Choose the assistant that fits where your work already happens: start with Microsoft Copilot if you rely on Microsoft 365, Google Gemini if you work in Google apps, or ChatGPT if you want a broad standalone assistant for tasks such as writing, research, coding, and file analysis. You do not need a paid plan just to begin comparing them: try each free offering on the same recurring tasks, then pay only if a specific feature or bundle is worth its ongoing cost.
Which assistant is the best fit for you?
There is no supported universal winner. The providers’ official materials describe features, integrations, plans, and limits, but do not establish a like-for-like independent test showing that one assistant consistently produces better answers. For a practical choice, start with your workflow and budget rather than a broad claim about which AI is “smartest.”
- Microsoft Copilot: a natural first choice if your work is in Microsoft 365 and you want AI assistance in Microsoft apps. Access to organizational data depends on the type of Copilot, the relevant license, and workplace configuration.
- Google Gemini: consider it if you work in Google apps or value Google services included with a paid plan. Google describes Gemini features for Gmail, Docs, and other apps, as well as research, notebook, image, video, and coding-related capabilities; what is available varies by plan and region.
- ChatGPT: consider it if you want a standalone assistant with tools for writing, studying, planning, math, coding, research, voice, and working with images and files. Features and access vary by plan.
These are workflow-based starting points, not guarantees that a service will suit every task. The best fit is the one that handles your recurring work reliably at a cost and access level you are comfortable with.
What does “Microsoft Copilot” mean?
Copilot is not a single interchangeable entitlement. Microsoft’s official documentation distinguishes free consumer Copilot, Copilot Chat for work, and licensed Copilot capabilities that can work with organizational data. Check which version you are evaluating before comparing it with ChatGPT or Gemini.

Microsoft describes a free Copilot experience for individuals. Its features and limits should be checked against the current offer in your region.
Copilot Chat for work
Microsoft distinguishes work Copilot Chat, which is grounded in the web, from licensed capabilities that can reason over organizational information. Being able to sign in with a work account does not, by itself, mean the assistant can access company data.

Licensed Microsoft Copilot
Work-data access and other Microsoft 365 capabilities depend on the organization’s license and configuration. Individual Microsoft 365 entitlements also depend on the plan and subscription ownership. Do not assume that every Microsoft 365 plan includes the same Copilot features, or that each member using a family-shared subscription receives the same AI benefits.
Compare the parts that affect your decision
Where your work and files live
If most of your work is in Microsoft 365 or Google apps, in-app assistance may be more useful than a standalone chat window. Check exactly which apps and data the plan covers: Microsoft separates web-grounded work chat from licensed access to organizational data, while Google describes Gemini integration with Gmail, Docs, and related apps. ChatGPT offers file uploads and analysis, but that is a different workflow from an assistant embedded in your office apps.

What you will use it for
Write down a few tasks you repeat, such as drafting emails, summarizing a document, researching a topic, debugging code, or analyzing a spreadsheet. Then confirm that the specific plan includes the tools you need. A product name alone does not guarantee access to every feature: capabilities can vary by tier, account, region, and usage limit.
What the subscription really costs you
Compare the checkout price in your country with the value of any included services. A bundle may be worthwhile if it replaces storage or another service you already pay for; do not count a bundled benefit as savings if you would not otherwise buy it. The figures below are a dated snapshot, not a promise of today’s checkout price or a globally comparable list.

These amounts are not an apples-to-apples comparison of identical features. Microsoft’s Copilot access may depend on an underlying Microsoft 365 plan or a separate work license, and the cited material does not support assigning one price to all Copilot versions. Check the current terms and checkout total before subscribing.
Limits and availability
Paid access is not necessarily unlimited or identical across plans. Microsoft says limits vary by plan and feature; OpenAI says limits can vary with plan and conditions; Google says usage limits depend on prompt complexity, features, and chat length. Google also notes regional and language conditions, including that Gemini in Gmail, Docs, and more is available in select languages. Microsoft likewise notes regional variation. Confirm that the exact feature you want is available for your account and location.

Account and data context
Before using work files or sensitive material, identify whether you are signed in with a personal or work-managed account. For workplace use, check the organization’s license, administrator settings, and applicable data terms. The product descriptions alone are not a substitute for reviewing the settings and policies that apply to your account.

Use the free access each provider describes as a low-commitment way to find out whether a tool fits your needs. Keep the comparison consistent so that a difference in prompts or source material does not decide the outcome for you.

- Choose three or four recurring tasks. Include the tasks that matter most to your work or studies, rather than one-off novelty prompts.
- Use the same prompt and materials where practical. If you are comparing file analysis, use the same non-sensitive file in each service and check that the relevant plan allows it.
- Verify factual answers. Check important claims against reliable sources; do not treat a confident answer as proof of accuracy.
- Note friction as well as output. Record whether the assistant fits your apps, handles the task clearly, and reaches a usage limit that interrupts your work.
- Review account and privacy settings. Do this before entering sensitive personal or organizational information, and follow any workplace rules.
- Price the actual option you would buy. Check your region’s checkout, plan terms, included services, and limits. Upgrade only if the paid feature or bundle solves a recurring problem worth the ongoing cost.
