A small business in India can accept in-person UPI payments without buying or renting a card machine. The usual route is to onboard with an acquiring bank or another merchant-payment provider, complete its business verification, and display the merchant QR that the provider issues. For a walk-in counter, a static QR is usually the simplest starting point. A soundbox or acrylic stand is optional; neither one creates a valid merchant QR or replaces onboarding.
Before accepting money, confirm the merchant name customers will see, your merchant category code, any applicable charges, the settlement account and the expected settlement timing. Current fee treatment depends on the transaction category and the provider agreement, so do not assume that every UPI payment is priced identically.

Can I accept UPI without a card machine?
You do not need a point-of-sale terminal to take a customer’s UPI payment at a shop, stall, clinic, office or service counter. NPCI says a merchant must partner with an acquiring bank to enable UPI; the acquiring bank provides the UPI infrastructure. Its FAQ identifies QR, intent, application-based and collect modes. For a customer standing in front of you, QR acceptance is the most direct fit. NPCI’s UPI FAQ
The important distinction is between a merchant QR and a personal payment QR. A merchant QR is configured during business onboarding, including the merchant category code (MCC), and is linked to the settlement arrangement agreed with the provider. A personal QR may appear to work technically, but it does not provide the same merchant identification, accounting trail or fee treatment. Ask the provider to confirm the payee name shown in the payer’s app and the bank account or merchant pool into which funds will settle.

How merchant UPI acceptance works
1. The acquiring relationship
Your bank or a payment provider that onboards merchants acts as the route into the UPI acceptance system. The provider performs its due diligence, configures your merchant record and supplies the QR or other acceptance method. NPCI’s FAQ describes the acquiring bank as the party that provides the UPI infrastructure; there is no universal “instant QR” that bypasses this relationship. NPCI UPI FAQ
2. The customer’s payment
The customer scans the displayed QR with a UPI app, checks the payee name and amount, and authorises the transaction. The provider then reports the payment through its merchant channel. A screenshot on the customer’s phone is not reliable settlement evidence by itself: verify the success status in your own provider dashboard, app, soundbox or bank record.
3. Settlement
Settlement is governed by the agreement you accept during onboarding. NPCI states: “Merchant will receive the money immediately after customer confirms the payment into the merchant Pool bank account/ merchant bank account as per their agreement.” The words “as per their agreement” matter. Confirm whether your provider credits a designated bank account or a merchant pool first, what reconciliation view you receive, and whether there are exceptions for reversals, disputes or service outages. NPCI UPI FAQ
How do I get a UPI QR code for my shop?
The exact KYC checklist varies by provider. NPCI describes merchant identification and configuration at the bank level but does not publish one document list that applies to every business type. Ask the selected bank, payment service provider or payment aggregator for its current checklist before you visit a branch or submit an application.

