To accept UPI payments, a small business in India must onboard with an acquiring bank (or that bank’s authorised merchant-payment partner). The acquirer completes KYC and merchant setup, assigns your merchant details and UPI ID, and gives you an approved acceptance method—usually a QR code, but also an in-app, intent or collect integration. Confirm the settlement account, support process and any charges in writing before you start displaying the QR.
After a customer approves a payment, NPCI says the merchant receives the money immediately into the merchant pool bank account or merchant bank account, as agreed with the provider. That qualification matters: the exact account flow, reconciliation view, fees and refund procedure depend on your acquiring arrangement.

What you need before accepting UPI
UPI acceptance is a merchant service, not something a printed code can create by itself. Your business first needs a relationship with an acquiring bank. The bank (or its merchant-payment partner) provides the onboarding infrastructure, performs due diligence and connects your business to UPI.
- A settlement account: Ask which bank account or merchant pool account will receive proceeds, when entries appear, and how settlement statements are delivered.
- Business and owner information: The acquirer will request KYC and business due-diligence documents. The exact checklist varies by provider and business type, so obtain the current list before applying.
- Business category: The acquirer assigns a merchant category code (MCC) based on what you sell. Check that the description matches your real activity; an incorrect category can create support, compliance or reporting problems.
- Merchant identifiers: The bank sets up details such as a merchant ID or terminal ID (MID/TID), your UPI ID and account information.
- A customer-facing acceptance method: Choose a QR, intent, application-based or collect flow with the provider.
Do not buy a generic “UPI QR” and assume it will route money to your business. A standee or sticker only displays the merchant QR that your acquirer issued; it cannot generate a merchant identity or replace onboarding.

How to onboard, step by step
- Choose an acquiring provider. Compare banks or merchant-payment partners on onboarding requirements, settlement destination, support hours, transaction-status tools, refund handling, hardware terms and charges. Ask for these terms in writing rather than relying on a sales description.
- Submit the application and KYC. Provide the requested identity, business, address, tax and bank information. Sole proprietors, partnerships, companies and regulated activities can have different requirements.
- Complete due diligence. The provider verifies the business and determines whether the activity is eligible. Respond quickly to requests for clarification; approval cannot be assumed from an application submission.
- Confirm the merchant profile. Before going live, check the legal/trading name shown to customers, MCC, MID/TID, UPI ID and linked account. Ask the provider to correct any mismatch.
- Select the integration mode. A counter business may need only a static QR. A business with an online checkout, delivery app or custom software may need intent or application-based integration. Collect requests can suit invoice-led sales.
- Receive and test the issued credentials or QR. Use a small live transaction, verify the displayed merchant name, confirm the customer sees a successful status, and check where the credit appears. Keep the transaction reference for your records.
- Publish the approved display. Use the design supplied or approved by the acquirer. Place it where customers can scan it without obstruction, glare or confusion with another merchant’s code.
NPCI’s merchant FAQ describes onboarding as an acquiring-bank responsibility and identifies KYC, due diligence, merchant identifiers, MCC, UPI ID and account details as parts of the setup. Exact documents, approval times and commercial terms are provider-specific.
Choose the acceptance mode that fits your checkout
NPCI lists four merchant integration modes. They differ mainly in how a customer starts payment and how much technology your business must maintain.
| Mode | Customer flow | Best fit | What to confirm with the provider |
|---|---|---|---|
| QR | Customer scans the merchant’s code in any supported UPI app, reviews the encoded merchant information and approves payment. | Retail counters, professionals, market stalls and service desks needing a simple display. | Static or dynamic format, approved artwork, transaction-status visibility and replacement procedure. |
| Intent | A checkout invokes a compatible UPI app so the customer can approve a pre-filled payment. | Websites, mobile checkouts and apps where the customer is already paying digitally. | Supported devices/apps, return-to-checkout behavior, timeout handling and payment verification. |
| Application-based | Your business software integrates payment initiation and status handling through the provider’s interface. | Businesses with a POS, ordering app or custom checkout that needs automated reconciliation. | Technical documentation, credentials, webhook or status APIs, testing process and support escalation. |
| Collect | The merchant sends a payment request to a customer’s UPI address or app; the customer approves it. | Invoice, booking or relationship-based sales where the customer is known. | Request expiry, customer notifications, approval status, limits and how rejected or pending requests are handled. |
The mode does not change the need for an acquiring relationship. It changes the customer experience and your operating workflow. Ask the provider which modes are available for your business category and whether one agreement can support more than one channel.

Static QR
A static QR normally remains displayed at the counter. The customer scans it and enters the amount in the UPI app. It is inexpensive and easy to place, but staff must verify that the amount received matches the sale and that the payment belongs to the correct merchant.

- Slanted Back Support: To ensure that your pamphlet can maintain a certain Angle of tilt and not tip forward.
- Stable Base Extended: Allows your book to be more stable on the table.
Dynamic QR
A dynamic QR is generated for a particular bill or amount, commonly by a POS or checkout system. It can reduce amount-entry mistakes and tie a payment to an order, but it requires a working integration and a process for expired, duplicated or cancelled bills.
Soundbox QR
A soundbox can provide an audible confirmation at the counter when a payment is reported as successful. NPCI’s guidelines include soundbox QR presentation formats, but they do not establish that every merchant needs a device. Evaluate rental or purchase cost, connectivity, battery, replacement, language options and support with your provider.
NPCI’s BHIM UPI guidelines updated in June 2026 cover static QR, dynamic QR, soundbox QR and physical-sticker layouts. Applicable designs call for the merchant UPI ID and the instruction Scan & Pay with any UPI app
. The guidelines include a minimum QR size of 2 cm by 2 cm for applicable sticker displays, while dimensions and layout rules vary by format. Use the exact artwork approved by your onboarding partner rather than applying the sticker minimum to every QR type.

