A purchase does not become deductible simply because you use it for work. Start by identifying your country, the tax year, and whether you are an employee, commission earner, or self-employed; then check the tax authority’s current instructions. The detailed example below covers Canadian employee claims for the 2025 tax year, with a separate U.S. example for business travel.
Start with your country, tax year, and work status
There is no universal list of deductible work expenses. Countries set their own rules, and employees and self-employed people may follow different ones. Even within one country, a deduction can depend on your job duties, your employer’s requirements, whether you were reimbursed, and how much you used something for work.
The Canada example in this article is specifically about employment expenses for the 2025 tax year. It is not a rule for Canadian self-employed people or for taxpayers in other countries. For a self-employed business, use the tax authority’s business-expense guidance instead of assuming employee rules apply.
Check whether a cost qualifies before claiming it
Use this checklist for each expense. If any required condition is missing, do not claim the cost until you confirm the applicable rule with your tax authority or a qualified tax professional.

- Eligible for your work status: Is this type of expense allowed for an employee, commission earner, or self-employed person under the rules for your country and tax year?
- Required or permitted: If you are an employee, did your employment terms or the relevant tax rule require or allow you to pay it?
- Personally paid: Did you bear the cost? A reimbursed expense generally cannot also be claimed as your own deduction. Special rules may apply to an allowance or an amount included in income.
- Work-related share: If the item served both work and personal purposes, can you support a reasonable calculation of its work use?
- Proper treatment: Does the cost qualify as a current expense, or must a larger purchase be deducted over time under a capital-cost rule?
- Evidence and filing route: Do you have receipts and other supporting records, and are you using the right form or schedule?
For employees, do not assume that commuting, personal travel, ordinary clothing, or a tool is deductible. For example, the Canada Revenue Agency (CRA) treats travel to and from work and most tools and clothing as personal expenses for employees. Other countries may have different rules, so check the authority that governs your return.
Canadian employees: claiming expenses for the 2025 tax year
General employment expenses
The CRA says most employees cannot claim employment expenses. A salaried employee generally needs to have been required by the employment contract to pay the expense and not have been reimbursed, unless an allowance is included in income. Which costs qualify depends on the job and the specific rules. Some property costs may have to be deducted over time through capital cost allowance rather than claimed in full when purchased. Consult the CRA’s employment-expense guidance for your circumstances before filing.
Commission earners and other employees may face different conditions or eligible categories. Do not treat a category that applies to one kind of employee as automatically available to another.

Home-office expenses
For the 2025 tax year, the CRA describes two ways an employee may meet the work-space-in-the-home eligibility test: you worked from home more than 50% of the time for at least four consecutive weeks, or you used the workspace only to earn employment income and regularly and continuously met clients or others there as part of your duties. The expense must relate directly to your work, and a fully reimbursed cost cannot be claimed. Your employer must complete Form T2200 for a claim that requires it.

This is not a blanket permission to deduct every household bill: the applicable category rules and your work use matter.
For shared home costs, the CRA expects a reasonable allocation. One example is the workspace floor area divided by the home’s total finished area. If the workspace is used personally as well as for work, account for that use too. Home-office deductions are limited to the relevant employment income; they cannot create or increase an employment loss.

Forms and filing
For current Canadian employee claims, the CRA directs taxpayers to Form T777 and line 22900 of the return. Keep the employer’s T2200; it is not filed with the return. The temporary flat-rate method applied only to 2020, 2021, and 2022, so it is not a current option for a 2025 claim. Check the CRA’s current-year instructions for the applicable form and detailed eligibility rules.

The Internal Revenue Service (IRS) describes deductible business travel as ordinary and necessary travel away from your tax home that requires sleep or rest. Personal travel and lavish or extravagant meals and lodging do not qualify. A temporary assignment may qualify; an indefinite assignment does not. An assignment expected to last more than one year is treated as indefinite under the IRS guidance.

The IRS also says most employees cannot deduct unreimbursed travel expenses, while self-employed taxpayers may claim qualifying business travel on Schedule C or F. These are U.S. federal rules, not Canadian rules or a general rule for other countries. Check the current IRS guidance and any state requirements that apply to you.

Keep records that support both the amount and the work purpose
Save records that let you show what you paid, when you paid it, why it related to work, and how you calculated any work-use share. A useful file may include:
- Receipts, invoices, and proof of payment, with the date and a description of the expense.
- A calculation showing how you divided mixed personal and work use, such as the floor-area calculation for a home workspace.
- Employer forms or declarations required for the claim, including a completed T2200 when applicable to a Canadian employee claim.
- For travel, the records required by the rules in your jurisdiction to support the business purpose, dates, destination, and costs.
For Canadian home-office claims, the CRA says to retain the T2200, receipts, supporting documents, and records for six years. Keep the records even if you do not submit them with the return; the CRA may review whether you qualified and how you calculated the claim.
Use the official instructions for the return you are filing
Before submitting, confirm the tax year and work-status rules on the relevant country’s tax authority website. For the Canadian 2025 employee example, use the CRA’s employment-expense and home-office guidance; for U.S. travel, use the IRS business-travel guidance. If your country, work arrangement, reimbursement, or expense does not fit these examples, do not extrapolate from them—check the rules for your own return.