- Slanted Back Support: To ensure that your pamphlet can maintain a certain Angle of tilt and not tip forward.
- Stable Base Extended: Allows your book to be more stable on the table.
- Choose the onboarding route. Contact your business bank or a provider that explicitly offers merchant UPI QR acceptance without a POS or card terminal. Say that you need in-person QR acceptance and ask about both static and dynamic QR options.
- Submit business and KYC information. Complete the provider’s verification process. Requirements can differ for a sole proprietor, partnership, company, trust or other entity, so use the provider’s current instructions rather than relying on a generic online list.
- Check your merchant configuration. Ask for the assigned MCC, the legal or trading name that will appear to customers, the settlement destination and the support channel for failed or disputed payments. Correct a wrong name or category before printing the QR.
- Receive the provider-issued QR. The provider may supply a printable static QR, a dynamic-QR checkout flow, or a QR integrated into an optional soundbox. Use the exact QR supplied through onboarding.
- Display it at the point of payment. Place a static QR where customers can scan it without leaning over a crowded counter. If you use a stand, keep the code flat, visible and protected from glare; the stand is only a holder.
- Run a controlled test. Make a small payment, verify the displayed payee name before authorising, and then check the merchant-side confirmation and settlement record. Test a refund or failed-payment support route only if your provider explains how to do so without creating an accounting error.
NPCI’s June 2026 BHIM UPI guidelines show static QR, soundbox/static QR and dynamic QR designs. They also specify design elements such as the instruction “Scan & Pay with any UPI app.” Do not redraw, crop, replace or alter the encoded QR in a way that conflicts with the provider’s or NPCI’s requirements. NPCI BHIM UPI Guidelines, June 2026
Which QR setup should a small business choose?
| Option | What it does | Best fit and trade-offs |
|---|---|---|
| Static merchant QR | A fixed provider-issued QR that customers scan and then enter the amount. | Usually the simplest choice for a small counter. It requires merchant onboarding and careful display of the correct QR. Because the amount is entered by the customer, staff should check the payment record against the sale. |
| Dynamic QR | A QR generated for a particular checkout flow, where the provider supports it. | Useful when the checkout system can pass the amount into the payment request. Availability, integration and pricing depend on the provider; NPCI’s guideline illustrates the design but does not set a universal provider price. |
| QR soundbox | A device form factor that combines a QR display with an audio or device alert when the provider reports a payment. | Optional convenience for a busy counter or a shop where staff cannot keep watching a phone. Confirm device purchase, rental or subscription cost, SIM or network dependence, support, replacement and return terms directly with the provider. No current universal soundbox price is established. |
| Acrylic QR counter stand | Holds a printed or provider-supplied QR upright at the counter. | Optional physical accessory. It improves visibility but does not generate a merchant QR, process a payment, verify settlement or replace an acquiring provider. |
A stand can be worthwhile if customers struggle to find a flat QR on the counter. Treat it as display equipment, not as a payment service. The QR itself must still come from your onboarding provider and comply with the applicable design requirements. NPCI BHIM UPI Guidelines, June 2026
Will my business pay charges for UPI?
Fee treatment is category-dependent and can change. The Ministry of Finance announcement dated 15 September 2026 says the following policy figures:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Policy statement | Qualification |
|---|---|
| ₹0 MDR for P2M payments up to ₹2,000 | Applies under the policy described in the Ministry announcement; confirm how your provider classifies the transaction. |
| ₹0 MDR for qualifying small merchants receiving up to ₹1 lakh per month | Applies to the P2PM category through UPI QR, subject to the category and eligibility conditions stated by the provider. |
| 0.4% MDR for specified P2M transactions above ₹2,000 | The announcement describes this rate for specified transactions; it is not a blanket quote for every merchant or every UPI flow. |
| ₹300 MDR cap for transactions of ₹75,000 and above | This is the cap stated in the same announcement for the specified category. |
| Approximately 96% of P2M transactions unaffected | A Ministry estimate in the announcement, not a guarantee for an individual business. |
These are policy statements from the Ministry’s 15 September 2026 release, not a provider invoice or a promise that every merchant agreement will look the same. Ask your provider whether you qualify as P2PM or another category, whether any service or device charges apply separately, and how fees appear on settlement reports. Recheck the official policy before making a pricing or equipment decision because the rules are time-sensitive. Ministry of Finance/PIB, 15 September 2026

Do not use the Ministry’s earlier March 2025 incentive announcement as a substitute for the September 2026 policy when calculating current charges. A historical incentive period and a current merchant agreement are different things.
When will UPI payments reach my bank account?
There is no single settlement schedule that applies to every provider. NPCI’s FAQ says the merchant receives money immediately after the customer confirms payment into the merchant pool bank account or merchant bank account, as provided in the agreement. In practice, your contract determines the destination, reconciliation view and any exception handling.
During onboarding, get written answers to these questions:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- Which bank account or merchant pool receives the funds?
- Is the balance visible in a merchant app, dashboard, bank statement or all three?
- Are there cut-off times, holds, reversals or dispute adjustments?
- How are refunds and duplicate payments identified?
- Which support channel handles a payment marked successful by the customer but missing from your merchant record?
For daily operations, reconcile your provider report with sales totals rather than relying on customer messages. Keep the transaction reference or order number for any payment that needs investigation.

