To accept UPI as a small merchant in India, onboard through an acquiring bank (directly or through a payment provider), receive a provider-issued merchant QR or integration, and verify every payment in the merchant-side record before releasing goods. Your onboarding agreement determines the merchant ID, UPI ID, settlement account, charges, reconciliation tools and refund route.
What merchant UPI acceptance actually requires
UPI acceptance is not created simply by printing a personal UPI ID or consumer QR. The official merchant route starts when an acquiring bank onboards the business and supplies the UPI infrastructure. A payment aggregator or other provider may handle the merchant-facing application, but the acquiring bank remains the party responsible for onboarding, compliance and risk assessment.

During onboarding, the acquirer or its provider configures merchant details such as a merchant identification number (often called MID or TID), merchant category code (MCC) and merchant UPI ID. The exact documents, eligibility checks, account arrangement and technical setup depend on the acquirer and the agreement you sign. Before accepting a payment, obtain written answers on these points:
- Which acquiring bank will onboard the business?
- What KYC, business-registration and bank-account documents are required?
- Must settlements go to an account with that bank, or can another business account be used?
- What charges apply, and are they one-time, recurring or transaction-based?
- Which QR type, merchant app, dashboard or point-of-sale integration will be supplied?
- How are transaction-status queries, disputes and refunds submitted?
- Who can access transaction history, and how are staff actions controlled?
Choose an acceptance mode that fits your checkout
NPCI identifies four broad merchant integration modes: QR, intent, application-based and collect. They are not interchangeable labels; each suits a different sales flow.
#1 Best Overall
| Mode | Best fit | What to confirm with the provider |
|---|---|---|
| QR | In-person counters, deliveries and other situations where the customer scans a displayed code | Static or dynamic QR, amount entry, payment alerts, transaction history and reconciliation |
| Intent | Digital checkout flows that open a supported UPI app with payment details | Supported apps, mobile and browser behavior, success callbacks and failed-payment handling |
| Application-based | A merchant app or point-of-sale application that creates or records UPI transactions | Staff permissions, notification reliability, transaction search, exports and device compatibility |
| Collect | Cases where the merchant or system sends a payment request for the customer to approve | Request expiry, customer approval status, reminders, cancellation and reconciliation |
For most neighborhood shops, a provider-issued QR is the simplest starting point. Online sellers, delivery businesses and larger counters may need intent or application integration so the order system can connect payment status to an order. Ask whether the provider supports more than one mode if your business sells both in person and online.
Step-by-step: onboard your business
- Approach your existing bank or a payment provider. Ask specifically for merchant UPI acceptance and the acquiring bank that will provide it. Do not assume that opening a personal UPI account creates merchant acceptance.
- Complete eligibility and KYC checks. Provide the documents requested for the business, owners or authorised signatories and settlement account. Requirements differ by business type and acquirer.
- Review the commercial and operational terms. Confirm disclosed charges, settlement destination, support hours, refund procedure, device terms and any minimum commitments before accepting the arrangement.
- Receive your merchant identifiers and acceptance assets. The acquirer or provider configures the MID/TID, MCC and merchant UPI ID and supplies a QR, app credentials, API or point-of-sale setup as applicable.
- Run a controlled test. Make a low-value payment, verify the payee name shown to the payer, confirm the merchant-side notification or dashboard entry and check where the amount appears in the agreed settlement account.
- Train everyone who takes payments. Staff should know how to verify success, record the transaction reference and escalate a missing payment without relying on a screenshot.
Static QR, dynamic QR and app-based acceptance
Static QR
A static QR remains displayed at the counter and normally requires the customer to enter the amount in their UPI app. It is inexpensive in workflow terms and easy to print, but the cashier must match the amount and verify each payment individually. Ask the acquirer how a staff member can search the transaction and reconcile it with the sale when several customers pay close together.
Dynamic QR
A dynamic QR is generated for a particular transaction and can carry order or amount information. It is useful where an app, POS terminal or billing system should reduce manual amount entry. Confirm whether the QR is generated by the provider’s app or your POS, whether partial or repeat payments are blocked, and which UPI payment methods are enabled.

NPCI’s BHIM UPI Guidelines updated in June 2026 state that the callout “Pay with Credit on UPI” belongs only on dynamic QR designs when the merchant accepts UPI transactions from a credit account. Do not add that wording to a static display unless your provider confirms that the required acceptance is enabled.

