Confirm that your company qualifies, decide whether the company or an individual should be responsible for the balance, and check whether the repayment schedule fits cash flow. Then compare employee controls, expense and accounting workflows, fees, and the value of rewards on your actual eligible spending. If you have few cardholders and mainly need a straightforward card or revolving credit, compare business credit cards as well.
Start with the company’s needs and eligibility
Corporate card programs are generally designed for established, larger businesses with employee spending to manage. They can be useful when a finance team needs centrally billed accounts, cards for multiple employees, company-level visibility, and shared expense processes. The label “corporate card,” however, does not guarantee a standard eligibility rule, liability arrangement, payment schedule, or rewards structure. Those details depend on the issuer and the agreement.

Map your spending before comparing offers
Write down how many people need cards, how often they spend, which types of purchases they make, and whether spending is concentrated in a few departments or spread across the company. Include recurring expenses and travel if those are material to your business. This gives you a practical test for whether a program’s card controls and reporting will solve a real problem rather than add another system to administer.

- Estimate monthly and annual card spending by department or major expense type using your own records.
- Identify where approvals, receipt collection, expense coding, or reconciliation currently create work.
- Note any cash-flow constraints, such as the need to carry a balance rather than repay the statement in full.
Confirm that the issuer will consider your business
Ask about the issuer’s company-level underwriting criteria before comparing reward rates in detail. Some programs assess the company’s financial profile, payment history, and business needs, and may also set revenue, spending, or cardholder requirements. For example, American Express says U.S. middle-market businesses with approximately $4 million or more in annual revenue may be a fit for its Corporate Cashback Card with integrated expense management. That is an issuer-specific indication, not a universal corporate-card threshold or a guarantee of approval. The issuer says approval depends on its assessment of the company’s financial profile, payment history, and business needs.

Ask what information the application requires, which entity will apply, and whether the proposed number of employees or spending pattern meets the program’s requirements. Do not assume that another issuer uses the same standards. If your company is not eligible, a business credit card may be more appropriate.
Decide who is liable for the balance
Liability is a central difference to investigate—not a detail to infer from the product name. Corporate programs often put charges on the company, while business cards may require an owner or another individual to provide a personal guarantee or accept individual liability. Some corporate programs can use alternate or combined liability arrangements. The agreement also determines whether and when an employee can be responsible for misuse, unauthorized charges, or other card activity.
Read the agreement for the liability arrangement
Ask the issuer to identify the responsible party for ordinary card charges and explain any exceptions. Verify the answer in the application documents and final agreement, including language about guarantees, employee responsibility, disputed transactions, and unauthorized use. If the card program is centrally billed, establish which company account receives the bill and who is expected to pay it.
Do not treat a sales description such as “corporate liability” as a substitute for reviewing the contract. Liability can affect the company’s obligations, individual exposure, and how your finance team handles a disputed charge. If the wording is unclear, get an explanation from the issuer or qualified legal and financial advisers before signing.
Check repayment terms against cash flow
Corporate cards in most instances require the balance to be repaid in full each month, according to J.P. Morgan’s comparison of corporate and business cards. Business cards more often allow balances to revolve. These are typical distinctions, not universal rules: confirm the exact payment options, billing cadence, due date, and consequences of late or missed payment in the agreement for the program you are considering.

