How to Calculate Gross Income From a W-2

Add box 1 from each W-2 to total reported taxable employment wages. Box 1 is not necessarily gross pay before deductions or your gross income from all sources.

For U.S. W-2 employment wages, add the amount in box 1 of each Form W-2 for the year. If you have one W-2, its box 1 amount is your reported taxable wages from that employer. Do not subtract box 2 withholding. Box 1 is not necessarily your gross pay before payroll deductions or your total gross income from every source.

How to calculate W-2 employment wages

  1. Find box 1, labeled “Wages, tips, other compensation,” on each Form W-2. It reports taxable wages, tips, and other compensation the employer paid during the year, including bonuses and certain taxable noncash benefits. The IRS describes box 1 in its General Instructions for Forms W-2 and W-3.
  2. If you received W-2s from more than one employer, add the box 1 amounts together. The IRS says income and withholding from all Forms W-2 must be included on your return (Topic no. 401, Wages and salaries).

Example: If one W-2 has $42,000 in box 1 and another has $18,000, your W-2 employment wages reported in box 1 total $60,000. This total is not automatically your income from all sources.

Does box 1 show gross pay before taxes?

No. Box 1 reports taxable compensation for federal income tax purposes; it does not necessarily show all pay before payroll deductions. Certain salary-reduction contributions can be excluded from box 1, while taxable benefits and other reporting rules can affect the relationship between box 1 and gross pay.

If by “gross pay” you mean pay before payroll deductions, use the gross-pay figure on your pay statement. There is no universally reliable one-step formula for reconstructing that figure from a W-2 alone. If you need an accurate amount and cannot identify it on your statement, ask your employer or payroll department.

Why W-2 boxes 1, 3, and 5 can differ

These boxes report wages under different tax rules, so do not substitute one for another when calculating box 1 wages.

W-2 box What it reports Why the amount may differ
Box 1 Wages, tips, and other compensation taxable for federal income tax purposes. Certain elective deferrals may be excluded from this figure.
Box 3 Social Security wages. Some amounts excluded from box 1 may be reported here; Social Security wages are also subject to a wage base limit.
Box 5 Medicare wages and tips. It follows Medicare wage rules and has no Social Security wage base limit.

The applicable W-2 instructions can vary by tax year. Use the instructions for the year shown on your form; the IRS publishes them in its General Instructions for Forms W-2 and W-3.

Why box 1 is not your total gross income

Box 1 covers taxable compensation reported by that employer. Gross income is broader and may include wages and other income beyond W-2 employment. The IRS identifies salaries, commissions, fees, tips, fringe benefits, and stock options among compensation generally included in gross income (Topic no. 401, Wages and salaries). The exact figure depends on what income you received and the tax rules that apply.

Do not subtract tax withholding

Box 2 shows federal income tax withheld; it is not an amount to subtract from box 1 when totaling W-2 wages. The IRS treats federal income tax, Social Security, and Medicare amounts withheld from wages as received for gross-income purposes. Withholding affects how much tax you have already paid, not the box 1 wage total.

How to reconcile a pay statement with your W-2

If the amounts do not match, first check that you are comparing figures with the same meaning. A pay statement may show pay before deductions, while box 1 reports taxable federal wages. Also verify that you are comparing box 1—not Social Security wages in box 3 or Medicare wages in box 5—and that you have included all employers if calculating the annual W-2 total.
