Choose the platform that improves a specific sales or marketing workflow and passes a live test with your current PSA—not the one with the longest feature list. An MSP can use CRM capabilities inside its PSA, connect a general-purpose CRM, or add an MSP-focused sales and marketing layer. Compare each option on data flow, pipeline fit, automation, quoting and handoff, adoption, and total cost; a vendor’s claim of “integration” is not proof that the records and events you need will sync correctly.
Start with the workflow you need to improve
Before comparing products, identify where the current process breaks down. Common targets include capturing and following up with leads, keeping opportunity data current, automating segmented campaigns, preparing quotes, or transferring sales discovery to onboarding and service teams. Choose one or two priority workflows and define what a successful result looks like—for example, a won opportunity reaching the service team with its discovery notes intact and no duplicate entry.
This matters because a CRM and marketing platform should support the MSP’s actual sales process and fit its technical stack. A 2019 Liongard sales guide put the emphasis on both PSA integration and consistent use: “But it doesn’t matter so much which one you choose. So long as your CRM integrates to your PSA, and you create and stick to a system for using it, you’re in good shape.” That is vendor-authored guidance, not an independent standard, but it highlights two practical tests: data must move where it is needed, and staff must maintain it.
Choose the platform approach that fits
There are three broad approaches. The right one depends on whether the MSP values fewer systems, needs a dedicated sales and marketing toolset, or wants workflows tailored to technology service providers.

The categories and examples above reflect descriptions in a buyer’s guide and providers’ own materials, not an independent comparison or endorsement. Capabilities, integrations, and availability can change; verify the current product and exact PSA combination directly.
Evaluate candidates on the workflows that matter
PSA fit and data flow
Ask for a demonstration with your specific PSA, not simply a general integration overview. Identify the company, contact, opportunity, service, and account fields that move; the direction and frequency of sync; how errors are reported and corrected; how duplicates are handled; and who supports the connection. Confirm whether the integration is native, supplied by a third party, or dependent on a paid service. Documentation from MSPintegrations describes a platform connecting inbound and scheduled events to PSA systems including Autotask, ConnectWise, and HaloPSA. That shows that integration products exist, but it does not verify a particular CRM connector or its field-level behavior.

Sales pipeline and follow-up
Check whether staff can capture lead source, segment contacts, move opportunities through your real stages, assign follow-up tasks, retain opportunity history, and produce useful pipeline reports. If forecasting matters, ask how it is calculated and what data it uses. A polished dashboard is only useful if staff can maintain the underlying records consistently.
Marketing automation and content
Map the campaigns you expect to run. Ask whether the platform supports the triggers, segments, email workflows, consent and preference handling, and analytics you need, and decide who will create and maintain campaign content. Automation does not replace the work of developing relevant messages or keeping lists accurate.

MSP Marketing CRM describes a service combining CRM and marketing automation with prewritten MSP campaign blueprints on Keap. Treat this as a provider’s description of an option to investigate, not independent evidence of campaign effectiveness or fit.
Quotes, account reviews, and service handoff
Test the full path from opportunity to quote or proposal and from a win to onboarding. Check whether the system supports recurring-service details and any QBR or account-review process you use. Confirm that sales discovery notes and assessment results remain available to the team taking over delivery. A 2019 Liongard sales guide recommends documenting assessment results at handoff; your demonstration should show exactly where that information lives and who can access it.

Adoption and administration
Consider who will own configuration, data cleanup, permissions, automation, and reporting after launch. Sales and service staff need a process they can follow reliably; otherwise, records and reports will lose value. Include migration, training, ongoing administration, and the effort of maintaining connected systems in your evaluation, not just the initial setup.

Give every shortlisted provider the same scenario so that you can compare actual behavior rather than different feature presentations. Use your own PSA and representative sales stages where possible.

- Apply a segment and demonstrate how consent and preferences affect an automated follow-up.
- Turn an opportunity into a quote or proposal, then show what happens when it is won or lost.
- Show which company, contact, opportunity, service, and account fields sync with your exact PSA. Demonstrate sync errors, duplicate handling, and correction.
- Move a signed customer into onboarding and show how sales discovery data is retained for the service team.
- Produce a pipeline or campaign report and identify its source data and attribution assumptions.
- Request written terms covering export, migration assistance, seats, contact and automation limits, onboarding, integration charges, support, renewal, and cancellation.
A provider’s ability to complete this scenario is more informative than an “integration” label or a feature list. Record what worked, what required manual steps, and what depended on extra services.
Compare total cost and contract terms
No reliable, comparable current pricing or contract details are established by the available sources. Request a current written quote from each provider rather than relying on an old price or a headline figure. Compare the full cost of the configuration you would actually deploy, including seats, contact and automation limits, onboarding, migration, integration fees, service costs, and ongoing administration. Read renewal and cancellation terms, and ask how to export your data if you leave.
Interpret product examples cautiously
The MSPCost buyer’s guide distinguishes sales CRM tools from operational PSA platforms and uses HubSpot as an inbound marketing and lead-generation example. It also lists HaloPSA as a PSA with integrated CRM and Autotask as a PSA example. The same guide describes Zomentum as a revenue platform for sales, quoting, and QBRs, and GlassHive as sales and marketing automation for IT providers. These are examples in one buyer’s guide, not proof that any one product is superior or that its current capabilities fit your needs.
Descriptions of MSP-focused products and services should be checked in the same way. Ask which functions are included, which depend on templates or services, and how they work with your stack. Do not infer present-day integration support, regional availability, or commercial terms from a guide or marketing page without confirming them directly.
