You can accept UPI payments at a shop, stall or mobile business without buying a card PoS machine. Apply for merchant UPI through an acquiring bank or payment provider, display the merchant QR code it issues, and have customers scan and authorize payments in their UPI apps. A static QR is reusable and usually leaves the customer to enter the amount; a dynamic QR can include the bill amount or order details. Before signing up, confirm the provider’s document requirements, settlement arrangement, charges and support process.
What you need to accept UPI without a PoS machine
The basic setup is a merchant account or arrangement with an acquiring bank or payment provider and a merchant QR code for customers to scan. The QR is the payment acceptance method; a card terminal is not required for this UPI checkout. NPCI’s UPI Frequently Asked Questions describes QR as a merchant integration mode and identifies the acquiring bank as the merchant’s infrastructure partner.

In practice, the provider handles onboarding and configures merchant details used in the payment flow. NPCI says the process includes checks by the provider and creation of a merchant identifier, with details such as the merchant category code, UPI ID, bank account and IFSC configured. The exact checklist and eligibility requirements depend on the provider, so there is no single set of documents that can be promised for every Indian business.

- Required for the QR workflow: merchant onboarding and the QR issued or approved for that merchant arrangement.
- Optional: a counter stand, sticker, soundbox, display or billing integration. These can change how the QR is shown or how staff receive confirmations, but they are not prerequisites for customers to pay by scanning a merchant QR.
- Separate capability: card acceptance. If your customers need to pay by card, ask about a card terminal or another card acceptance method separately; QR UPI acceptance does not itself provide card processing.
A countertop holder can make an existing provider-issued QR easier to see, but a holder does not create a merchant identity or establish that a payment has arrived. Use the QR artwork supplied or approved for the business rather than printing a substitute or treating a personal QR as a merchant setup.

Choose the QR workflow that fits your checkout
| Workflow | What the customer does | Best fit | What to check |
|---|---|---|---|
| Static merchant QR | Scans the reusable code and normally enters the amount in the UPI app. | Simple counters, stalls and mobile sellers where staff can verify the bill amount. | Ensure the customer enters the correct amount and confirms the intended merchant before authorizing. |
| Dynamic QR | Scans a code generated for a particular bill or order; it may carry the amount and order information. | Checkout flows linked to billing or an order number, where matching payment to the sale matters. | Ask whether your provider’s implementation supports the order details and transaction-status checks your workflow needs. |
NPCI’s FAQ describes merchant QR and the information that may be encoded, including the UPI ID and, where applicable, an amount. Paytm’s dynamic QR documentation describes using order information and checking transaction status against an order. These are two QR checkout approaches, not a requirement to buy a PoS terminal. A customer-facing display condition mentioned for a particular billing-POS integration applies to that integration; it should not be assumed to apply to a printed merchant QR.
For a small business with only a few transactions at a time, a static QR may be operationally straightforward, but the person taking payment must match the amount shown in the app to the sale. If many orders need to be matched automatically, ask providers about dynamic QR and order reconciliation before choosing a setup. Do not assume that every provider offers the same integration or that a provider’s dynamic QR requires or avoids particular equipment; confirm the exact workflow for the product you would use.
How to get set up
- Choose an acquiring bank or payment provider. Confirm it onboards the type of business you run and supports merchant QR acceptance. NPCI says merchants partner with an acquiring bank to enable UPI infrastructure; providers may perform compliance and risk checks.
- Ask for the onboarding checklist before applying. Check which business and bank-account documents are required, who the contracting party is, and whether the merchant arrangement is in the business’s name. NPCI does not prescribe a universal public document list in its FAQ, so use the chosen provider’s current instructions.
- Compare the terms that affect your operation. Ask where payments are credited, when funds become available under the agreement, how transaction confirmation is delivered, what charges apply, and how to get help with failed or mistaken payments. Ask separately about any optional QR display, soundbox or billing product.
- Complete the provider’s merchant onboarding. Submit the requested information and wait for the provider’s checks and merchant configuration. NPCI describes configuration that can include a merchant identifier, merchant category code, UPI ID and bank-account details. Follow the provider’s procedure if it requests corrections or further information.
- Obtain the merchant QR and display it clearly. Use the provider-issued or approved artwork. Put it where a customer can scan it without confusion, and keep the merchant identity and scan instructions legible.
- Test the counter process before relying on it for busy trading. Follow the provider’s permitted test or transaction procedure, if offered, and learn where staff can see confirmation. Establish who checks payment status and how the sale is recorded; do not treat the presence of a QR code or a customer’s screen alone as your reconciliation process.
The sequence is consistent with NPCI’s described merchant flow: provider onboarding and configuration, QR integration, customer scanning and authorization, then merchant receipt according to the agreement. The exact application screens, document names, activation time and provider-specific steps are not common across all services, so follow the current instructions from the acquirer you select.
What happens when a customer pays
- The customer opens a UPI app and scans the merchant QR.
- The app presents payment details, including the payee and any amount encoded in a dynamic QR; with a static QR, the customer normally enters the amount.
- The customer checks the displayed details and authorizes the payment in the app.
- The merchant checks the provider’s confirmation or dashboard and records the sale in its own sales process.
NPCI’s FAQ says the merchant receives funds immediately after the customer confirms payment, with the destination described as the merchant pool account or the merchant bank account according to the merchant agreement. Read this as NPCI’s general description, not a guarantee of identical account routing, visibility or availability terms for every provider contract. Ask the provider exactly where funds go and how to verify a completed transaction.