How to compare UPI providers without a card terminal
There is no official universal provider ranking or price list in the available guidance. Compare the agreement and operating workflow on the following axes instead:
| Comparison point | What to ask |
|---|---|
| Eligibility and onboarding | Does the provider onboard your business type and location? What current KYC and verification steps apply? |
| Merchant identity | What exact payee name appears before a customer authorises payment? Is the MCC appropriate for your activity? |
| Fees and MDR | Which category will your business use? Are the 2026 policy conditions met? Are there separate account, support, device or service charges? |
| Settlement | Where do funds land, when are they visible, and how are reversals or disputes shown? |
| QR formats | Is a printed static QR available? Is dynamic QR supported for your checkout? Can you replace a damaged QR securely? |
| Soundbox service | What are the one-time, rental or subscription charges? Who pays for network service, replacement and return shipping? |
| Support | Can you reach a human or documented support route for failed, pending, reversed or wrongly credited payments? |
| Records | Can you export transaction reports that your bookkeeper can match to invoices or daily sales? |
Choose on the terms you can verify, not on a QR’s appearance or an unverified claim that a device is “free.” A provider may charge for a soundbox or other service even when a qualifying UPI transaction has zero MDR.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Daily counter procedure for safer acceptance
- Show the correct QR. Keep only the active merchant QR at the payment point and remove old or replaced codes.
- Tell the customer the merchant name. Ask the payer to confirm the name displayed in the UPI app before authorising.
- Match amount and order. For a static QR, compare the amount the customer says they paid with the sale total and your merchant notification.
- Verify independently. Use your merchant dashboard, registered device alert or bank record. A customer’s screenshot or a “payment pending” screen is not confirmation of settlement.
- Record exceptions. Keep the transaction reference for pending, failed, reversed or duplicated payments and follow the provider’s support process.
- Maintain a fallback. Keep cash or another accepted payment method available for customers whose app, phone, network or bank cannot complete UPI at that moment. This is a practical continuity measure, not a claim that UPI is always unavailable.
Common problems and how to handle them
The customer paid, but your alert did not sound
Do not ask for a second payment immediately. Check the merchant dashboard or bank record using the transaction reference and amount. A soundbox alert is a convenience feature supplied by a provider; the merchant record remains the stronger operational check. If the payment is absent or pending, use the provider’s documented support route and preserve the reference.
The payee name is wrong
Stop using the displayed QR until the provider confirms the merchant record. A wrong customer-facing name can cause avoidable disputes and may indicate that an old or personal QR is being used. Request a corrected merchant QR through the onboarding provider rather than editing the image yourself.

The QR is damaged or will not scan
Use a clean reprint of the provider-issued code and check that the full code and required branding or instructions remain visible. Do not substitute a personal QR or manually recreate the code. If scanning still fails, ask the provider whether the merchant QR is active and whether a replacement is required.
A customer asks for a refund
Do not improvise a second transfer as a refund. Follow the provider’s refund or dispute procedure and retain the original transaction reference. The exact workflow depends on the merchant agreement.
Do I need a soundbox to accept UPI?
No. A soundbox is optional hardware. You can accept payments with a provider-issued static QR displayed on paper, card or a counter stand. A soundbox may help a busy shop notice payment alerts, but it introduces questions about device cost, network connectivity, servicing and return terms. Ask for those terms before accepting the device, and compare them with the cost of simply checking a merchant app or dashboard.
Quick Recap
What a card-machine-free setup cannot do
- A printed stand cannot onboard a merchant or route money to a bank account.
- A personal QR cannot be assumed to have merchant MCC configuration or the same fee treatment.
- A customer’s screenshot cannot prove that your merchant account settled the payment.
- NPCI’s guideline diagrams do not establish a universal soundbox price, provider ranking or settlement timetable.
- The Ministry’s fee figures do not replace the category and charges stated in your own provider agreement.
