Choose a specialty coatings supplier by starting with the exact substrate, end use, production process, performance targets, and destination market—not by comparing broad product claims. Then qualify the proposed grade with current technical and safety documents, relevant test results, application support, quality and change-control practices, and a trial under the conditions where it will actually be used. A coating proven on one material or production line is not automatically suitable for another.
What should you define before comparing suppliers?
Write a short application specification first. This gives each candidate the same problem to solve and makes it harder for a general-purpose product description to stand in for evidence of fit.
- Substrate: identify the specific material or construction, including relevant layers, inks, finishes, or surface treatments.
- End use and environment: describe what the coated item must do and the conditions it will encounter, such as moisture, chemicals, heat, friction, handling, or wear.
- Production process: record the application method, equipment, cure or drying conditions, line speed, and production scale.
- Required performance: turn words such as “durable” or “slippery” into properties that can be tested and acceptance limits that can be agreed in advance.
- Market and restrictions: name the destination jurisdiction and any food-contact, emissions, restricted-substance, or other use-specific requirements.
Ask the supplier to identify the exact grade it recommends and confirm in writing the assumptions behind that recommendation.
How do you compare suppliers fairly?
Use the same scorecard for each candidate. A supplier should be judged on evidence that applies to your application, not on the breadth of its catalog or general claims about performance.

Supplier materials describe capabilities, not independent proof that a particular grade will work for your application. For example, Sherwin-Williams describes its Safety by Design process as screening packaging materials for regulatory and environmental compliance while maintaining package and application performance. Treat that as a description of the supplier’s process; request the documents and test evidence relevant to your product and market.
How should you qualify a proposed coating?
- Agree on the application and grade. Give shortlisted suppliers the same substrate, end use, process, performance targets, and market requirements. Obtain the proposed grade and its fit assumptions in writing.
- Review the current documents. Request the product-specific technical data sheet (TDS), safety data sheet (SDS), applicable compliance declarations, application guidance, and revision dates. Confirm specified storage conditions and shelf life.
- Set the test plan before the trial. Agree which test methods apply, what material or construction will be tested, the production conditions to reproduce, and measurable pass criteria. Ask whether the supplier can test your actual substrate or package construction.
- Run a representative trial. Use the intended material, application method, equipment, and process conditions as closely as practical. Record the conditions and results so that they can be compared with the agreed criteria.
- Document approval and ongoing controls. Record the qualified grade, process window, test results, required lot documents, traceability expectations, and how changes or nonconformances will be handled.
A data sheet is a starting point, not proof of performance on your line. The qualification decision should rest on the agreed evidence for the intended construction and conditions.

Packaging: qualify the whole structure and line
Packaging performance can depend on the complete construction rather than the coating alone. For the actual substrate, ink system, and line conditions, test the properties that matter to the package—such as seal strength, release force, coefficient of friction, or barrier performance—and agree on acceptance limits before the trial. Request grade-specific TDS and SDS documents, the application method, coat-weight window, drying or cure schedule, storage requirements, and shelf life.
Confirm regulatory documentation for the exact intended use and destination market. PPG describes regulatory support for packaging coatings, including areas such as food contact, RoHS, and VOC emissions; those examples do not establish compliance for every grade or application. Arctic Materials states that its packaging coatings are not offered for direct food contact, illustrating why packaging relevance alone does not establish food-contact suitability.

Industrial: translate service conditions into tests
Specify which performance properties matter instead of relying on a general requirement for “durability.” Depending on the job, that may mean adhesion, chemical or moisture resistance, thermal or mechanical limits, abrasion and wear behavior, or friction behavior. Select methods that reflect the intended use, then agree on trial conditions and acceptance criteria.
ELANTAS describes technical support, application trials, and customer-specific testing for properties including adhesion, thermal resistance, mechanical strength, and chemical durability. Ask for evidence tied to your substrate and service conditions, not simply a list of properties the supplier can test.

Leather: require a trial on the actual leather and finish
Leather-specific recommendations need to account for the leather type, existing finish, application and finishing process, and desired appearance and hand. Ask the supplier to identify the exact material and process covered by its recommendation and to provide trial evidence for the durability properties and chemical restrictions relevant to your use.

Which quality and continuity controls belong in qualification?
Approval is not only about the first successful trial. Agree how the supplier will identify and document routine lots and manage problems or changes after the grade enters production.
- Define the lot information and certificate-of-analysis (COA) parameters you need, along with incoming checks or special testing.
- Agree how shelf life, storage, and traceability will be recorded and checked.
- Specify how the supplier will notify you of material, process, or site changes that could affect the qualified application.
- Set procedures for nonconformance reporting, escalation, and corrective action.
- Discuss supply continuity, regional availability, capacity, and the supplier’s response to shortages or other disruptions.
PPG’s Global Supplier Quality Manual – PPG Industrial Segment, Version 2 revised September 2024, covers supplier qualification, incoming quality, special testing, change management, and risk management. Its notice says printed copies are uncontrolled; confirm the current controlled issue before adopting any of its specific requirements.
What should you ask a coating supplier?
- Which exact grade do you recommend for this substrate and use, and what assumptions does that recommendation make?
- Which tests and methods demonstrate the required properties, and can you test our actual substrate or package construction?
- Which TDS, SDS, compliance declarations, and revisions apply to our destination market and intended use?
- What application method, process window, cure or drying conditions, storage conditions, and shelf life are specified?
- What lot documentation, COA parameters, traceability, change-notification, and nonconformance procedures will apply?
- What trial plan and measurable acceptance criteria will determine qualification?
- How will you support continuity, regional supply, and communication about material changes or shortages?
Use the answers to compare candidates against the same specification. Choose the supplier whose proposed grade, application evidence, documentation, controls, and trial results match the job—not the supplier with the broadest unqualified claim.
