CEO and co-founder Sam Liang’s strategy is to turn recorded conversations into a searchable company knowledge base—and then connect that knowledge to the systems where work gets done.
That means Otter wants to own more than the transcript. Its long-term pitch combines meeting capture, organization, enterprise search, AI assistants, integrations, and workflow automation. The strategy could make Otter more valuable to businesses, but it also creates harder questions about privacy, permissions, accuracy, compliance, and whether a transcript archive can really become trusted institutional knowledge.

Otter’s strategic shift, in brief
Otter’s original product was straightforward: join or record a meeting, convert speech to text, identify speakers, generate a summary, and make the conversation searchable. The product reduced the need for manual note-taking.
Liang is now positioning the company around four connected jobs:

- Organize: Store transcripts, presentations, and related meeting information in one place.
- Retrieve: Let employees and AI systems search across that accumulated conversation data.
- Act: Send useful information into business systems or allow AI agents to answer questions and initiate tasks.
In a 2025 interview with TechCrunch, Liang described the destination as a corporate meeting knowledge base and a possible system of record for conversations. The careful distinction is important: Otter is positioning itself that way; that does not mean it has replaced a company’s CRM, project-management system, document repository, or official recordkeeping process.
Why being a meeting scribe is no longer enough
Transcription and summaries have become increasingly common features. Standalone competitors such as Fireflies, Fathom, Granola, Circleback, and Read AI compete for the same workflows, while Zoom, Microsoft, and Google offer meeting transcription and AI assistance inside workplace suites many companies already use.
That creates several business problems for an independent meeting assistant:

- Core features are becoming easier to substitute. Speech recognition, summaries, action items, and meeting chat are no longer unique capabilities.
- A transcript can remain a point-tool output. Employees may read the notes but return to Salesforce, HubSpot, Jira, Asana, Slack, Notion, or an intranet to do the actual work.
- Meeting information loses value if it stays isolated. A customer commitment is more useful when it informs a CRM record, a support escalation, or a follow-up task.
- Enterprise buyers need governance. Recording consent, identity management, access controls, retention, auditability, integrations, and compliance can matter as much as transcription quality.
Otter’s strategic answer is to move the value proposition from “summarize the call I missed” to “help me find what the company knows about this customer, decision, project, or problem.”
Liang’s thesis: meetings contain institutional knowledge
Liang’s argument is that important company knowledge is often created in meetings: sales calls, customer conversations, product discussions, marketing meetings, hiring interviews, and internal planning sessions. That knowledge is frequently scattered across recordings, calendars, personal notes, and departmental tools.
A searchable layer over those conversations could make the information more useful. An executive might ask what was decided across several meetings. A salesperson could review a customer’s previous objections. A product team could search for recurring requests before prioritizing a feature.
The potential benefit grows as more relevant meetings are captured. But the same fact creates a limitation: the knowledge base is only as complete as the organization’s capture habits. If only one department uses Otter, or if important conversations are excluded for privacy reasons, the resulting picture may be incomplete or misleading.

Enterprise API and webhooks
Otter’s enterprise API is intended to let organizations move Otter information into custom applications and business workflows. TechCrunch cited integrations such as Jira and HubSpot as examples of the direction.