At the counter, a useful division of responsibility is simple: the customer authorizes in their app, while the business verifies receipt through its own provider confirmation or dashboard and matches it to the sale. A QR only supplies payment details; it is not itself proof that a particular transaction completed. For a static code, comparing the amount against the bill is especially important because the customer usually types it. For a dynamic code, ask how the provider associates the payment status with the correct order.
Keep the QR usable and recognizable
NPCI’s BHIM UPI Guidelines, updated in June 2026, include merchant QR layout guidance: clear scan instructions, the merchant UPI ID, QR sizing and logo rules. Use the provider’s approved artwork and preserve its legibility. Do not obscure the code, redraw it, or substitute a different code in printed material. The point is practical as well as visual: a customer needs to scan the intended merchant code and check the payee shown in the payment flow.
Place the QR at a height and angle customers can scan, with enough space around it to avoid visual clutter. If staff move the QR between a counter and a mobile setup, make sure it remains readable and that the displayed merchant identity still corresponds to the business taking payment. If you need a larger counter display or a sticker, ask the provider whether it supplies or approves that format.

A generic acrylic stand can hold a QR that the merchant already has, but it does not turn a personal QR into a merchant account or confirm that a payment was received.

Understand optional devices before paying for them
QR stand or sticker
A stand or sticker changes how the QR is presented, not the underlying payment arrangement. It may be useful if the code needs a stable, visible place at a counter, but first confirm that the code is the approved merchant QR. No accessory can replace onboarding, account configuration or payment verification.
Soundbox
A soundbox can announce incoming payments. PhonePe and Paytm promote merchant soundbox products, but the hardware is optional for QR acceptance. Consider it only if audible notifications solve a real operational problem, such as staff needing a hands-free alert. Confirm the device charge, ongoing terms, support and how it relates to the provider’s other confirmation tools before ordering.
PoS or billing equipment
A card terminal may make sense when the business also needs card acceptance. Billing or customer-facing equipment may be useful for an integrated checkout, but it is not a general condition for using a printed UPI merchant QR. Keep the decision tied to the workflow you need rather than buying equipment because a QR payment option is being presented alongside a device-based product.