Test the schedule against a difficult month
Compare the statement cycle and payment due date with the timing of your business’s incoming cash. Consider a month when major employee expenses arrive before customer payments or another expected inflow. If the card requires full monthly repayment, make sure the company can meet that obligation without relying on a revolving balance that the product does not permit.
Do not evaluate rewards separately from repayment. A reward may have little practical value if the payment schedule creates a cash-flow problem, or if the company would need to change how it finances expenses. For a business that needs revolving-credit flexibility, determine whether a business card better fits the requirement instead of assuming a corporate program can provide it.
Compare corporate cards with business credit cards
A corporate card is not automatically the better choice for every company. J.P. Morgan describes corporate cards as more commonly used by midsize and larger organizations with distributed employee spending, company controls, and corporate liability. Business cards more often serve smaller businesses and can offer flexible repayment terms, while an owner or another individual may be responsible. These are general patterns; individual product agreements can differ.
| Decision factor | Corporate card programs, typically | Business credit cards, typically |
|---|---|---|
| Common fit | Midsize and larger organizations with multiple employees making business purchases | Smaller businesses seeking a straightforward card or flexible credit |
| Liability | Often company-level, but arrangements and exceptions depend on the agreement | May involve a personal guarantee or individual responsibility; verify the agreement |
| Repayment | In most instances, monthly repayment in full, according to J.P. Morgan; check the specific terms | More often permits revolving balances, subject to the product’s terms |
| Employee spend management | Can be built around multiple cardholders, company controls, and centralized reporting | May be sufficient when the business has fewer cardholders or simpler oversight needs |
| Switching threshold | No universal spending threshold for moving to a corporate program is established | No universal spending threshold for choosing a business card is established |
A corporate program may suit a company with multiple cardholders, substantial or recurring employee spending, a need for centralized controls and visibility, or a preference for company-level liability. A business card may be a better fit when the business has limited employee spend, needs a simpler arrangement, or values revolving-credit flexibility. Decide based on your operating needs and the contract—not company size alone or an assumed spending cutoff.
Assess employee controls and approval workflows
Controls matter when employees need cards for legitimate purchases but the company must manage limits and policy compliance. Ask whether the program supports the specific rules your finance team needs, and how those rules work in practice. Feature descriptions do not establish that every company will save time or reduce errors by a particular amount.

Match controls to your spending policy
Compare whether administrators can set individual card limits, restrict merchant categories, establish approval paths, and see transactions as they occur. Find out who can create or change a limit, whether approvals happen before a purchase, and how exceptions are recorded. If the card supports employee cards, confirm how issuance and cancellation work when someone joins, changes roles, or leaves the company.

American Express describes configurable spending limits, merchant-category restrictions, approval workflows, and real-time spend insights for its current U.S. corporate program. These are product descriptions, not proof that the same functions or results are available under every account or that they will fit your workflow. Confirm features and limitations with the issuer.
Check whether expense and accounting workflows will work
A corporate card can support bookkeeping workflows through transaction visibility, receipt capture, expense reporting, and accounting or ERP integrations. Whether that saves time depends on the company’s setup and the quality of the actual connection and process. Do not assume that automation will eliminate receipt chasing, coding, review, or reconciliation.
Trace one expense from purchase to books
Ask the provider to show what happens to a transaction from the employee’s purchase through review and accounting export. Check whether an employee can submit a receipt, whether the finance team can match it to the charge, where expense categories or approval status appear, and how data reaches your accounting or ERP system. Establish what still requires manual work and whether the integration supports the company’s existing software and chart of accounts.
For a fair evaluation, test the workflow with representative cases: a routine purchase, an expense that needs approval, a missing receipt, and a transaction that must be disputed or corrected. Confirm who resolves each case and how the final record is accessed. A provider’s feature list is not a measurement of bookkeeping time saved for your team.

Ask about data access and retention
Clarify who can download transaction and expense data, what report formats are available, and how long records remain accessible. Ask whether administrators can review transactions across employees while cardholders see only their own activity. These details affect month-end work, audit preparation, and the ability to retrieve records after an employee leaves.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Calculate the value of rewards and rebates
Compare rewards using the company’s actual eligible spending, the program’s caps, and total costs. A headline percentage alone does not show the value the business will receive. Check which transactions qualify, whether rewards expire or have redemption limits, who receives them, and whether the account’s billing arrangement affects redemption.
Use the product terms, not the headline rate
As of American Express’s U.S. Corporate Cashback terms accessed October 9, 2026, the company can earn 1.5% cash back on eligible purchases up to $10 million per calendar year across all of its Corporate Cashback Cards, then 1% thereafter. Cash back is issued as a monthly statement credit to the centrally billed company account. These are specific issuer terms, not an industry benchmark; verify the current terms and conditions before applying.
For illustration, if a company had $100,000 in eligible purchases during the calendar year and all of that spending qualified at the 1.5% rate, the cash back under those terms would be $1,500 before considering program costs or other account conditions. At the stated cap, $10 million in eligible spending would generate $150,000 at 1.5%; eligible spending beyond the cap would accrue at 1%. These arithmetic examples do not predict a company’s actual reward: eligibility, exclusions, account terms, and the company’s spending determine the result.
Compare that value with any program or card fees, foreign-currency costs where relevant, and the value of other benefits your company will actually use. The reviewed sources do not establish a comprehensive, comparable fee schedule across corporate programs, so request current fee and agreement details from each issuer rather than treating fees as uniform.