Otter’s current API documentation says the public API is available to Enterprise workspaces. That qualification matters: describing the API as universally available to every Otter user would be misleading.
For a business, an API can be more important than another summary feature because it determines whether meeting information can leave the notetaker and become part of an existing process. It might support a CRM update, a project task, or a custom internal search tool. The quality of that outcome depends on the integration design, permissions, data mapping, and human review.
MCP server
Otter also offers an MCP server for connecting Otter data to external AI assistants and models through the Model Context Protocol. The intended use is broader than asking questions inside Otter: an external AI system can potentially retrieve permitted meeting information as part of a wider workflow.
Otter’s documentation describes OAuth authentication and granular permissions. Those controls are necessary, but they do not eliminate the need for careful deployment. A company still needs to decide which users, teams, assistants, and applications may access which conversations.
The AI Meeting Agent
Otter describes its Meeting Agent as a voice-activated participant that can use company meeting data to answer questions and complete tasks in real time. This represents a progression from a passive recorder to an active meeting participant.
“Agent,” however, can describe materially different capabilities. It may mean retrieving information, answering a question, generating a draft, creating a task, updating a CRM record, or completing a multi-step workflow. Those actions should not be treated as interchangeable.
Capabilities depend on the relevant integrations, plan, permissions, and deployment. The product should not be understood as an autonomous operator that can execute every business process without configuration or approval.
What the strategy could mean for different departments
Sales
A hypothetical sales workflow might look like this:
- Otter records a discovery or demonstration call.
- The system extracts pain points, requirements, objections, competitors, and next steps.
- Structured information is reviewed and synchronized with Salesforce or HubSpot.
- The broader call history helps with account research, coaching, and follow-up.
Otter’s pricing page lists Salesforce and HubSpot integrations on Pro, with broader custom CRM and dialer integrations at Enterprise. The commercial question is whether the integration reliably improves CRM hygiene or merely creates another draft that employees must correct.

Customer success and support
Customer teams could search conversations for recurring problems, unresolved commitments, and account history before a renewal or escalation. Product teams could use the same information to identify repeated feature requests and preserve the reasoning behind decisions.

Marketing
Marketing teams could mine customer language from interviews and calls for recurring objections, positioning ideas, and campaign themes. This can be useful research, but it should not turn an unverified transcript into an unquestioned source of truth.
Recruiting and human resources
Otter could help structure interview notes and make hiring discussions searchable. This is also one of the highest-risk areas. Sensitive employment information raises questions about consent, retention, access, bias, and applicable employment rules. A company should not treat searchable recordings as a substitute for a carefully governed hiring process.
Healthcare and regulated work
Otter’s help center says HIPAA support is available only on Enterprise and requires a business associate agreement. It also warns that calendar integrations and user behavior must be reviewed to avoid exposing protected health information. See Otter’s HIPAA guidance.
That does not mean every healthcare use is automatically compliant. Organizations must still configure access controls, review retention and deletion practices, obtain the required agreements, and assess other applicable state, institutional, professional, and records-retention requirements.
From notetaker to agent: the capability ladder
Otter’s direction is easier to evaluate when the product categories are separated:

The further down this ladder a system goes, the more important audit trails, least-privilege access, approval controls, and recovery procedures become. Asking an assistant to find a transcript is different from asking it to update a customer record. Updating a record is different again from sending an external message or taking an irreversible action.
The enterprise obstacle course
Consent and privacy
Recording laws vary by jurisdiction, and some U.S. states require consent from all parties. Businesses should establish how participants are notified, whether the bot announces itself, how external guests are handled, and which meeting categories cannot be recorded.

Sensitive conversations may be poor candidates for automated capture, including legal strategy, layoffs, disciplinary matters, confidential mergers and acquisitions, source-protected journalism, personal conversations, and trade-secret discussions.
Accuracy and false certainty
Transcripts can fail because of cross-talk, poor microphones, background noise, accents, code-switching, technical terminology, names, or a participant joining late. AI-generated action items may also invent an owner, deadline, or level of certainty that no one actually agreed to.
Important claims should be checked against the source transcript or recording. A polished summary is not evidence that the underlying conversation was captured correctly.
Permissions and stale information
An agent needs to distinguish current decisions from outdated ones and conflicting meetings. It should show where an answer came from and respect the viewer’s access rights. A broad search system can become a confidentiality risk if historical transcripts are easier to find than the organization’s original permissions intended.

