Choose an insurance virtual assistant by testing the person or service against one clearly defined agency workflow—not by comparing hourly rates or accepting broad promises. Check insurance and systems experience, licensing boundaries, security, supervision, continuity, contract and E&O terms, and total operating cost. Keep advice, recommendations, binding, and other work requiring a license with appropriately licensed staff, and confirm the rules for your jurisdictions.
Start with the work you need done
Before speaking with providers, write down one recurring, bounded workflow—such as renewal preparation or routine information gathering. Define what starts the work, what steps the assistant should take, which systems are involved, what counts as an exception, who approves the result, and when the assistant must stop and escalate. A provider-authored guide recommends bringing a real recurring workflow to discovery and comparing providers against the same task: provider workflow guidance.

This makes the comparison concrete. Instead of asking whether a candidate “knows insurance,” ask how they would handle the specific task, record progress, identify missing information, and route an exception. Use sanitized examples or otherwise protect client information during evaluation.
Compare candidates against the same criteria
Use the same workflow and evidence requests for each finalist. The sources support these comparison dimensions, but do not establish neutral market weights or validated score thresholds; set priorities based on your agency’s needs.

| What to assess | Questions to ask |
|---|---|
| Insurance experience | Which lines of business and tasks have they handled? Ask about renewals, endorsements, certificates, carrier portals, billing requests, and similar agencies. Request examples and references. |
| Systems fit | Which agency management systems (AMS) and carrier portals have they used? How will work be recorded, permissions managed, and exceptions surfaced? |
| Task boundaries | Which steps can the assistant complete independently, which require licensed review, and what must be escalated immediately? |
| Security and access | What controls apply to workstations, connections, multifactor authentication, monitoring, AMS and carrier accounts, and access removal? |
| Training and supervision | What initial and ongoing training is provided? Who checks work, how often, and how are errors corrected? |
| Communication and coverage | What hours, time-zone coverage, response expectations, meeting participation, and backup coverage are included? |
| Quality and continuity | What work records, reporting, handoffs, and continuity arrangements exist if the assigned worker is unavailable or leaves? |
| Contract and risk terms | What do the contract, data-handling terms, confidentiality provisions, and assistant’s E&O insurance evidence say? |
| Total cost | What are the full costs of onboarding, technology, security, supervision, quality checks, rework, and licensed staff correction time—not just the quoted rate? |
Provider claims are starting points for verification, not independent proof of performance. For example, advertised experience, onboarding durations, security certifications, audits, or saved hours should be checked against evidence covering the actual entity, workforce, service, and systems proposed. No independently verified, comparable market-wide price or performance table is established in the sources. Ask for written quotes using the same workflow, volume, and scope.
Set licensing and client-communication boundaries
“Administrative” is not a universal legal category. A provider-authored guide identifies coverage advice, policy recommendations, binding, and negotiating terms as examples of work for licensed staff, and notes that exact boundaries vary by state: licensing and delegation guidance. Do not use that list as a substitute for jurisdiction-specific review. Have the agency’s responsible licensed staff and compliance process approve each task, and consult appropriate state guidance. The NAIC’s 2019 consumer guidance concerns checking an insurance agent and insurer’s licensing; it is not a determination of what a virtual assistant may do: NAIC guidance on choosing an insurance agent.

- How it Fits: On-ear compact design may feel snug initially—adjust properly and wear 30-60 minutes daily for the first week. Optimal comfort achieved after 1-2 weeks as ear cups conform to your ears. Take 10-minute breaks during extended use.
- Wired computer headset with foldable design; ideal for calls, meetings, online learning, and more. Compact headset measures 6.1" W x 7.2" H with 2.8" ear cups and 4.4" boom mic. Ideal fit for small to medium head sizes
- Flexible, adjustable boom mic can be positioned at any angle; unidirectional mic reduces the background noise to ensure crisp, bright conversations (Provided that your conversation is under the correct direction of the microphone)
- 32mm speaker drivers offer an immersive listening experience with clear sound quality
- One-touch mute/unmute with intuitive in-line control box; Using microphone, slide the button upward to unmute and enabled audio settings in your device. For USB connection, ensure the 3.5mm jack (4-pin) is fully inserted into the USB adapter. For direct 3.5mm connection, first remove the USB adapter from your device
For client-facing work, provide approved scripts and a clear stop-and-escalate rule for coverage interpretations, recommendations, changes outside approved procedures, and uncertainty. Specify who receives the escalation and how quickly. Confirm the assistant’s communication hours, response expectations, meeting role, and backup contact so clients do not mistake an administrative handoff for licensed advice.