Check restrictions on combining products
American Express says newly approved Corporate Cashback customers with integrated expense management are currently not eligible for additional American Express Corporate products, including some cards that earn Membership Rewards. Eligibility can change. If your company is comparing programs partly to combine products or reward types, confirm the current restriction directly with the issuer before choosing.
Review fees, acceptance, travel terms, and support
Request the full current fee schedule and card agreement for each program. Compare annual or program fees, foreign-currency costs, and other charges that apply to your expected use. The sources available for this comparison do not provide a complete market-wide fee table, so there is no reliable universal price comparison to apply across providers.
For companies whose employees travel, check where the card is accepted, what travel protections or support services are included, and whether those benefits apply to the company’s likely purchases and trips. Verify applicable conditions in the card agreement; a benefit name alone does not establish coverage or eligibility. Also ask how the issuer handles servicing, lost cards, transaction disputes, and urgent employee issues, since these can affect day-to-day operations.

Use the same questions for every issuer so that an attractive rewards rate or polished software demonstration does not hide a mismatch in liability or repayment. Record the answer from the agreement or current issuer documentation, and note anything that remains unresolved.
| What to compare | Questions to answer |
|---|---|
| Eligibility and underwriting | Does the issuer consider this company, its financial profile, payment history, expected spend, and intended number of cardholders? |
| Liability | Which entity or individual is liable for ordinary charges, and what exceptions apply to employees, misuse, or disputed transactions? |
| Payment terms | Is payment due in full or can a balance revolve? What is the billing cadence and due date? |
| Card controls | Can the company set card-level limits, merchant restrictions, approval rules, and access changes that fit its policy? |
| Expense and accounting workflow | Can employees submit receipts and can finance match, review, report, and export data using the required systems? |
| Costs and agreement terms | What program, foreign-currency, or other fees apply? Are there conditions that change the expected cost? |
| Rewards and rebates | Which spending qualifies, what caps and redemption rules apply, and how does the value compare with costs? |
| Travel, acceptance, and support | Does acceptance meet employee needs, and are the relevant travel benefits and servicing arrangements documented? |
| Implementation | Who configures policies, loads users, trains employees, and handles approvals and exceptions? |
Weight the answers according to business priorities. A company that needs centralized employee controls may put more weight on limits and workflow fit; a company with tight cash flow may put repayment terms first. Do not assign value to a feature just because it is available—decide whether the company will use it and what it will replace or improve.
Set policy and plan implementation before issuing cards
A card program works best when employees know the permitted uses and finance knows how to administer exceptions. Issuer guidance recommends a corporate cardmember policy, and American Express describes onboarding help that can configure policies and approval workflows. Treat setup as an operational responsibility for the company as well as a provider service.
Write the rules employees and approvers need
- Define permitted business purchases and any prohibited or restricted uses.
- State receipt expectations, the process for missing receipts, and any submission deadlines the company chooses.
- Name approvers and explain how employees request approval for purchases that exceed normal limits.
- Document who reviews transactions, resolves exceptions, and contacts the issuer about disputes or unauthorized charges.
- Set a process to suspend or cancel cards and recover company property when an employee changes roles or leaves.
Roll out in a controlled sequence
- Confirm terms: finalize eligibility, liability, repayment, fees, rewards, and any restrictions in the issuer’s agreement.
- Configure the program: create employee cards, limits, category controls, approval routes, and administrator access to match the written policy.
- Connect the workflow: verify receipt capture, expense reporting, and accounting or ERP exports with representative transactions before broad use.
- Train cardholders and approvers: explain allowed use, receipt handling, approvals, and how to report a lost card or suspicious transaction.
- Review after launch: check whether card controls, reports, and policy exceptions are working as intended, and adjust the setup through the issuer’s documented process.
Make the final choice
Choose a corporate program when its company-level liability arrangement, centralized employee oversight, and expense workflows address needs your business actually has—and when its repayment terms and costs fit. Choose a business credit card for comparison when the company has simpler employee spending needs or requires revolving flexibility. There is no universal spending threshold at which every company should switch.