Otter’s enterprise administration documentation describes controls covering authentication, data retention, access, sharing, integrations, and AI features. Buyers should verify the exact controls available to their plan and deployment rather than assuming every capability is included.
Implementation cost
The subscription price is only one part of an enterprise rollout. Costs can include security and legal review, administrator setup, integration work, user training, governance policies, historical transcript cleanup, migration, and handling deletion or access requests.
Otter’s pricing page currently lists Basic as free, Pro at $16.99 per user per month when billed monthly, and Business at $30 per user per month when billed monthly. Enterprise pricing is custom. Annual displays, promotions, billing terms, geography, plan limits, and features can change, so these figures should be checked directly before purchase.
The same page lists limits including 90 minutes per Pro meeting and four hours per Business meeting. The headline individual price should not be used as a proxy for a full enterprise deployment, particularly because the public API and HIPAA-related deployment are tied to Enterprise requirements.

Native alternatives from Zoom, Microsoft 365, and Google Workspace may be easier for organizations already standardized on one collaboration suite. They can reduce the number of vendors, simplify identity management, and keep meeting data within an existing administrative environment.

Otter’s opportunity is strongest when a buyer wants a cross-platform layer, an independent meeting repository, specialized sales or workflow features, or access across multiple meeting ecosystems. The trade-off is another vendor, another data-governance surface, and possible integration work.
Standalone alternatives are also relevant. Fathom advertises unlimited recordings, meeting summaries, integrations with large language models, public API/MCP, organization-wide security controls, and HIPAA support with a signed BAA on its pricing page. Fireflies, Granola, and Read AI represent other approaches to meeting capture, notes, conversation intelligence, or meeting analytics. Their current pricing and detailed feature limits should be verified directly before making a buying decision.
What Otter’s reported growth does—and does not—prove
Otter announced that it exceeded $100 million in annual recurring revenue in 2025 and says it has more than 35 million users worldwide. Those are company-reported figures, not independently audited measures presented in the available material.
Otter has also promoted claims about customer return on investment, including a claim that it generated $1 billion in annual ROI for customers and claims of productivity or revenue improvement. These statements help explain the company’s positioning, but the announcements do not establish an independent methodology that proves the results apply broadly.
The company’s August 2026 appointment of a channel leader also supports the interpretation that enterprise and partner-led distribution are becoming a go-to-market priority. Growth, however, does not by itself show that Otter has displaced incumbent systems of record or that its AI agents reliably complete consequential work.
How to evaluate Otter before buying
- Test capture quality. Use representative accents, technical vocabulary, noisy rooms, overlapping speech, and the meeting platforms your organization actually uses.
- Test retrieval. Ask questions across one meeting, a team, and the organization. Check whether answers link to source text and timestamps and whether old decisions are distinguished from current ones.
- Test a real workflow. Measure whether a sales call can produce a useful CRM draft, whether a product request can reach the right project system, and how much correction employees must perform.
- Map permissions. Confirm how personal, team, customer, executive, and sensitive meetings are separated.
- Review governance. Ask about consent notices, retention, deletion, export, SSO, SCIM, audit logs, model-training policies, and administrator controls.
- Define approval points. Require human review before an agent changes a customer record, creates a consequential task, sends an external message, or takes an irreversible action.
- Calculate total cost. Include licenses, implementation, integrations, training, legal review, security review, and ongoing administration—not only the per-user subscription.
Bottom line
Sam Liang’s strategy is coherent: transcription is becoming a commodity, so Otter wants to capture the larger value of conversation data. The company is building toward a platform that records meetings, makes them searchable, connects them to external AI systems, and turns selected insights into business workflows.
The opportunity is larger than meeting notes, but so is the burden of proof. Otter must show that its repository is accurate, permissioned, current, integrated, and useful enough to influence real work. Its reported revenue and user growth indicate momentum, while its API, MCP, agent, and enterprise-control initiatives show a credible product direction. They do not yet establish that Otter is the universal system of record for corporate knowledge.
For buyers, Otter is most worth evaluating when cross-platform capture and conversation search matter more than staying entirely inside Zoom, Teams, or Google Workspace. It is a weaker fit for teams that need only occasional transcription, are satisfied with native meeting AI, or are unwilling to invest in consent and transcript governance.