- Compare the merchant name shown after scanning with your registered business name.
- Keep the code flat, clean, well lit and large enough for a customer’s phone camera.
- Do not place a second code over the approved code or allow stickers to be pasted on top of it.
- Inspect the display regularly for tampering. A substituted QR can send money to someone else while looking superficially similar.
- Train staff to rely on the provider’s confirmation or reconciliation screen, not only a customer’s screenshot.
How settlement works
NPCI’s merchant FAQ states: “Merchant will receive the money immediately after customer confirms the payment into the merchant Pool bank account/ merchant bank account as per their agreement.” In practice, read “immediately” together with your contract: the destination account, ledger presentation, reporting and any onward transfer from a pool account are determined by the acquirer.

At the counter, treat the customer’s successful approval and your provider’s transaction status as two related checks. A delayed app screen, network interruption or duplicate attempt can leave a payment pending. Record the UPI transaction reference, amount, date and order number so you can reconcile it later.
Daily reconciliation routine
- Export or review the provider’s transaction report for the day.
- Match each sale to a UPI reference and the amount shown in your POS, invoice book or order system.
- Separate successful, pending, failed, reversed and refunded entries.
- Compare the report’s settlement total with the bank or merchant-pool statement under your agreement.
- Escalate unmatched items with the reference number, customer confirmation and sale record.
For UPI Pay by Points specifically, NPCI says merchants receive the full transaction amount under the standard UPI settlement process, need no special integration and use existing authentication and settlement cycles. That statement applies to that feature; it is not a universal promise about charges or settlement for every funding source, provider or UPI arrangement.
Fees, taxes and commercial terms
The NPCI merchant FAQ reviewed here does not publish one fee schedule covering every acquirer, integration mode or merchant category. Do not assume that every setup is free, and do not quote a charge without current provider-specific evidence.
Request a written schedule that separates any one-time onboarding fee, per-transaction charge, taxes, device purchase or rental, replacement fee, software subscription, minimum commitment and refund-related cost. Confirm whether a promotional rate expires and whether different modes or cards-and-wallet products are priced separately from ordinary UPI payments.

Pending or unclear status
Do not release high-value goods solely because a customer shows a screenshot. Check the merchant dashboard, POS response, soundbox alert or bank-confirmed status. If the status remains unclear, note the transaction reference and contact the acquiring bank.
Failed or reversed transaction
Record the error and avoid repeatedly asking the customer to pay until you know whether the first attempt settled. A second payment can create a duplicate. Your acquirer can check the authoritative status.
Customer refund
For a returned product or rejected service, ask the acquiring bank to refund the charged amount through its defined process. Keep the original transaction reference, refund amount, date, reason and customer communication. Do not invent a separate refund route that bypasses the provider’s records.

Complaint or grievance
NPCI directs merchants to their acquiring bank to check transaction status or raise grievances. Give support the MID/TID, UPI ID, transaction reference, amount, timestamp and a concise description. Retain the case number and escalation path supplied by the bank.
Optional physical equipment
QR standee or countertop display
A standee is useful when customers pay at a fixed counter. It should hold your acquirer-issued QR securely, remain visible from the customer side and be easy to replace if damaged. It does not create your UPI ID, verify payments or settle funds.
Soundbox
A soundbox may help a busy counter where staff cannot watch a phone or POS screen. Before accepting one, check connectivity requirements, charging time, battery replacement, audio-language settings, subscription or rental terms, transaction confirmation logic and support. NPCI’s design guidance supports a soundbox QR format; it does not endorse a particular device or supplier.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsSecurity and operating controls
- Restrict access to merchant dashboards and enable every available staff-level permission or login control.
- Never share a one-time password, device PIN or provider credential with a customer or caller claiming to be support.
- Teach employees that a UPI PIN is entered by the payer to authorise a payment; a merchant should not ask a customer to enter a PIN to receive a refund.
- Keep a second verification method for network outages, such as the provider’s offline record process, while following its rules.
- Reconcile at closing and investigate small unexplained differences before they become recurring losses.
- Remove obsolete QR displays when changing providers so customers cannot pay an account you no longer control.
Choosing between a simple QR and an integrated checkout
| Choose a simple QR when… | Choose an integrated mode when… |
|---|---|
| You sell in person, have a limited number of daily transactions and can verify each payment manually. | You take orders online, need the amount pre-filled, or must connect payment status to inventory, delivery or invoicing. |
| You want minimal hardware and can operate with a printed or countertop display. | Manual matching creates errors or staff need automatic success, pending and refund states. |
| Your provider can supply and support an approved static display. | Your provider offers the required intent, application-based or collect capability and technical support. |
Start with the least complex mode that reliably fits your sales process. You can ask the acquirer about adding another mode later, but confirm whether that requires a new agreement, credentials, QR or settlement setup.
