A good promotion announcement tells the right people who is taking on which role, when the change begins, and what colleagues need to know—while recognizing the employee’s contribution. Tell the employee privately first, confirm the decision and details, then choose a channel and share a concise, accurate message.
Before announcing a promotion
- Confirm the change. Check that the promotion is approved and accepted, and verify the new title, effective date, responsibilities, reporting line, and any changes to colleagues’ points of contact. Do not announce details that are still undecided.
- Tell the employee privately. Coordinate the timing and wording with them before sharing news more widely. Follow your organization’s approval process and respect any agreed timing.
- Decide what the audience needs to know. Share role-related information that helps people understand the transition. Avoid disclosing personal or compensation details unless the employee has agreed and the organization’s policy supports sharing them.
Choose the right announcement channel
Use the organization’s usual communication channels and match the format to the audience. A written announcement helps distributed colleagues refer back to the details; a team meeting can make the news more personal when people regularly gather.

What to include
- Name and new title: State the change plainly. Include the prior title or department if it helps readers understand the move.
- Effective date: Include it only when confirmed.
- Specific recognition: Mention one or two concrete contributions relevant to the promotion rather than relying on vague praise.
- Role context: Briefly explain new responsibilities, reporting arrangements, or changes to coordination and points of contact that affect the audience.
- Warm close: Invite colleagues to congratulate the employee or welcome them into the role.
Keep the message professional, appreciative, and concise. Proofread names, titles, dates, and organizational details before sending.

Before sending, verify the title, date, contribution, and role details with the employee and HR or the appropriate approver.

For a spoken announcement, use the same verified facts as the written version. If the audience needs operational details—such as a new point of contact—share those clearly in the meeting or a follow-up post.

Announcements explain an individual decision; they do not replace a clear promotion process. Employers should follow their own policies and applicable local guidance. For England, Scotland, and Wales, UK Government guidance published on 4 March 2026 recommends making internal promotion and transfer opportunities visible and explaining the criteria and processes used. It also recommends referring to relevant policies when communicating pay and promotion decisions. This is jurisdiction-specific guidance, not a universal legal requirement.