Merchant application or POS integration
Application-based acceptance can provide transaction notifications, history, staff access and reconciliation in one interface, but features vary widely. Before choosing it, check whether the app works on your devices, supports multiple staff safely, retains searchable records, exports data for bookkeeping and shows a definitive success or failure state.
Intent and collect
Intent is generally suited to an online or mobile checkout that hands payment details to a UPI app. Collect sends a request that the customer approves. Their usefulness depends on your sales channel and provider support; they are not automatically better than a counter QR. Ask how the system handles an abandoned request, timeout, duplicate approval or payment made after an order is cancelled.
Soundbox alerts
Current NPCI QR guidance includes a soundbox static-QR layout. A soundbox can announce incoming payments audibly, which may help a busy counter where staff cannot watch a phone continuously. Treat it as an operational accessory rather than a different settlement system. Check device compatibility, connectivity, rental or purchase terms, replacement policy and provider support before accepting one.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsDisplay the correct merchant QR
Use only the QR supplied or approved by the merchant provider. NPCI’s June 2026 BHIM UPI Guidelines specify merchant identity and scanning instructions for relevant QR formats, including the line “Scan & Pay with any UPI app.” The merchant UPI ID should be shown where the applicable format requires it.
Rank #3
- Keep the entire code visible, flat and well lit.
- Do not crop, redraw, cover or place a sticker over the encoded area.
- Show the business or merchant name clearly enough for a customer to compare it with the name in their UPI app.
- Replace a damaged display rather than taping a second code over it.
- If you change providers or settlement accounts, remove the old QR immediately and confirm that the replacement is active.
A personal QR may appear to work for a one-off transfer, but it does not prove that the business has merchant onboarding, a merchant identifier, business reconciliation or the agreed dispute process. Keep personal and business acceptance separate.
How to complete a safe payment at the counter
- Enter the sale correctly. For a static QR, state the amount and let the customer enter it. For a dynamic QR, confirm that the generated amount matches the bill.
- Ask the customer to check the payee. The customer should compare the displayed business name and amount before approving the payment.
- Wait for a definitive success state. A pending, processing or failed message is not a completed payment.
- Check the merchant-side record. Verify the provider app, dashboard, POS or authorised notification and match the amount. Do not rely only on a customer screenshot, SMS or verbal assurance.
- Record exceptions. For a delayed or disputed payment, note the transaction reference, amount, date and time and the status shown in the customer’s app.
- Release the goods only after verification. This is especially important for high-value items, delivery handoffs and services that cannot be recovered once provided.
When and where the money is settled
NPCI’s merchant FAQ says the merchant receives the money immediately after the customer confirms the payment into either the merchant pool bank account or the merchant bank account, according to the agreement. “Immediately” describes the general UPI merchant flow; it does not establish that every provider’s dashboard, pool ledger and bank statement update at exactly the same moment.
Your onboarding documents should identify the actual settlement destination and reconciliation method. A provider may first credit a merchant pool account and then settle to the nominated bank account, or the agreement may specify direct credit to the merchant bank account. Confirm:

Reconcile daily: compare the sales ledger with successful merchant transactions, investigate unmatched entries and retain references for bookkeeping and support. A customer-visible success screen is evidence of the customer’s status, not a substitute for your merchant record.

What to do when a payment is missing or disputed
Customer says the payment succeeded but you cannot see it
- Ask for the transaction reference, exact amount and date/time shown in the customer’s UPI app.
- Check the merchant app or dashboard using the amount, reference and time range; also check pending, failed and reversed filters.
- Do not ask the customer to pay again until you understand whether the first transaction is pending or successful.
- Raise the transaction-status query with the acquiring bank or the provider’s documented merchant support route.
- Keep the bill, customer status and support case number together until the status is resolved.
NPCI directs merchants to the acquiring bank for transaction status and grievances. A customer being debited does not by itself establish that your merchant account has been credited, so let the bank trace the transaction before deciding on a duplicate charge.
Goods are returned or a service is rejected
Follow the merchant provider’s refund process and retain the original transaction reference. NPCI’s FAQ says the merchant asks the bank to refund the charged amount under the defined process. The timing and customer notification depend on the provider and banking flow; do not promise a universal instant-refund deadline. Record the refund request, amount, date and resulting status in your sales records.
Customer-side options you should understand
UPI Lite is a payer-side option in which the customer can scan a merchant QR for low-value payments. It is not a separate merchant onboarding shortcut and does not remove the need for an acquiring-bank merchant arrangement. Product limits and operating details can change, so rely on the customer’s current app behavior and your provider’s guidance rather than displaying old limits.

Common mistakes and their fixes
- Using a personal QR for business sales: request formal merchant onboarding so the business has the agreed identifiers, settlement and support path.
- Accepting a screenshot as proof: verify the merchant-side success record before handing over goods.
- Displaying an altered or damaged QR: obtain a replacement from the provider and keep the approved design intact.
- Assuming every “success” posts to the same account: check whether your agreement uses a pool account or direct merchant-bank settlement.
- Choosing a soundbox without checking connectivity: confirm network, device, support and recurring-cost terms first.
- Promising an instant refund: submit the refund through the acquiring bank’s process and give the customer the provider’s actual status and reference.
- Failing to reconcile: compare merchant records with the sales ledger and bank statement at a fixed daily or weekly interval.

Frequently Asked Questions
Can I accept UPI with only my personal UPI QR?
A personal QR is not equivalent to merchant onboarding. Use an acquiring bank or provider-issued merchant setup so the business has the agreed merchant identity, settlement arrangement, reconciliation and support process.
Does a successful UPI payment always appear instantly in my bank statement?
NPCI describes immediate receipt after customer confirmation, into a merchant pool or merchant bank account according to the agreement. Your provider’s dashboard, pool ledger and bank statement may not update at precisely the same time, so confirm the arrangement and reconcile using the merchant transaction record.
Who handles a missing UPI payment or merchant refund?
Start with the acquiring bank or the provider’s documented merchant support route. Supply the transaction reference, amount, date and time; refunds are requested through the bank’s defined merchant process.
