How to Apply for an Internal Position: A Step-by-Step Guide

Find your employer’s internal vacancy channel, verify its transfer rules, submit a tailored application and prepare for a real selection process.

To apply for an internal position, find the vacancy in your employer’s internal careers channel, check its transfer and notification rules, then submit a tailored application through the required system. Prepare for interviews as you would for an external job, and keep doing your current work while the decision is pending. Eligibility, manager-notification rules, application materials and transition timing vary by employer, so confirm them with your own HR team or recruiting policy.

1. Find the opening and understand the role

Start with your organization’s employee careers portal, intranet, HR system or internal job announcements. If you cannot find the right channel, ask HR or recruiting where employees should look. Primark, for example, directs employees to its internal careers page on Primark Zing; that is a company-specific route, not a general application portal. Primark Careers

Read the full posting before applying. Note the qualifications, responsibilities, location, reporting structure and deadline. If it would help you assess the work, speak with someone in a similar role or contact the receiving department appropriately. Indeed recommends researching the role and consulting colleagues, HR or the department manager. Indeed Canada

2. Check eligibility and manager-notification rules

Before signaling your interest or submitting an application, read your employee handbook or internal transfer policy. If the rules are unclear, ask HR or recruiting. Check whether you must meet a minimum time-in-role requirement, be in good standing, obtain approvals, notify your current manager at a particular stage, or agree on a release date if selected. Do not assume a rule from another organization applies to yours.

Employer policies can differ substantially. AdventHealth’s internal recruitment page says employees must tell their current manager before formally applying and interviewing, apply through its applicant tracking system, submit a separate request for each position, and have spent at least six months in their current job. AdventHealth Careers Boston College’s employee application guidance instead says a regular employee should notify their manager as soon as possible after becoming a finalist. 3. Tailor your resume and other materials

Update your resume or CV to show recent contributions, relevant skills and specific accomplishments that match the posting. Include measurable results only when you can support them. Translate internal projects, systems or team shorthand into language a hiring manager outside your current group can understand; do not rely on decision-makers knowing what you do or how well you do it.

Follow the posting’s instructions about materials and employee status. Boston College requests an updated resume and cover letter for internal applicants, while Primark says a cover letter is optional. If it is optional, use one only if it adds relevant context and does not conflict with the employer’s instructions.

4. Submit through the required channel

  1. Open the vacancy in your employer’s specified internal careers or applicant-tracking system.
  2. Complete every required field and answer screening questions accurately.
  3. Attach the requested resume, cover letter or other documents, and submit before the listed deadline.
  4. Save a copy of the posting and the materials you submitted. If applying to multiple openings, check whether each requires a separate application.

5. Prepare for an interview

Being an existing employee does not guarantee an interview waiver or selection. Prepare to explain why the role fits, what you have delivered, which skills transfer and what you would need to learn. Choose concise, accurate examples tied to the job criteria, and prepare questions about the team’s priorities and how success will be measured. Interview formats depend on the position. Boston College says some roles use a committee and more than three interviews, while others may involve a single interviewer; a finalist may then be scheduled for an HR interview. Boston College Human Resources

6. Follow up and handle either outcome professionally

Use the applicant portal or recruiter for status updates. After an interview, a brief thank-you message is a courteous option. Continue meeting your responsibilities in your current role while the hiring process proceeds. If selected, coordinate handover and release timing with the relevant managers and HR. If you are not selected, ask for actionable feedback if it is available and maintain a constructive relationship with both teams. Indeed Canada

Compare openings on more than the title

If you are considering several internal roles, weigh the actual responsibilities and requirements alongside the team, manager, growth path, location or schedule, and the application and transition rules. Confirm compensation and benefits with HR or the hiring manager rather than assuming an internal move guarantees a raise or preserves every term unchanged.