Verify security for agency systems and client data
Insurance agencies handle personal, policy, and financial information, so ask for evidence rather than a general assurance that a service is secure. Review controls for the devices and connections used, multifactor authentication, encryption, monitoring, documented access policies, and prompt access removal when a worker leaves or changes roles. Include AMS and carrier portal accounts in the review, not just endpoint devices. A provider-authored security guide describes these questions: virtual-assistant security guidance.

If a provider cites SOC 2 Type 2 or a similar report, review the report itself: its scope, period, exceptions, and applicability to the actual service. A claim that an organization has a certification or control does not by itself show that the proposed team, systems, and work are covered.
The Independent Insurance Agents of Texas (IIAT) offers an agency cybersecurity-policy resource and recommends standalone cyber coverage, saying it may have broader wording and higher limits than cyber coverage sometimes included in E&O. That is an association recommendation, not a universal coverage rule; assess the agency’s needs and policy terms: IIAT cyber-liability resource.

Protect the agency from errors and contract gaps
Delegating work does not eliminate the agency’s need to supervise it. Utica Mutual’s 2022 risk-management paper describes an E&O claim involving a virtual assistant who prepared a certificate of insurance that incorrectly stated the policy included Products Completed Operations coverage. The underlying carrier denied the related claim, and the agency’s E&O and underlying claims were resolved for $165,000. That is one case, not a typical or predictive loss amount; outcomes depend on the facts and policy terms. Utica’s lesson is direct: “When using a virtual assistant, be aware that their errors may result in an E&O claim against your agency.” Utica Mutual, Virtual Assistants: E&O Concerns (2022).
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteBefore work begins, use the agency’s normal risk-review process. Utica recommends checking references and work, having counsel review the contract, asking for proof of the assistant’s E&O coverage, and informing the agency’s E&O carrier about the vendor and delegated services. Review the actual contract and policy terms rather than assuming either party’s coverage will respond to a particular error.

Run a supervised pilot before expanding scope
- Choose and document one workflow. Record its trigger, steps, systems, exceptions, expected result, and points requiring licensed review.
- Give each finalist the same example. Use sanitized or appropriately protected information. Ask each candidate to explain where the assistant acts, records work, pauses, and escalates.
- Request evidence. Ask for a training outline, sample work product, security policies and relevant control evidence, access-removal process, references, service schedule, continuity plan, contract, and E&O insurance evidence.
- Review the proposed arrangement. Have agency counsel and the E&O carrier review the actual work, contract, and coverage questions. Confirm approved tasks with responsible licensed staff.
- Limit access and supervise the pilot. Give the assistant only the permissions needed for the workflow, and retain agency oversight while work is checked.
- Track the result. Measure accuracy, turnaround, missed handoffs, escalation quality, rework, and the licensed employee’s review time. These are practical pilot measures, not published industry standards.
- Decide and document. Compare pilot results and full operating cost. Record approved and prohibited tasks, escalation rules, access needs, quality checks, and offboarding responsibilities before expanding work.
Calculate the full operating cost
A quoted hourly or monthly fee is only one component. Include onboarding and training, technology, security review, supervision, quality checking, rework, backup coverage, and time licensed employees spend reviewing or correcting work. Obtain written quotes for the same workload and service scope so the comparison reflects the workflow you may actually delegate.
There is no independently verified market-wide figure in the cited sources for typical VA pricing, productivity, error rates, or agency savings. Treat provider numerical claims as claims to substantiate, not expected outcomes for your agency.
