The adjusted statement balance and adjusted register balance should agree. A spreadsheet makes the process easier to track, but a paper register or bank-provided worksheet can work too.
What it means to balance a bank account
Balancing a checking account means confirming that your record of deposits and payments matches the bank’s record—not simply looking at the current available balance. JPMorgan Chase describes the task as ensuring your account record matches the bank’s (Chase’s guide to balancing a checking account).
The two records can differ temporarily because they cover transactions at different times. A deposit you recorded may not yet appear on the statement, or a check may still be outstanding. Reconciliation accounts for those timing differences and helps identify omitted entries or possible errors.
Set up a simple spreadsheet template
You do not need a special program or paid template. A spreadsheet in software you already have can serve as both a transaction register and a reconciliation worksheet. The sources do not prescribe one consumer spreadsheet design; the fields below bring together the transaction records and reconciliation items described by the IRS and official worksheets.

Transaction log
- Date: When you made or received the transaction.
- Payee or description: For example, rent, groceries, paycheck, or bank fee.
- Reference or check number: Useful for checks and other traceable payments.
- Deposit or credit: Money added to the account.
- Payment or withdrawal: Money taken out.
- Running balance: Your balance after each entry.
- Cleared: Mark whether the transaction appears on the statement.
- Notes: Record questions or items to investigate.
Reconciliation summary
- Statement period and ending statement balance
- Deposits recorded by you but not yet shown by the bank
- Checks and other recorded payments not yet cleared
- Adjusted statement balance
- Register balance after adding legitimate statement-only items
- Difference between the adjusted balances
You can also use a worksheet printed on the back of a bank statement, if your bank provides one. The IRS explains how to match transactions, account for outstanding items, reconcile, and update your register in Publication 583. The Minnesota Campaign Finance and Public Disclosure Board’s bank reconciliation form illustrates a compact layout, though it was created for committee accounts. The Office of Justice Programs’ bank reconciliation guide gives a more detailed accounting example for grant financial management. These can illustrate the mechanics; adapt the fields to your personal account.
How to balance your account in a spreadsheet
- Start with a current register. Carry forward the prior period’s balance and record deposits, checks, debit-card purchases, electronic payments, fees, and interest. A paper booklet, spreadsheet, or app can all serve as your record; Chase recommends keeping it current enough to reduce missing entries.
- Choose a statement period. Enter the statement’s ending balance and compare every listed deposit and withdrawal with your log. Mark items that appear in both places as cleared. Leave unmatched items unmarked for now.
- List timing differences. Add deposits you recorded but the bank has not yet shown to the statement balance. Subtract checks and other payments you recorded but that have not cleared. These are timing differences, not necessarily errors.
- Update your register for statement-only transactions. Review fees, interest, electronic debits, and other items that appear on the statement but not in your log. Enter those that are legitimate. Investigate unfamiliar transactions rather than assuming they are correct.
- Compare the adjusted balances. The adjusted statement balance should equal your updated register balance. If they differ, recheck arithmetic, transaction amounts, and entries that may have been omitted. The IRS also advises checking prior reconciliation steps when the adjusted balances do not agree. Contact your bank if you suspect a bank error or an account issue.
How to account for checks that have not cleared
Keep each check in your register when you write it, even before it appears on a statement. At reconciliation, list checks that remain uncleared and subtract their total from the statement ending balance. Treat other recorded payments that have not posted in the same way. When one later appears on a statement, mark it cleared and remove it from the outstanding-items list for the next reconciliation.

Use the same logic for a deposit in transit: if you recorded it but it is not on the statement yet, add it to the statement balance. The adjusted statement balance is therefore the bank’s ending balance plus deposits in transit, minus outstanding checks and other recorded payments not yet cleared.
What to do when the numbers do not match
A nonzero difference means the reconciliation is unfinished. Work through the records before treating the difference as a bank error:

- Check that you used the statement’s ending balance and the correct statement period.
- Look for a deposit, fee, payment, or interest credit missing from your register.
- Compare transaction amounts and check numbers; a small transposition can affect the running balance.
- Confirm that every item marked cleared appears on the statement, and that timing differences are listed only once.
- Recheck the running-balance arithmetic and the addition or subtraction in your reconciliation summary.
If a transaction is unfamiliar or you still suspect a bank error, contact your financial institution. The appropriate procedures and time limits can depend on your location and account terms.
How often should you reconcile?
Reconcile monthly, when your statement arrives. The IRS states in Publication 583, “You should reconcile your checking account each month.” A regular monthly check makes it easier to spot missing entries and explain timing differences while the transactions are still familiar.

Spreadsheet, paper register, or app?
Choose the method you are most likely to keep current. A spreadsheet is useful if you want formulas and a clear summary; a paper register can suit handwritten tracking; an app may be convenient when you need to review or enter transactions on the go. Consider entry effort, access, data handling, cost, and whether automated formulas matter to you. The reconciliation process does not require a paid product.