- Eligibility and documents: What kinds of businesses can apply, what account must be used, and which business and identity documents are currently required?
- Contracting and account destination: Which bank or provider is the acquiring partner, what account receives the funds, and are funds first routed through a merchant pool account?
- Availability and settlement: When can the business use the funds under its agreement? NPCI’s general FAQ says receipt is immediate following payer confirmation, but the account destination and arrangement are governed by the merchant agreement; get the provider’s own terms in writing.
- Costs: Are there onboarding, QR issuance, settlement, transaction, billing or device charges? The NPCI, PhonePe and Paytm pages reviewed do not establish a comparable current fee schedule across providers. Do not assume that setup or acceptance is universally free.
- QR and interoperability: Is the issued code a merchant QR that customers can scan with their UPI apps? Which static or dynamic formats are available, and can an order reference be included?
- Confirmation and reconciliation: Where will staff see a successful transaction? Is a dashboard or order-status check available, and what records can be exported or reviewed for daily reconciliation?
- Exceptions and support: What is the process for a failed payment, refund, mistaken payment or dispute, and which support channel handles each case?
- Optional hardware: What is the price and support arrangement for any standee, soundbox, display or billing equipment, and can the QR be used without it?
Provider terms can change, and the provider pages cited here do not offer a like-for-like current comparison of charges, settlement or support. Compare actual written offers for your business rather than relying on a general claim about a provider’s price or speed. NPCI says merchants should approach their acquiring bank for grievances and that refunds follow the bank’s defined process, so identify that contact before a payment problem arises.

Handle exceptions without confusing a scan with a completed payment
If a customer says they paid but the business has no corresponding confirmation, check the provider’s status or dashboard and match the transaction to the sale before treating it as received. If the status is unclear, use the acquirer’s support path rather than guessing from the scan or assuming that a screenshot resolves the issue. For a dynamic QR flow, check whether the status is tied to the order reference; for a static QR, reconcile the amount and payment details against the relevant sale.
For refunds, mistaken payments and disputes, follow the acquiring bank or provider’s documented process. NPCI’s FAQ directs merchants to their acquiring bank for grievances and describes refunds as following the bank’s defined process. Do not promise a customer a timing or outcome that the provider’s terms have not confirmed. Keep the sale record and provider transaction information available so the merchant can explain which payment is in question.
For routine bookkeeping, record the sale in the business’s own sales records and reconcile it against provider confirmations and account activity. NPCI’s FAQ explains the payment flow, not a business-specific tax or bookkeeping treatment. For questions about how UPI receipts should be classified or reported for your business, check with a qualified local adviser and your acquiring bank.

Common mistakes to avoid
- Printing a personal QR and assuming it is merchant onboarding. A countertop accessory or printed code does not create the merchant identity and provider arrangement described by NPCI.
- Choosing on a claim that UPI acceptance is free. Current comparable prices are not established by the pages reviewed; ask about each applicable charge and get the terms directly from the provider.
- Assuming every QR behaves the same way. A static QR normally requires an amount entry, while a dynamic code can carry bill or order details. Pick based on checkout needs.
- Assuming a QR necessarily comes with a terminal or display. The QR workflow can operate without a card PoS machine; equipment can be an optional addition or part of a specific integrated product.
- Using a damaged or altered code. Follow NPCI’s June 2026 QR presentation guidance and use provider-approved artwork so the identity and scan instructions remain legible.
- Leaving staff without a verification process. Decide where the successful transaction is checked and how it is reconciled to the sale, instead of relying only on the customer beginning a scan.
Choose the simplest setup that matches your business
A small counter operation with straightforward sales can start by asking an acquiring bank or provider for merchant onboarding and a static QR. A business that needs to match many payments to specific bills should ask about dynamic QR, order identifiers and transaction-status checks. In either case, the deciding details are the provider’s eligibility and document checklist, where and when funds are made available under the agreement, applicable charges, and the process for confirmations, refunds and support.
You do not need to purchase a card PoS machine merely to accept UPI by QR. Onboard as a merchant, use the approved QR, and make payment verification and sales reconciliation part of the checkout routine. Add a stand, soundbox or other equipment only when its practical benefit and terms are clear.
