be sent, when cancellation takes effect, and whether any minimum-volume, early-termination or other charge can apply. Ask whether cancellation of a service affects another product or an outstanding obligation. Get the answer in the applicable agreement or a written addendum.
Check conditions attached to custom prices
A custom price may depend on eligibility, volume, payment mix or other stated conditions. Identify what happens if your business falls short of a threshold, changes its mix or grows beyond the quoted assumptions. Ask whether the price can change and under what contractual process.

Use a decision process that separates cost from fit
- Define the business profile. Record transaction count and value, average ticket, payment mix, countries, currencies, channels, and likely refunds and disputes.
- Request matching schedules and quotes. Give each provider the same profile and ask for the full fee schedule and a written quote where pricing is custom.
- Normalize the fee categories. Separate percentage charges, fixed transaction charges, recurring costs, pass-through amounts, separately priced products and event fees.
- Estimate multiple scenarios. Calculate a baseline and a lower- or higher-volume case using your own assumptions. Mark uncertain or conditional charges instead of treating them as zero.

- Check suitability after price. Once a quoted plan meets your payment, geography and service needs, compare integration and features that matter to your operation. Do not let a low displayed rate stand in for a plan that does not support the intended setup.
Common comparison mistakes to avoid
- Choosing by headline percentage: It ignores fixed fees, payment-method pricing, pass-through costs and required products.
- Comparing different transaction mixes: A quote based on one country or payment method is not directly comparable with one based on another.
- Using sales value alone: Fixed per-transaction charges depend on transaction count and average ticket.
- Assuming refunds erase the original cost: Ask whether processing or other original charges are returned. Stripe’s published terms, for example, state that original processing, Connect and currency-conversion fees are not returned on refunds; verify the applicable service and market terms.
- Ignoring events that are not successful sales: Disputes, verifications, voids, rejections and failed payments may have distinct treatment. Ask for the applicable schedule.
- Mixing regions or services: A country-specific schedule is not a global price. PayPal’s cited page is US-specific, and Adyen’s cited view is European.
- Relying on an oral assurance: Have pricing, conditions and contract answers documented in the applicable quote or agreement.
