Send every shortlisted printer the same job brief, then compare itemized quotes against the same specifications and the date you need the finished materials in hand. Ask each shop to define its turnaround clock, explain its proof and correction process, confirm file-review support, and identify which production steps it handles itself. Those specific answers matter more than a general promise of speed or quality.
Start with one consistent job brief
Before requesting estimates, settle what you can about the job. A business card quote is not comparable to a flyer quote, and estimates for different quantities, paper stocks, finishes, or delivery assumptions should not be treated as equivalent. Setup costs can also change the per-piece cost as quantity changes.

- Item and quantity: Identify the piece, such as business cards, brochures, flyers, postcards, stationery, or signage, and specify the number needed.
- Materials and finish: State the stock, coating, folding, binding, or other finish you want. If you are undecided, say so and ask what options are available.
- Deadline and destination: Give the date the order must be in hand and the delivery location.
- Artwork status: Describe whether your files are ready and ask what file format and specifications apply to that exact product.
Request an itemized estimate that separates setup, printing, finishing, shipping, and any special-proof or rush charges. That makes it easier to see what is driving the price and compare like with like.

Compare the full schedule, not a headline turnaround
Ask, “How fast can you really turn a job without sacrificing quality?” Then pin down what the shop means by its answer. Providers may count turnaround from different events and may end the count at different points. A production estimate that ends at shipment does not establish when the order will arrive.
- When does the turnaround clock start: file receipt, approval of a proof, or another point?
- When does it stop: completion of production, shipment, or delivery?
- Is transit time included, and what delivery method or destination is assumed?
- How much time should you allow for proof review and any corrections?
- Can the shop meet your required in-hand date, and what could put that date at risk?
Compare the answers rather than the day counts alone. Check the proof and correction terms
A proof gives you a chance to catch layout and content problems before production. Ask whether one is included, whether it is a PDF or a physical proof, and what changes or corrections are covered. Establish who is responsible if an error is present in artwork you supplied, and what happens if the finished order does not match the approved proof.
Review the proof deliberately before approving it. Check names, contact details, URLs, dates, spelling, image placement, alignment, and the way the design will be trimmed or folded. Approval is a production milestone, so find out whether the schedule begins only after you approve it.

Ask what file checks and artwork support are included
Ask, “What file formats should we send?” The answer depends on the item and its finishing requirements, so get product-specific instructions from the shop rather than relying on a generic file checklist. Find out whether staff preflight files and whether they will flag problems before printing.

Clarify whether file review means the shop will identify technical issues or also make design corrections. Do not assume that sending a file means the printer has checked every detail.
Match production capability to the job
Ask which products and finishing operations the shop produces in-house and which it sends to another provider. In-house production may simplify coordination, but subcontracting does not by itself make a shop unsuitable. What matters is whether the provider can manage the specific job, its schedule, and any repeat orders you expect.

If multiple stages are involved, ask who coordinates them and who will update you if a handoff affects timing. For launch materials that may need replenishment, also ask whether the shop can retain the specifications or otherwise make a repeat order consistent.
Use samples or a physical proof when the material matters
If you have not used the stock before, if a coating will change the look or feel, or if your brand color has a narrow tolerance, ask about paper samples or a hard-copy proof. A screen preview cannot tell you how a particular paper feels, and a digital proof may not answer every question about a finished piece. Confirm what the shop can provide and whether it adds cost or time.
Compare finalists against the same criteria
Once you have the quotes, compare the shops on the parts of the service that affect your particular order:
- Schedule: Clock start and stop, proof time, transit, and confidence in meeting the in-hand date.
- Total price: Cost at identical specifications and quantities, including setup, finishing, shipping, and rush work.
- Quality control: Proof options, explanation of color handling, and clear correction or reprint terms.
- Production fit: Relevant product and finishing capability, in-house and subcontracted stages, and support for repeat orders.
- Material fit: Stock choices and access to samples or a physical proof when needed.
No single factor identifies the right shop for every startup. A lower quote may not serve a deadline if transit is excluded; a fast estimate may leave too little time for review. Choose the provider whose written answers fit your product, budget, and actual delivery date.
